What actually happens when you delete your Coachful account

Deciding to close your Coachful account is a big step — and before you hit that button, you deserve a plain-language answer to the obvious question: what happens to your coaching data when your account is deleted? This guide walks through every category of data, who it affects (coaches and clients alike), what is permanently removed, what can be exported first, and how to make sure nothing important falls through the cracks.

Whether you're a coach winding down a business, migrating to a different setup, or a client who wants their personal information removed, the process is different for each role — and the consequences are not always reversible.

The two types of account deletion on Coachful

Coachful is a multi-tenant platform. That means the data landscape is layered: there is your personal user account (the login credential attached to your email), and separately there is the coaching workspace (the organization owned by a coach, living at {slug}.coachful.co or a custom domain). Deleting one does not automatically delete the other, and understanding this distinction prevents nasty surprises.

Deleting your user account (coaches and clients)

A user account deletion removes your login credentials, profile information, notification preferences, and connected social logins. If you are a coach, your user account is also the owner (super_coach) of your workspace — so deleting your user account triggers a full workspace deletion unless you have transferred ownership to another admin first.

If you are a client (member role), deleting your user account removes your profile and login but does not purge the content you created inside a coach's workspace — things like habit check-ins, task completions, and chat messages remain part of that coach's records until the coach deletes their workspace or makes a data removal request on your behalf.

Deleting a coaching workspace

Only a super_coach (workspace owner) or a super_admin can request full workspace deletion. This is the nuclear option. It removes the organization and all data scoped to it, including programs, squads, bookings, invoices, website pages, blog posts, and media files. This action cannot be undone.

What data is permanently deleted

When a coaching workspace is fully deleted, the following are permanently and irreversibly removed from Coachful's servers (subject to the retention window described below):

  • Programs and curricula — all weeks, days, tasks, goals, and habit configurations you built.
  • Client progress records — task completions, habit streaks, goal check-ins, and session notes.
  • Squads and messages — both cohort squads (auto-created per program enrollment) and community squads, including all Stream-powered chat history and video call recordings stored on Coachful.
  • Bookings and calendar data — past and future session bookings, availability rules, and calendar sync tokens.
  • Website and funnel content — landing pages, blog articles, lead-magnet pages, and link-in-bio configuration built in the drag-and-drop website builder.
  • Offer and product listings — one-time, recurring, and multi-tier offers, coupon codes, and payment plan configurations.
  • Custom domain mappings — your domain's DNS association with Coachful is released; the domain itself remains yours at your registrar.
  • Michelle AI conversation history — all AI co-pilot interactions and saved action logs.
  • Media library — uploaded images, PDFs, and video files hosted on Coachful's CDN.

What is NOT deleted immediately

A few categories of data follow different rules and timelines:

Stripe billing records

Coachful uses Stripe Connect to process payments. When your workspace is deleted, your Stripe Connect account is disconnected from Coachful, but the underlying Stripe account and its transaction history belong to Stripe — not Coachful. You can still log in directly at dashboard.stripe.com to access invoices, payouts, and tax documents. Any pending payouts will be released on Stripe's normal settlement schedule (typically 2–7 business days depending on your country and bank). Coachful does not hold or delay these funds.

Data retention window

For legal compliance and fraud prevention, Coachful retains certain anonymized transaction logs and audit trails for up to 90 days after a deletion request is processed. This data is not accessible to users and is not used for marketing. After 90 days, it is purged automatically. If you have a legal hold or compliance requirement, contact privacy@coachful.co before submitting a deletion request.

Marketplace listing cache

If your coach profile was listed in the Coachful marketplace, search-engine caches (Google, Bing) may continue to show your listing for days or weeks after deletion. This is controlled by external crawlers, not Coachful. You can expedite removal by submitting a URL removal request through Google Search Console.

Before you delete: If you're leaving Coachful because managing your coaching business feels overwhelming or expensive, it's worth signing in and exploring the scale plan — many coaches find that consolidating tools onto one platform actually saves money compared to stitching together separate apps for scheduling, messaging, billing, and websites.

How to export your data before deletion

You should always export critical data before requesting deletion. Here is what to grab and where to find it:

  1. Client list and contact details — Go to Coach Dashboard → Clients and use the Export CSV button. This downloads name, email, enrollment date, and program assignment for every client.
  2. Session notes and booking history — Navigate to Coach Dashboard → Bookings → History. Use the date-range filter to capture all past sessions, then export. Individual session notes can be copied from the session detail view.
  3. Program content — Open each program under Coach Dashboard → Programs and document your curriculum structure. At this time, programs export as a structured view rather than a single file; screenshot or copy the week/day/task architecture if you plan to rebuild it elsewhere.
  4. Invoices and billing records — Go to Coach Dashboard → Billing and download PDF invoices for your own records. Also log in to your Stripe dashboard directly to download a full transaction history.
  5. Website and blog content — Copy your landing page text, blog posts, and media files from Coach Dashboard → Website. Download any uploaded media from the media library before deletion.
  6. Squad / chat history — Important messages, pinned resources, or file attachments shared in community squads or cohort squads should be manually saved, as chat history is not included in the standard data export.

