Tasks and habits: the building blocks of a great coaching program

If your clients are drifting between sessions without clear action items, the problem usually isn't motivation — it's structure. Tasks and habits inside a Coachful coaching program give every client a concrete to-do list and daily rituals that keep them moving forward, even when you're not on a call. Whether you're building a 12-week fitness program, a 6-week business accelerator, or a 90-day mindset course, tasks and habits are how you translate your coaching methodology into daily client action.

This guide walks you through exactly how to add tasks and habits to a program in Coachful, explains the difference between the two, and shares best practices for structuring them so clients actually complete them.

TL;DR

  • Tasks are one-time action items tied to a specific day inside a program week (e.g., "Complete your values assessment").
  • Habits are recurring daily or weekly behaviours you want clients to track throughout the program (e.g., "Meditate for 10 minutes").
  • Both are added inside Coach → Programs → [Your Program] → Curriculum at the week and day level.
  • Clients see tasks and habits in their dashboard and can mark them complete, giving you real-time progress visibility.

Tasks vs. habits — what's the difference?

Before you start adding content, it's worth being clear on which tool fits which coaching outcome.

Tasks

A task is a discrete, completable action attached to a specific day in your program curriculum. Think of it like a checkbox on a project plan. Tasks are perfect for deliverables: fill in a worksheet, watch a video lesson, write a journal entry, or submit a draft. Once a client marks a task complete, it's done — it won't resurface the next day.

Tasks can also carry a description, an embedded resource link, or instructions so clients know exactly what "complete" looks like before they start. This removes the ambiguity that kills follow-through.

Habits

Habits are recurring tracking items — behaviours you want clients to practice consistently over the life of the program. Rather than appearing once, they show up every day (or on the days you specify) and clients check in against them. Over time, the completion streaks become a powerful motivator in themselves.

Great habit examples for coaching programs include: drink 2 litres of water, post one piece of content, review your top three priorities, or complete a 20-minute workout. The habit itself is simple; the consistency is the transformation.

When to use each

  • Use tasks for milestone deliverables, one-off exercises, or anything that has a clear "done" state.
  • Use habits for behaviours you want clients to practise repeatedly across multiple days or weeks.
  • Combine both in a single week for maximum structure: a few daily habits running in the background, plus two or three tasks to complete during the week.

How to add tasks to a coaching program (step by step)

Before you begin, make sure your program has at least one week added to its curriculum. If you're starting from scratch, see How to create a coaching program.

  1. From your coach dashboard, go to Coach → Programs and open the program you want to edit.
  2. Click the Curriculum tab. You'll see your weeks laid out in order.
  3. Expand a week to reveal its days (Day 1 through Day 7, or however many days you've configured for that week).
  4. Click on the specific day where you want the task to appear — for example, Day 1 of Week 1 for an orientation task like "Read the program overview".
  5. Inside the day panel, click Add task.
  6. Enter a clear, action-oriented task title (e.g., "Complete your wheel of life assessment"). Clients see this title verbatim, so make it instructional.
  7. Add a description with any context, instructions, links, or embedded resources they need to complete the task.
  8. Click Save. The task is now live in that day's view for any client enrolled in the program.
  9. Repeat for each day and week across your curriculum. You can add multiple tasks per day — but see the pro tips below on not overloading clients.

You can reorder tasks within a day using the drag handle on the left of each task row, and you can duplicate tasks across days if you want repeated exercises (like a daily reflection prompt that kicks off each new week).

How to add habits to a coaching program (step by step)

Habits in Coachful are managed at the program level rather than at the individual day level, because they recur across the program rather than sitting in a single time slot.

