If you've just set up your Coachful workspace and you're staring at an empty dashboard wondering where to start, building your first coaching program is the highest-leverage thing you can do. A well-structured program turns your expertise into a repeatable, scalable product — one that delivers consistent results for clients and frees you from reinventing the wheel every engagement.

This guide walks you through creating a coaching program from scratch inside Coachful, including how to structure your curriculum, add tasks and habits, connect it to a paid offer, and launch it to your first cohort.

What is a coaching program in Coachful?

A coaching program in Coachful is a structured curriculum made up of weeks, days, tasks, goals, and habits. Think of it as the backbone of your coaching offer — everything your client needs to progress, delivered in a logical sequence over a defined timeframe.

Programs sit at the center of the platform. When a client enrolls, Coachful automatically creates a cohort squad — a dedicated group space where you and your enrolled clients can communicate, share wins, and stay accountable. You can run a 4-week sprint, a 12-week transformation, or an ongoing rolling program. The structure flexes around your methodology.

Programs are different from one-off sessions or community squads. They represent a complete, packaged coaching experience with a clear start point, milestones, and an end goal. If you want clients to follow a clear path and see measurable progress, a program is the right tool.

Before you build: plan your program structure

The most common mistake coaches make is jumping into the builder before they know what they're building. Spend 20–30 minutes answering these three questions before you touch the UI:

  • What outcome does this program deliver? Be specific. "Lose 10 lbs in 12 weeks" or "Land your first 3 clients in 60 days" is far stronger than "improve your health" or "grow your business".
  • How long is the program? A 4-week program suits intensive sprints or challenges. An 8–12 week program suits deep transformation work. Anything longer should have clear phase milestones so clients don't lose steam.
  • What does the client need to do each week? Roughly map out the weekly theme, 2–3 key tasks per week, and any habits you want to track. You don't need every task written yet — just a skeleton.

Once you have a rough outline, you're ready to build. A clear structure upfront means you'll spend less time rearranging things later and more time refining your content.

Step-by-step: creating your first coaching program

Step 1 — Open the program builder

  1. Log in to your Coachful dashboard at app.coachful.co/sign-in.
  2. In the left sidebar, navigate to Programs.
  3. Click Create new program in the top-right corner.
  4. Give your program a name (e.g., "12-Week Body Recomposition") and a short description. Both are visible to clients, so write them with your audience in mind.
  5. Choose a cover image that represents the transformation. Clients see this on their dashboard — it sets the tone.

Step 2 — Set the program duration and type

  1. Select the program duration. You can set a fixed number of weeks or leave it as rolling (useful for ongoing accountability programs).
  2. Choose whether this is a self-paced program or a cohort-based program with a defined start date. Cohort programs are great for accountability and community — Coachful automatically creates a squad when enrollment opens.
  3. Toggle on drip content if you want weeks/days to unlock progressively rather than all at once. This is highly recommended for programs longer than 4 weeks — it prevents overwhelm and keeps clients moving at the right pace.

Step 3 — Build your curriculum: weeks, days, and tasks

This is the heart of your program. Coachful organizes content in a hierarchy: Weeks → Days → Tasks.

  1. Click Add Week and give Week 1 a theme (e.g., "Week 1 — Foundation & Mindset"). A clear weekly theme helps clients understand the purpose of each phase.
  2. Inside Week 1, click Add Day. You don't have to populate every single day — most coaches use 3–5 structured days per week and leave weekends lighter.
  3. Inside each day, click Add Task. Tasks can be:
    • Content tasks — articles, videos, or embedded media your client reads/watches.
    • Action tasks — specific things the client must do (e.g., "Complete your values audit worksheet").
    • Reflection tasks — journaling prompts or written responses you can review as their coach.
  4. Repeat for each week. For a 12-week program, aim for 3–5 tasks per week at minimum. More is fine — just make sure each task earns its place.

Step 4 — Add goals and habits

Goals and habits make your program sticky. They give clients something to track between sessions and keep them accountable even when you're not in a live call together.

  1. Navigate to the Goals tab inside your program. Add 1–3 overarching goals for the program (e.g., "Complete all 12 weekly workouts", "Journal 5x per week"). Goals show progress toward the big outcome.
  2. Navigate to the Habits tab. Add daily or weekly habits you want clients to check off (e.g., "Morning walk — 20 min", "Read for 15 minutes before bed"). Habits build the behavioral layer that sustains results long after the program ends.
  3. Set the frequency for each habit — daily, weekdays only, or custom days. Clients will see these habits on their daily dashboard view and can mark them complete with a single tap on mobile.

Step 5 — Configure your cohort squad

When you mark a program as cohort-based, Coachful automatically creates a cohort squad when clients enroll. This is a private group space powered by Stream Chat — real-time messaging, file sharing, and announcements all in one place.

  1. Go to the Squad tab inside your program settings.
  2. Customize the squad name and welcome message. The welcome message is the first thing clients see when they join — make it warm, specific, and action-oriented.
  3. Decide whether you want the squad to be coach-moderated (only coaches post announcements) or fully collaborative (members post freely). For most programs, full collaboration works best — peer accountability is a massive retention driver.

Step 6 — Attach a paid offer

A program without a price is just a hobby. Coachful's native Stripe Connect billing lets you attach an offer directly to your program so clients can purchase and enroll in one seamless flow.

