Why your Coachful video call isn't connecting
You're scheduled for a session, both parties show up on time, and then — nothing. A spinning loader, a black screen, or an outright error message. Video call connection failures are almost always caused by one of a handful of fixable issues: browser permissions, network conditions, outdated software, or a misconfigured device. This guide walks you through every fix in the right order, so you spend less time troubleshooting and more time coaching.
Coachful video is powered by Stream Video, which delivers HD-quality calls with low latency. Stream's infrastructure is highly reliable, so when a video call won't connect, the root cause is almost always on the client side — your browser, network, or device settings.
TL;DR — Quick fixes to try first
- Allow camera and microphone in your browser's site permissions for
app.coachful.co. - Use Google Chrome or Microsoft Edge (latest version) for the best WebRTC compatibility.
- Disable VPN or proxy temporarily — they frequently block WebRTC traffic.
- Close competing apps (Zoom, Teams, FaceTime) that may be holding your camera or mic hostage.
- Hard-reload the page with
Ctrl + Shift + R(Windows) orCmd + Shift + R(Mac).
Step 1 — Check browser permissions for camera and microphone
This is the number-one cause of a video call that won't connect. Browsers require explicit permission before any website can access your camera or microphone. If you accidentally clicked "Block" the first time Coachful asked, the call will fail silently or show a camera-off screen.
How to fix permissions in Chrome
- Click the lock icon (or camera icon) in the address bar while on
app.coachful.co. - Find Camera and Microphone in the dropdown list.
- Change both from Block to Allow.
- Reload the page — Chrome will re-request permission and your devices should activate.
How to fix permissions in Safari
- Go to Safari → Settings → Websites.
- Select Camera and then find
app.coachful.coin the list. - Set it to Allow. Repeat for Microphone.
- Reload the Coachful tab.
How to fix permissions in Firefox
- Click the shield or lock icon in the address bar.
- Click Connection Secure → More Information → Permissions.
- Clear the blocked status for Use the Camera and Use the Microphone.
- Reload the page.
On macOS, you may also need to grant system-level access: go to System Settings → Privacy & Security → Camera and make sure your browser is checked. Same for Microphone. Windows users should check Settings → Privacy → Camera / Microphone and ensure browser access is enabled.
Step 2 — Use a supported browser and keep it updated
Coachful video calls use WebRTC — a real-time communication protocol built into modern browsers. Not all browsers implement WebRTC equally well.
- Best: Google Chrome (version 110+), Microsoft Edge (Chromium, version 110+)
- Good: Mozilla Firefox (version 110+), Safari (version 16.1+ on macOS 13+)
- Avoid: Internet Explorer, older Safari versions, heavily locked-down enterprise browsers
To check your Chrome version, go to chrome://settings/help. If Chrome is out of date, it will update automatically when you visit that page. Edge users can check at edge://settings/help. An outdated browser is a surprisingly common culprit — a single missing WebRTC patch can prevent calls from establishing.
Step 3 — Test your internet connection
Stream Video requires a stable connection with at least 1.5 Mbps upload and 1.5 Mbps download for a reliable 1:1 HD call. Group calls in a Squad session benefit from 3+ Mbps. Run a quick test at fast.com or speedtest.net before blaming anything else.
Common network culprits
- VPN or proxy: These often block or throttle WebRTC UDP packets. Disable your VPN temporarily and retry the call.
- Corporate firewall: Some company networks block ports 3478 and 5349 (STUN/TURN), which are required for WebRTC. Ask your IT team to allowlist
*.stream-io-api.comand the standard WebRTC port range. - Wi-Fi congestion: Switch to a 5 GHz band or plug in via ethernet for a more stable signal during calls.
- Shared bandwidth: Streaming video in another tab, a large file upload, or a busy household network can all degrade call quality enough to prevent a stable connection.
Step 4 — Close apps that may be locking your camera or microphone
Only one application can access your camera or microphone at a time on most operating systems. If Zoom, Microsoft Teams, FaceTime, Google Meet, or any other conferencing app is open in the background — even minimized — it may be holding an exclusive lock on your device.
- Fully quit (not just minimize) all other video conferencing apps.
- On Mac, use Cmd + Q to force-quit rather than just closing the window.
- On Windows, right-click the app in the taskbar and select Close window.
- Return to your Coachful session and reload the page.
If you're on a Mac with an external USB webcam, also check whether Photo Booth or QuickTime Player is open — both grab the camera at launch and don't release it gracefully.
Step 5 — Join from the correct link or session page
Coachful generates unique call rooms tied to each booked session or group Squad call. Joining from an old calendar invite link, a bookmarked URL, or a forwarded link that has expired will result in a connection error — not a generic "call won't connect" screen, but a room-not-found state that looks similar.
How to find the correct join link
- Sign in at app.coachful.co/sign-in.
- Navigate to Bookings in the left sidebar (coaches) or your session dashboard (clients).
- Find the upcoming session and click Join Call — this always generates a fresh, valid room token.
- Alternatively, click the session link in the automated reminder email sent 15 minutes before the session starts.