Step-by-step: how to request account or workspace deletion

Deletion is intentionally a deliberate process — there is no single-click "delete everything" button on the main dashboard. This protects coaches and clients from accidental data loss.

  1. Sign in to your Coachful workspace at app.coachful.co/sign-in.
  2. Navigate to Settings → Account → Danger Zone.
  3. Select "Delete my account" (user account only) or "Delete workspace" (full organization, coaches only). If you see both options, confirm which one you actually need.
  4. Read the confirmation dialog carefully. It lists the specific data categories that will be deleted and prompts you to type your workspace name to confirm intent.
  5. If your workspace has active paid subscriptions (clients on recurring plans), you must cancel those plans first. Coachful will block workspace deletion until all active billing relationships are resolved to protect your clients from unexpected charges.
  6. Submit the deletion request. You will receive a confirmation email. Deletion is processed within 24–72 hours. During this window, you can contact support@coachful.co to cancel the request.
  7. After deletion is complete, you will receive a final confirmation email. At that point, the action cannot be reversed.

What your clients experience when you delete your workspace

When you delete your coaching workspace, every client who was a member of that workspace loses access immediately. Here is what they will see:

  • Their login will still work (their user account exists independently), but your workspace will no longer appear in their dashboard.
  • Any programs they were enrolled in — including tasks, habit trackers, and goal boards — become inaccessible.
  • Squad chat channels are closed and message history is deleted.
  • Upcoming bookings are cancelled automatically. Depending on your refund policy, you may need to issue refunds manually via Stripe before deletion.

Best practice is to give clients at least 30 days' notice before deleting your workspace, communicate clearly via email, and provide any program materials (worksheets, recordings, resource links) directly so they retain value from the engagement.

Troubleshooting and common mistakes

I deleted my account but my clients are still being charged

This means active Stripe subscriptions were not cancelled before the workspace deletion request was submitted. Log in to your Stripe dashboard directly and cancel the subscriptions there. Coachful's deletion process should have blocked this, but if a timing edge case occurred, Stripe is the authoritative source for subscription management.

I want to delete a client's data but keep my workspace

You do not need to delete your entire workspace to remove a specific client's data. Go to Coach Dashboard → Clients → [Client Name] → Danger Zone → Remove Client. This offboards the client, removes their access, and deletes their personal profile data from your workspace. This is the correct path for GDPR or CCPA data subject deletion requests.

My custom domain is still pointing to Coachful after deletion

Coachful releases the domain mapping on its end, but your DNS records still point to Coachful's servers until you update them at your registrar. Log in to your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.) and delete or update the CNAME or A record that was pointing to Coachful. If you plan to use the domain elsewhere, update it to your new destination instead.

I submitted a deletion request but changed my mind

You have a 24–72 hour cancellation window. Email support@coachful.co immediately with your workspace name and the subject line "Cancel deletion request". If the deletion has already been processed, recovery is not possible.

I'm a client and I want my data removed from a coach's workspace

Under GDPR (EU/UK) and CCPA (California), you have the right to request erasure of your personal data. Contact the coach directly first — they have the tools to remove your client record. If the coach is unresponsive, contact Coachful at privacy@coachful.co with proof of identity and we will process the request within 30 days.

What about data in the Coachful mobile app?

The Coachful mobile app (available as a progressive web app and as a native iOS/Android shell via app.coachful.co/mobile) does not store coaching data locally on your device beyond standard browser/app caching. Deleting the app from your phone does not delete account data — you must follow the account deletion steps above. Conversely, deleting your account will invalidate any cached sessions on mobile automatically.

What happens to my Stripe payouts after I delete my Coachful account?
Your Stripe Connect account is disconnected from Coachful, but any pending payouts are still released by Stripe on their normal 2–7 business day settlement schedule. You can access your full transaction history and tax documents by logging in directly at dashboard.stripe.com even after your Coachful workspace is gone.
How do I download my coaching data before deleting my account?
From your Coach Dashboard, export your client list as a CSV under Clients, download booking history and session notes under Bookings → History, save billing records under Billing, and manually copy program content and media files from the Programs and Website sections. Chat history from squads must be saved manually as it is not included in the standard export.
Can I reuse my email address to create a new Coachful account after deletion?
