Sometimes the right person needs to be in the room before they've gone through the usual enrollment flow. Whether you're onboarding a VIP client, correcting a missed sign-up, or adding a team member to an active cohort, adding members to a squad manually is a task every coach needs to do confidently and quickly.
This guide walks you through every method for manually adding members to a squad in Coachful — including cohort squads, community squads, and the edge cases that trip coaches up.

Understanding Squad Types Before You Add Anyone
Before you start clicking, it helps to know which kind of squad you're working with. Coachful has two active squad types:
Cohort Squads
Cohort squads are automatically created when clients enroll in a program. Each cohort gets its own squad so participants can communicate, share progress, and stay accountable together. Because these squads are tied to a program, membership is normally driven by enrollment. That said, you can still add supplemental members — coaches, guest experts, or clients who need access without going through a full program purchase — directly through the squad's Members tab.
Community Squads
Community squads are always-on group spaces not tied to a specific program run. They're perfect for alumni networks, free communities, paid masterminds, or any group you want to keep active between programs. These are the most flexible when it comes to manual membership management.
Note: Standalone squads are deprecated. If you're managing an older workspace that still has standalone squads, the steps below still apply, but consider migrating to a community squad for full feature support.
How to Add Members to a Squad Manually
The process is the same whether you're working with a cohort squad or a community squad. Here's the full step-by-step walkthrough.
- Sign in to your Coachful dashboard at app.coachful.co/sign-in.
- In the left sidebar, navigate to Coach → Squads. You'll see a list of all squads in your workspace.
- Click the name of the squad you want to manage.
- Select the Members tab at the top of the squad detail page.
- Click the Add Member (or Invite Member) button in the top-right corner of the members list.
- In the dialog that appears, either:
- Search by name or email to find an existing user already in your Coachful workspace, or
- Enter an email address for someone who hasn't joined your workspace yet. They'll receive an invitation email with a link to join.
- Select the appropriate role for the new member. Most participants should be added as Member. Coaches or moderators managing the squad can be assigned the Coach org role.
- Click Add (or Send Invite). The member appears in the list immediately if they're an existing user, or shows as Pending until they accept the invitation.
That's the core flow. It takes under a minute once you know where to look.
Adding Members in Bulk
If you need to add several people at once — say, you're migrating a group from another platform or onboarding an entire corporate team — you have two efficient options.
Add Multiple Emails at Once
In the Add Member dialog, most workspace plans allow you to paste a comma-separated list of email addresses. Coachful will process each one: existing users are added instantly, new addresses receive invitation emails. This is the fastest way to populate a community squad from a spreadsheet or CRM export.
Use Michelle (Your AI Assistant)
If you're on the Scale plan, you have access to Michelle, Coachful's built-in AI co-pilot. You can ask Michelle directly in the coach dashboard: "Add these five clients to my [Squad Name] squad" and paste the names or emails. Michelle can locate existing users, trigger invitations for new ones, and confirm the additions — saving you several navigation steps when you're managing a large roster.
Pro tip: Before a live cohort kicks off, use Michelle to audit squad membership against your enrollment list. Ask: "Who is enrolled in [Program Name] but not yet in the cohort squad?" and resolve gaps before Day 1.
Adding Members to a Cohort Squad Specifically
Cohort squads have an extra layer to consider. Because they're generated from program enrollments, the cleanest way to add a client to a cohort squad is to enroll them in the parent program first. Enrollment automatically adds them to the cohort's squad.
To enroll a client manually in a program:
- Go to Coach → Programs and open the relevant program.
- Navigate to the Enrollments tab.
- Click Enroll Client, search for the client, and confirm. If the client doesn't have an account yet, you can create one on their behalf or send them an invitation link.
- Once enrolled, they're automatically added to the associated cohort squad.
If you need someone in the squad without a full program enrollment — for example, a coach, a sponsor, or a guest mentor — follow the standard squad member steps above. They'll have access to the squad's chat and resources but won't appear on the program's enrollment roster or have access to program content unless separately enrolled.