  1. From your coach dashboard, go to Coach → Programs and open your program.
  2. Click the Curriculum tab, then look for the Habits section — this typically sits above or alongside your week/day curriculum view.
  3. Click Add habit.
  4. Enter a short, specific habit name (e.g., "Morning journaling — 10 minutes"). Specificity matters: "exercise" is vague; "20-minute walk before 9 am" sets a clear expectation.
  5. Optionally add a description explaining why this habit matters in your program's context — clients who understand the "why" are far more likely to track consistently.
  6. Click Save. The habit will now appear in the client's daily dashboard throughout the duration of the program, giving them a one-tap check-in every day.
  7. Add additional habits as needed. For most programs, 2–5 habits strikes the right balance between accountability and overwhelm.

Once a client enrolls in the program, they'll see the full habit list in their daily view. Their check-in history is visible to you as the coach, so you can spot patterns — three missed days in a row is a cue to send an encouraging message or schedule a check-in call.

Coachful tip: Coaches using Coachful can monitor client task completion and habit streaks directly from their dashboard without chasing clients for updates. That visibility alone saves hours of admin time each week and lets you focus your energy on clients who actually need a nudge.

Structuring tasks and habits inside a 12-week program

A 12-week program is the most common format for transformational coaching, and tasks and habits work together across that arc. Here's a framework that works well in practice:

Weeks 1–2: Foundation

Use tasks to establish baselines — assessments, goal-setting worksheets, a "current state" audit. Add 2–3 foundational habits that you want clients practising for the entire 12 weeks. Keep the task load light: 1–2 tasks per day maximum. You want clients building the habit of opening the platform, not feeling overwhelmed on day one.

Weeks 3–8: Core work

Increase the complexity and number of tasks per week as clients hit their stride. Layer in new habits at the start of each two-week block — but retire habits that have already become automatic (you can leave them on for tracking or remove them from the active list). Use tasks to drive weekly deliverables: strategy documents, practice exercises, recorded role-plays, content drafts.

Weeks 9–12: Integration and momentum

Reduce new task volume and focus on consolidation. Tasks in the final weeks should be reflection-oriented: "Write your 90-day plan", "Record a video of your key learnings", "Submit your final project". Keep one or two core habits running right through to completion — ending on a strong streak is a powerful confidence signal for clients as they leave your program.

Pro tips for tasks and habits that clients actually complete

The biggest predictor of task completion isn't difficulty — it's clarity. Clients skip vague tasks and complete specific ones.
  • Lead with a verb. Every task title should start with an action word: Complete, Watch, Write, Record, Submit, Review, Schedule. This makes the action obvious at a glance.
  • Embed everything they need. Don't make clients hunt for resources. Paste worksheet links, video URLs, or document links directly into the task description. Friction kills completion rates.
  • Cap daily tasks at 3. Research on habit formation consistently shows that overloading people triggers avoidance. Three tasks per day is ambitious but achievable for a motivated coaching client. Save your stretch content for bonus tasks.
  • Use habits for non-negotiables only. If you add seven habits, none of them feel important. Pick the 3–5 behaviours that are truly core to your method and make those the habits. Everything else can be a task.
  • Front-load weeks. Put the heaviest tasks earlier in the week (Days 1–3) so clients aren't cramming on Day 7. Real lives are messy — buffer days at the end of the week are a gift.
  • Write descriptions as if you're not there. Your task descriptions should be self-sufficient. If a client reads the task at 10 pm while you're asleep, they should be able to complete it without needing to message you.

Common mistakes and troubleshooting

Tasks aren't appearing for enrolled clients

Check that the client is enrolled in the program and that the program has been published (not left in draft mode). Unpublished programs are visible to you in the coach dashboard but not accessible to clients. Go to Coach → Programs → [Program] → Settings and confirm the status is set to Active or Published.

Habit check-ins aren't showing in the client dashboard

Habits only appear once a client is enrolled. If you added habits after a client enrolled, they should appear automatically on their next dashboard refresh. If they don't, ask the client to log out and log back in, or clear the app cache. If the issue persists, contact Coachful support.