  1. Go to Offers in the sidebar and click Create offer.
  2. Set your price — choose from one-time payment, recurring subscription, or a multi-tier structure (e.g., self-paced at $497 / group coaching at $997).
  3. Optionally add a payment plan (e.g., 3 × $199) or a coupon code for launch discounts.
  4. Link the offer to your program. When a client purchases, they're automatically enrolled and their squad access is activated.
Pro tip: Set up an intake call as part of the enrollment flow — especially for high-ticket programs. Coachful's booking system lets you attach a required intake session before a client gets full program access. This pre-qualifies clients and dramatically reduces refund requests.

Best practices for structuring a high-retention program

Building the program is the easy part. Getting clients to complete it — and rave about it — takes intentional design. Here are the principles that separate programs with 80%+ completion rates from those that get abandoned by week 3.

Start with a quick win

The first day of your program should deliver a small but tangible win. If clients feel progress within 24 hours of enrolling, they're far more likely to stay engaged for the long haul. Week 1 should be your most polished, most energizing week — first impressions set the expectation for everything that follows.

Keep weekly task loads realistic

Coaches tend to overload programs. A 12-week program with 3 weekly tasks is sustainable. A 12-week program with 10 daily tasks is a recipe for dropout. Use the 80% rule: if 80% of your clients can realistically complete the week's tasks while living their normal lives, the load is right.

Use video for high-stakes lessons

Written content is scannable. Video builds trust and connection — especially in weeks where you're introducing a hard concept or a mindset shift. Embed a short (5–10 minute) coaching video at the start of each new week to orient clients and remind them why they enrolled.

Build in check-in points

Schedule a group call or a 1:1 check-in at the midpoint of your program (e.g., week 6 of a 12-week program). Clients who feel seen and heard at critical junctures are significantly more likely to complete and re-enroll. Use Coachful's built-in group call booking to set this up in advance and share the link directly in the squad.

Troubleshooting common program setup issues

My tasks aren't showing up in the client's dashboard

This usually means the program hasn't been published yet, or drip settings are preventing access. Check that the program status is set to Active and review the drip schedule to confirm Week 1 Day 1 is available from the enrollment date.

My cohort squad wasn't created automatically

Cohort squads are only auto-created for programs set to cohort mode with an active enrollment. If you set the program to self-paced, no squad is auto-created. Switch the program type in settings, or manually create a community squad and invite your clients.

A client enrolled but can't access the program

Confirm the offer is correctly linked to the program — go to Offers → [Your Offer] → Linked products and verify the program appears. Also check that the client's payment went through in your Stripe dashboard. If both look fine, have the client log out and back in to refresh their entitlements.

I want to edit a program that's already live

You can edit program content at any time without affecting currently enrolled clients' progress. Adding new weeks or tasks is safe. Deleting tasks that clients have already completed will remove their completion history, so avoid this. Use the duplicate function if you want to iterate on a new version without disrupting an active cohort.

My habits aren't showing up on the client's daily view

Habits must be set to active status inside the program and the client must be enrolled. Check the habit frequency settings — if you set a habit to "weekdays only" and the client logs in on a Saturday, it won't appear that day. This is expected behavior.

I can't attach a Stripe offer — billing isn't set up

You need to complete Stripe Connect onboarding before you can create paid offers. Go to Settings → Billing → Connect Stripe and complete the onboarding flow. This takes 5–10 minutes and requires your business details and bank account information.

Frequently asked questions

How long should my first coaching program be?
For most coaches, an 8–12 week program hits the sweet spot — long enough to drive meaningful transformation, short enough to maintain client momentum. If you're just starting out, a 4-week sprint program is a lower-risk way to validate your curriculum before committing to a longer format.
Can I edit a coaching program after clients have already enrolled?
Yes. You can add, edit, or reorder tasks and weeks at any time without affecting enrolled clients' existing progress records. Avoid deleting tasks that clients have already completed, as this removes their completion history. For major restructures, use the duplicate feature to create a new version.
How do I charge clients for my coaching program?
Coachful uses Stripe Connect so you get paid directly to your bank account. Create a paid offer in the Offers section, set your price (one-time, recurring, or payment plan), then link it to your program. Clients can purchase and enroll in one seamless checkout flow.
What is a cohort squad and do I need one?
A cohort squad is an auto-created group chat space that brings together all clients enrolled in the same program. It's powered by real-time messaging and is one of the most powerful retention tools available — peer accountability significantly increases program completion rates. For any group or cohort program, it's strongly recommended.
Can clients access my coaching program on mobile?
Yes. Coachful is available as a progressive web app and as a native iOS and Android app. Clients can complete tasks, check off habits, join squad conversations, and book sessions directly from their phone. The mobile experience mirrors the full desktop dashboard.
What's the difference between a goal and a habit in a coaching program?
Goals are overarching outcomes you want clients to achieve by the end of the program (e.g., 'Complete all 12 weekly workouts'). Habits are recurring daily or weekly behaviors clients track on an ongoing basis (e.g., 'Morning walk — 20 min'). Both appear on the client dashboard and help maintain accountability between live sessions.
Do I need to fill in every day of a weekly program?
No. You only need to populate the days that have meaningful content or tasks. Most coaches structure 3–5 active days per week and leave other days intentionally empty for rest or self-directed work. Coachful only shows clients the days that have content, so empty days stay hidden.