Never share raw room URLs in chat and ask someone to join manually — always use the in-app Join Call button or the reminder email link to ensure authentication tokens are valid.
Coaching tip: Coaches on Coachful can enable instant calls directly from any client conversation in Stream Chat — no scheduling required. If a scheduled session is misbehaving, an instant call is a fast fallback that bypasses any room-token issues entirely.
Step 6 — Check for browser extensions interfering with WebRTC
Ad blockers, privacy extensions (uBlock Origin, Privacy Badger, Ghostery), and VPN browser plugins frequently interfere with WebRTC connections. They may block the STUN/TURN handshake, leak-protect WebRTC to the point of disabling it, or strip required headers.
- Open a private/incognito window — extensions are usually disabled here by default.
- Sign in to Coachful and attempt the call.
- If it works in incognito, the culprit is an extension. Return to your normal window and disable extensions one by one.
- To find the offender faster, go to chrome://extensions/, toggle all off, reload Coachful, then re-enable them one at a time.
Step 7 — Try the Coachful mobile app
If your desktop browser is in a bad state, the Coachful mobile app is a reliable fallback. Native iOS and Android apps handle camera and microphone permissions at the OS level, bypassing browser WebRTC quirks entirely.
- Download the app via app.coachful.co/mobile — available for iOS and Android.
- Sign in with your existing credentials.
- Navigate to Bookings → [Your Session] → Join Call.
- Grant camera and microphone permissions when prompted by the OS.
The mobile app uses the same Stream Video infrastructure as the web app, so call quality is identical. Many coaches prefer running their video sessions from a tablet for the larger screen while keeping their laptop free for notes.
Troubleshooting — Common mistakes and edge cases
The call connects but video is black or frozen
A black video tile almost always means the camera feed isn't reaching the browser. Try switching to a different camera (if you have more than one) using the camera selector inside the Coachful call interface (click the chevron next to the camera icon). If you're using a virtual camera (like Snap Camera or OBS), disable it and switch to your physical webcam. On Mac, also try toggling Camera Access off and on in System Settings.
Audio works but video doesn't (or vice versa)
Permissions for camera and microphone are granted independently. You may have allowed microphone but blocked camera, or vice versa. Return to your browser's site settings for app.coachful.co and confirm both are set to Allow. Then reload the page.
The call disconnects after 30–60 seconds
Brief connections that drop quickly usually indicate an unstable network or a NAT traversal failure. Your router may not support STUN/TURN relay properly. Try enabling a reliable TURN relay by connecting through a mobile hotspot — if the call stabilizes, the issue is your home or office router. Consult your router's documentation for WebRTC or UPnP settings.
One participant can hear/see the other but not vice versa
This is a one-sided permission problem. The participant who can't be heard or seen needs to check their own browser and OS permissions — the issue is always on the side that's invisible or silent, not the side receiving correctly. Walk them through Step 1 above.
Call works on Wi-Fi but not on ethernet (or vice versa)
Your firewall or router may be blocking WebRTC ports on one network interface. Try flushing your DNS cache (ipconfig /flushdns on Windows, sudo dscacheutil -flushcache on Mac) and restarting your browser. Also confirm your ethernet adapter's firewall rules aren't stricter than your Wi-Fi adapter's.
Error: "Could not start video source"
This specific error means the browser located your camera but couldn't open the stream — almost always because another app has an exclusive lock on the device. Go back to Step 4, fully close every app that could touch your camera, then reload Coachful. On Windows, the Camera app in the taskbar notification area is a common hidden culprit.
Pro tips for reliable video sessions every time
Prevention is faster than troubleshooting. Build these habits into your coaching workflow to keep video call issues from ever derailing a session:
- Run a test call 5 minutes early. Coachful's booking system sends a reminder with your join link 15 minutes before the session. Use that buffer to confirm your camera and mic are live before the client arrives.
- Keep one browser profile dedicated to Coachful. This avoids extension conflicts and keeps permissions locked in. Chrome Profiles are perfect for this.
- Restart your browser weekly. Long-running browser sessions accumulate memory and cached state that can silently break WebRTC. A fresh launch costs 10 seconds and prevents hours of confusion.
- Bookmark
app.coachful.co/sign-innot a specific session URL. Always navigate to your live session from inside the app to get a fresh, authenticated room token.
Coaches who run high-ticket programs on Coachful often pair their 1:1 video sessions with async check-ins via program tasks and habits — so if a single video call has a hiccup, the coaching relationship doesn't skip a beat. The structured program keeps clients moving forward between sessions.
When to contact Coachful support
If you've worked through every step above and the call still won't connect, there may be a platform-level incident or an account configuration issue. Before reaching out, collect the following so support can help you faster:
- Your browser name and version
- Your operating system and version
- The exact error message or behavior you see (a screenshot helps)
- The session ID or booking URL from your Coachful dashboard
- Results from a network speed test
- Whether the issue affects both parties or only one
You can check real-time platform status and open a support ticket from within your Coachful dashboard, or browse additional troubleshooting guides at help.coachful.co.
