If you've ever wondered why Coachful asks you to connect a Stripe account — or why your clients pay you directly instead of through Coachful — this guide covers everything you need to know about how Coachful billing works and why Stripe Connect is at the heart of it.
The short version: Coachful uses Stripe Connect to let coaches accept payments directly into their own Stripe accounts. Coachful never holds your money. You set your prices, your clients pay, and the funds land in your account. Here's how every piece fits together.
TL;DR — How Coachful billing works
- Coachful uses Stripe Connect so coaches receive client payments directly — no middleman holding funds.
- You connect (or create) a free Stripe account from your Coachful dashboard in minutes.
- You can charge clients via one-time payments, subscriptions, payment plans, or multi-tier offers.
- Coupons, free trials, and intake-call fees are all supported natively.
- Stripe's standard processing fees apply; Coachful's platform fee depends on your pricing tier.
What is Stripe Connect and why does Coachful use it?
Stripe Connect is Stripe's platform product that allows software companies like Coachful to facilitate payments on behalf of independent businesses — in this case, coaches like you. Instead of routing money through Coachful's bank account and paying you out later, Stripe Connect creates a direct relationship between your Stripe account and your clients' payment methods.
This architecture has three big advantages for coaches:
- Instant or near-instant payouts. You control your Stripe payout schedule (daily, weekly, or manual). Coachful never delays your funds.
- Full financial visibility. Every charge, refund, and dispute lives inside your Stripe dashboard at dashboard.stripe.com, not locked inside Coachful.
- Compliance and security handled by Stripe. Stripe is PCI-DSS Level 1 certified and handles card data, fraud detection, and tax reporting — so you don't have to.
Coachful sits on top as the product layer: building the checkout pages, managing offers, applying coupons, and triggering the right charge at the right time. Stripe handles the money movement itself.
Setting up Stripe Connect on Coachful
Connecting your Stripe account takes less than five minutes. Here's exactly what to do:
- Sign in at app.coachful.co/sign-in and navigate to Settings → Billing → Payment Settings.
- Click Connect with Stripe. You'll be redirected to Stripe's secure onboarding flow.
- Either log in to an existing Stripe account or create a new one (it's free to create).
- Complete Stripe's identity and business verification steps — typically your legal name, address, tax ID (EIN or SSN for US coaches), and bank account details for payouts.
- Once Stripe approves your account, you'll be redirected back to Coachful with a green Connected status.
If you already run a coaching business under a separate Stripe account, you can connect that same account. One Stripe account can power multiple Coachful workspaces, though each workspace manages its own offers and pricing independently.
Pro tip: Complete your Stripe onboarding before you publish any offers or send checkout links to clients. Stripe won't process live charges until your account is fully verified.
Payment types you can create in Coachful
Coachful's billing system is built around Offers — the pricing packages you attach to programs, sessions, and squads. Each offer maps directly to a Stripe product and price object behind the scenes. You have full flexibility over how you charge:
One-time payments
Charge a flat fee for access to a program or a single session. The client pays once and Stripe captures the charge immediately. This works well for workshop recordings, one-off strategy sessions, or fixed-length group programs.
Recurring subscriptions
Set a monthly, quarterly, or annual billing cycle. Stripe handles all renewal charges automatically. Clients can be billed indefinitely or for a fixed number of cycles — for example, a 3-month coaching package billed monthly at $500/month. Cancellations stop future renewals but don't trigger automatic refunds (refunds are processed manually from your Stripe dashboard).
Payment plans
Offer a higher-ticket program and let clients spread the cost over instalments. For example, a $3,000 executive coaching program payable in 6 monthly instalments of $500. Coachful creates the instalment schedule and Stripe executes each charge on the due date.
Multi-tier offers
Create multiple pricing tiers for the same program — for instance, a self-study tier at $197, a group coaching tier at $497, and a VIP 1:1 tier at $1,497. Each tier can have different access levels, included sessions, and squad memberships. Clients choose their tier at checkout and are billed accordingly.
Free trials and intake calls
Add a free trial period to any subscription offer. You can also charge a small intake call fee — a one-time amount to hold a discovery call booking — which is fully configurable per session type.
Coupons and discounts
Coachful has a native coupon engine connected directly to Stripe. Go to Settings → Billing → Coupons to create discount codes. You can configure:
- Percentage discounts (e.g., 20% off) or fixed-amount discounts (e.g., $50 off).
- One-time vs. repeating discounts (applies to every billing cycle for a set number of months).
- Expiry dates and redemption limits to create urgency and cap usage.
When a client enters a valid coupon code at checkout, Coachful applies the Stripe coupon to their subscription or invoice automatically. You'll see the discount reflected in your Stripe dashboard under the customer record.