I can't reorder weeks or days

Reordering is available in the curriculum builder using the drag handles on each week. If dragging isn't working, make sure you're on a desktop browser — the drag-and-drop interaction can be limited on some mobile browsers. For mobile editing, use the Coachful progressive web app at app.coachful.co.

A task is showing on the wrong day

Tasks are attached to specific day slots. If a task is appearing in the wrong place, open the curriculum builder, find the task, delete it, and re-add it to the correct day. There is no "move task" drag between days in the current version — re-creation is the fastest fix.

Clients are completing tasks but I can't see their progress

Go to Coach → Programs → [Program] → Members (or the client's individual profile) to view their task completion history and habit streaks. If data looks stale, confirm the client is using the correct account — occasionally clients create duplicate accounts with different email addresses. See merging duplicate client accounts for help.

I want to assign different tasks to different clients in the same program

Coachful programs are curriculum-based, meaning all clients enrolled in a program share the same task and habit structure. For highly individualised task sets, you have two options: create separate program variants for different client segments, or use the goals feature alongside 1:1 messaging to assign custom action items to individual clients.

Using Michelle (AI assistant) to build your curriculum faster

If you're staring at a blank curriculum and don't know where to start, ask Michelle — Coachful's built-in AI co-pilot. Inside your coach dashboard, open Michelle and describe your program's goal and audience. She can suggest a week-by-week task structure, recommend habit categories, and even draft task descriptions you can paste straight into the curriculum builder. It's not a replacement for your expertise, but it's a fast way to get a first draft on the page so you can refine rather than create from scratch.

Michelle is available across the Coachful dashboard — look for the AI assistant icon in the bottom corner of your workspace.

Ready to build a program your clients can't stop talking about?

Well-structured tasks and habits are what separate a generic course from a coaching program that creates real, lasting change. When clients open their dashboard each morning and see a clear action plan — and when they see their habit streaks growing day by day — they stay engaged, they see progress, and they renew. That's the outcome every coach is building toward.

Coachful gives you everything you need to build, deliver, and track a world-class coaching program in one place — without stitching together five different tools. Frequently asked questions

What is the difference between tasks and habits in a coaching program?
Tasks are one-time, completable action items tied to a specific day in your program curriculum — like submitting a worksheet or watching a lesson. Habits are recurring daily behaviours clients track throughout the program — like a morning journaling routine or a daily water intake goal. Use tasks for milestones and habits for consistent daily practices.
How many habits should I add to a coaching program?
Most coaches see the best client completion rates with 2–5 habits per program. Adding too many habits dilutes their importance and can overwhelm clients, leading to lower overall engagement. Focus on the behaviours that are truly non-negotiable for your methodology and save everything else for one-off tasks.
Can I add different tasks for different clients in the same program?
Coachful programs share the same task and habit structure across all enrolled clients. For highly individualised plans, you can create separate program variants for different client segments, or use the goals feature and 1:1 messaging to assign custom action items on top of the shared curriculum.
Do clients get notified when a new task is available?
Yes — Coachful sends clients notifications when new program content becomes available, depending on your program's release schedule. Clients also see pending tasks and habit check-ins prominently in their dashboard each time they log in, keeping the action items front of mind.
Can I see which tasks my clients have completed?
Yes. Go to Coach → Programs → [Your Program] → Members to view each client's task completion history and habit streaks. This gives you real-time visibility into who is on track and who might need a nudge, without having to ask clients for manual updates.
Can I use tasks and habits in a group coaching program?
Absolutely. When multiple clients enroll in the same program, they all follow the same task and habit curriculum. Each client's progress is tracked individually, so you can see how each person in your cohort is performing even within a group coaching setup.
Is there a way to build a coaching program curriculum using AI?
Yes — Coachful includes Michelle, a built-in AI assistant that can help you draft a week-by-week task and habit structure based on your program's goals and audience. Open Michelle from your coach dashboard, describe your program, and use her suggestions as a starting point to refine into your finished curriculum.
