Before you start: what you need in place
Running weekly squad calls inside Coachful is straightforward, but a few things should be set up first so the experience is seamless for your clients.
- An active program with at least one cohort squad. When clients enroll in a program, Coachful auto-creates the cohort squad. If you haven't published your program yet, do that first — see Create and publish a coaching program.
- Your availability configured. Even for group calls, Coachful uses your availability settings to prevent scheduling conflicts. Head to Coach → Bookings → Availability and confirm your weekly blocks are correct.
- Calendar sync enabled (recommended). Connect Google Calendar or Outlook so the group call is reflected in your personal calendar and in your clients' calendar invites automatically. You can do this under Settings → Integrations → Calendar.
- At least one client enrolled in the squad. You can schedule the call before enrollment opens, but clients won't receive notifications until they're in the squad.
How to schedule a recurring weekly squad call — step by step
Follow these steps to create a weekly group call and attach it to your squad. The whole process takes under five minutes.
- From your coach dashboard, navigate to Bookings → Group Calls and click Create group call.
- Give the call a clear name your clients will recognize — something like "Weekly Cohort Kickoff — [Program Name]" or "Monday Momentum Call". This name appears in the squad feed and in calendar invites.
- Set the date and start time for the first occurrence. Pick the time that works best for your cohort's time zone. Coachful displays times in each user's local time zone automatically, so you don't need to add "(EST)" to the title.
- Set the duration. Most coaches run 45–60 minute weekly calls. For a 12-week program with a high-touch accountability format, 60 minutes with a structured agenda tends to work well.
- Under Recurrence, select Weekly and choose the day(s) of the week. If you run a bonus Friday wrap-up in addition to your Monday call, you can select both days here.
- Set an end date or a number of occurrences. For a 12-week program, enter 12 occurrences so the series ends naturally with the program.
- Under Linked squad, select the cohort squad tied to the program. This ensures the call appears inside the squad feed and enrolled clients get notified.
- Set a max participants if you want to cap attendance (useful if you run multiple cohorts and want to keep groups intimate — typically 6–15 clients per cohort is the sweet spot).
- Toggle Add to client calendar on. Coachful will send a calendar invite to every squad member as soon as you save.
- Click Save & publish. The call series is live. Clients will see it pinned in their squad channel and receive an in-app notification.

- Same day, same time, every week. Predictability is the single biggest driver of attendance. Clients build the call into their routine only if it never moves.

Troubleshooting common squad call issues
Clients can't see the join button
The Join button activates 10 minutes before the scheduled start time. If a client tries to join earlier, they'll see the event card but the button will be greyed out. Ask them to refresh the squad feed at the start window. If the button still doesn't appear, confirm that the call is linked to the correct squad — go to Bookings → Group Calls, open the event, and check the Linked squad field.
The call series isn't showing in the squad feed
This usually means the call was created without a linked squad, or it was linked to a community squad instead of the correct cohort squad. Edit the group call event, set the correct squad in the Linked squad field, and save. The event will appear in the squad feed within a few minutes.
Clients aren't getting calendar invites
Calendar invites are only sent automatically if Add to client calendar was toggled on before you saved the event. If you forgot to enable it, edit the event, toggle it on, and click Resend invites. Clients who already accepted an invite won't receive a duplicate.
Video quality is poor for some clients
Coachful's video is powered by Stream Video, which adapts bitrate dynamically. Poor quality almost always points to the client's internet connection, not the platform. Ask affected clients to switch from Wi-Fi to a wired connection or to close bandwidth-heavy background apps. If the issue persists, they can join audio-only by disabling their camera.

Late enrollees are automatically added to the cohort squad and will see all future scheduled calls. You need to cancel one occurrence without deleting the whole series
Go to Bookings → Group Calls, find the series, and click into the specific occurrence you want to cancel. Choose Cancel this occurrence (not the full series). Clients will receive a cancellation notification and the slot will be removed from the squad feed. The rest of the series remains intact.