How fees work: Stripe fees vs. Coachful platform fees
Two separate fee structures apply when a client pays you through Coachful:
Stripe processing fees
Stripe charges its standard card-processing fee on every transaction — typically 2.9% + $0.30 per successful card charge in the US (rates vary by country and card type). These fees are deducted by Stripe before funds reach your bank. You can review current Stripe fees on the Stripe pricing page.
Coachful platform fees
Coachful charges a platform fee based on your subscription tier. Coaches on the Scale plan have a lower (or zero) platform fee compared to the Growth plan. The exact percentages are shown on the Coachful pricing page. The platform fee is collected via Stripe's application-fee mechanism — meaning it's deducted at the time of the transaction and you never see an invoice from Coachful for per-transaction fees separately.
As your coaching revenue grows, upgrading your Coachful plan often pays for itself quickly through the reduced transaction fees alone. Coaches running high-volume programs consistently find that the Scale plan saves them money compared to staying on Growth.
Managing client billing and subscriptions
You don't need to log into Stripe every time a client has a billing question. Coachful surfaces the most common billing management tasks directly inside the dashboard:
- View payment history — Go to Clients → [Client Name] → Billing to see all past charges and upcoming renewal dates.
- Cancel a subscription — Cancel at the end of the current period or immediately from the client's billing tab.
- Apply a coupon retroactively — Attach a discount to an active subscription to adjust future billing cycles.
- Issue a refund — Click Refund next to any charge. Coachful initiates the refund via Stripe and the funds are returned to the client's original payment method within 5–10 business days.
- Update payment method — Clients can update their own card details via the client portal, or you can send them a Stripe-hosted payment update link directly from the dashboard.
How clients experience checkout
From your client's perspective, the payment experience is clean and branded. When a client clicks a checkout link — from your Coachful website, a landing page, or a direct link you share — they land on a checkout page that shows your program name, price, and any active offer description. The payment form is powered by Stripe Elements, which means it's PCI-compliant, optimized for conversion, and supports all major cards, Apple Pay, and Google Pay.
After a successful payment, clients are automatically enrolled in the program or session they purchased, their account is created (or they're logged in), and they receive a Stripe receipt email. No manual enrollment steps required on your end.
Troubleshooting common billing issues
My Stripe account says "Restricted" or "Past Due"
Stripe periodically requests additional verification documents — especially as your payment volume grows. Log in to your Stripe dashboard and check for any open action items under Settings → Account details. Until those items are resolved, Stripe may pause payouts or limit charges. Coachful has no ability to override Stripe's compliance requirements.
A client's payment failed — what happens next?
Stripe automatically retries failed subscription charges according to your Smart Retries settings (configurable in Stripe's dashboard under Billing → Settings → Retry schedule). By default, Stripe will attempt the charge again at 3, 5, and 7 days. Coachful will mark the client's subscription as Past Due and you'll receive a notification. You can also send the client a manual payment link from Coachful's billing tab.
I connected the wrong Stripe account
Go to Settings → Billing → Payment Settings and click Disconnect Stripe. Then reconnect with the correct account. Note: disconnecting Stripe will not cancel existing client subscriptions — those are managed at the Stripe level and will continue to bill against the original connected account until you migrate them manually.
Clients aren't receiving their receipt emails
Stripe sends receipt emails from receipt@stripe.com. Ask your client to check their spam folder and whitelist that sender. You can also configure custom receipt emails from your Stripe dashboard under Settings → Customer emails.
My payouts are on hold
New Stripe accounts sometimes have a temporary payout hold (typically 7 days) while Stripe assesses risk. This is normal and resolves automatically. If the hold persists beyond 10 days, contact Stripe support directly — Coachful support can't release Stripe-level payout holds.
I want to offer a free program — do I still need Stripe?
No. You only need a connected Stripe account when you create paid offers. Free programs, free community squads, and free lead-magnet pages work without any Stripe connection.
Best practices for coaches managing billing at scale
Once you have more than a handful of paying clients, a few habits will save you significant admin time:
- Use Stripe's tax settings. If you're required to collect sales tax or VAT, enable Stripe Tax from your Stripe dashboard. It automatically calculates and collects tax at checkout based on the client's location.
- Set up Stripe email notifications. Configure Stripe to email you (or your virtual assistant) when a payment fails, a dispute is opened, or a subscription is cancelled. Go to Stripe → Settings → Team and security → Email notifications.
- Review your Coachful platform fee tier annually. As your coaching revenue grows, upgrading to the Scale plan often reduces your effective cost per transaction significantly.
- Leverage payment plans for high-ticket offers. Coaches offering $2,000+ programs consistently see higher conversion rates when payment plans are available at checkout — even if most clients ultimately pay in full.
In our experience working with coaches across fitness, business, life coaching, and executive development, the biggest billing mistake is waiting until launch day to set up Stripe. Set it up first, run a $1 test charge on yourself, and confirm the full checkout-to-enrollment flow works before you start marketing.