Managing Roles and Permissions for New Members
When you add a member to a squad, you're also setting their org-level role within your coaching workspace. Here's a quick reference:
- Member — Standard client role. Can participate in squad chat, complete program tasks (if enrolled), and book sessions. This is the default for most clients.

- Virtual Assistant — Can handle administrative tasks (managing bookings, sending messages) but doesn't have full coach access. Great for support staff.

You can change a member's role at any time from Settings → Team or directly from the Members tab by clicking the role badge next to their name.

What Happens After You Add Someone
Once a member is added to a squad, several things happen automatically:
- Existing users get a real-time notification (push + in-app) and can immediately access the squad's Stream-powered chat and any pinned resources.
- New users (invited by email) receive a branded invitation email from your Coachful subdomain (e.g.,
yourname.coachful.co). The link takes them through a lightweight onboarding to set their password, then drops them directly into the squad. - Mobile users on the Coachful iOS or Android app see a push notification and can join the squad conversation immediately.
- The squad's member count updates in real time on your dashboard.
If you're using a custom domain, the invitation email and onboarding experience will reflect your branded domain rather than the default coachful.co subdomain — a nice touch for premium programs.
Pro Tips for Managing Squad Membership
Set a Welcome Message Before You Add Members
Before bulk-adding a group, pin a welcome message or resource in the squad. That way, the first thing new members see when they land is context — not an empty chat room. Go to the squad, post your welcome message, then use the pin icon to keep it at the top.
Use Community Squads as a Pre-Program Warm-Up Space
Manually add enrolled clients to a community squad a week before their cohort program starts. Use it as a pre-launch space to build energy and answer questions. When the cohort squad auto-creates on program start, they'll already know each other — boosting early engagement significantly.
Add Your Own Account as a Member
Even as the coach and workspace owner (super_coach), you should add yourself as a member of every squad you manage — not just as an admin. This ensures you receive member-level notifications and can experience the squad exactly as your clients do. It's also essential for testing the onboarding flow before launch.
Best practice: After every manual add, send a quick direct message to the new member introducing yourself and pointing them to 1-2 resources inside the squad. Coaches who do this report significantly higher first-week engagement rates from new participants.
Troubleshooting Common Issues
The member I added shows as "Pending" — what does that mean?
Pending means an invitation email was sent but the user hasn't accepted it yet. Check that the email address is correct. You can resend the invitation from the Members tab by clicking the ⋯ menu next to their name and selecting Resend Invite. If the email still doesn't arrive, ask the client to check their spam folder or use an alternate address.
I can't find the "Add Member" button
This usually means you don't have the right role to manage that squad. Only users with a Coach, Admin, or Super Coach role can add members. If you're a coach on someone else's workspace and the button is missing, contact your workspace admin to adjust your permissions. See Roles and permissions.
The client was added to the squad but can't see the program content
Squad membership and program enrollment are separate. Being in a cohort squad gives the client access to the chat and community features of that squad, but not to the structured program curriculum (weeks, tasks, goals). To grant program access, you need to enroll them in the program separately via Coach → Programs → Enrollments.
I added someone to the wrong squad
No problem. Go to the squad's Members tab, click the ⋯ menu next to the member's name, and select Remove from Squad. Then add them to the correct squad. Removing someone from a squad does not delete their Coachful account or affect their program enrollments.
Invited members aren't receiving the invitation email
First, double-check the email address for typos. Second, ask the client to whitelist notifications@coachful.co (or your custom domain's sending address) in their email client. If you're on a custom domain, verify that your domain's DNS records include the required SPF/DKIM entries — these are set automatically by Coachful when you connect a custom domain, but propagation can take up to 48 hours.
I need to add hundreds of members — is there a CSV import?
For large-scale imports, reach out to Coachful support via the in-app chat. The team can assist with bulk member imports for Scale plan workspaces. Alternatively, use the comma-separated email input in the Add Member dialog for batches of up to ~50 addresses at a time.
