A Coachful program is a structured coaching curriculum organized into weeks, days, and tasks — think a 12-week transformation program with 3 check-in tasks per week, habit trackers, and milestone goals. Each program can have any number of enrolled clients, and every client who joins is automatically placed into a cohort squad: a dedicated group space where members can message each other and you in real time.

Bulk enrollment means adding two or more clients to a program simultaneously rather than sending individual invitations one at a time. This is especially valuable for:

  • Cohort launches — opening a new round of your flagship program to a waitlist of 20, 50, or 200 people at once.
  • Corporate or team packages — a company buys seats and you need to provision all employees on day one.
  • Migrating clients from another platform — you're moving to Coachful and need to recreate your existing client roster inside a program.

Before you start: prerequisites

A few things need to be in place before bulk enrollment will work smoothly.

1. Your program must be published (or in draft preview)

You can enroll clients into a program that is in Published or Preview status. If your program is still in Draft, enrollment is locked. Go to Coach → Programs, open your program, and check the status badge in the top-right corner. Flip it to Published when you're ready.

2. Clients must exist as contacts

Coachful's bulk-enrollment flow works from your Contacts list. If you're enrolling brand-new people who have never interacted with your workspace, you'll need to create contact records for them first — either manually or via CSV import (covered below). Existing clients who have already booked a session, purchased an offer, or signed up through your website are already in your contacts automatically.

3. Decide on access and billing

Enrollment and payment are separate in Coachful. You can enroll someone with a paid offer attached (Stripe processes the charge), a payment plan, or complimentary access (no charge). Decide this before you start the bulk flow so you don't have to pause mid-way.

Method 1: Bulk-enroll from the Enrollments panel

This is the fastest path when your clients are already in your Coachful contacts.

  1. Go to Coach → Programs and click into the program you want to enroll clients in.
  2. Select the Enrollments tab near the top of the program detail page.
  3. Click Add enrollees (or Enroll clients — the label matches your program's terminology setting).
  4. In the search panel that opens, type a name or email to find a contact, then tick the checkbox next to their name. Repeat for each client you want to add. You can select as many as you need — there's no hard cap per batch.

    • Paid offer — link a Stripe-backed offer; clients are charged immediately or put on a payment plan.

  1. Go to Coach → Contacts and click Import contacts.
  2. Download the Coachful CSV template. At minimum you need first_name, last_name, and email columns. Optional columns include phone, tags, and notes.
  3. Populate the template with your client data. Save as a .csv file (UTF-8 encoding).
  4. Upload the file, map your columns to Coachful fields, and click Import. Coachful deduplicates on email address — if a contact already exists, their record is updated rather than duplicated.
  5. Once the import is complete, your new contacts appear in the Contacts list. From there, follow Method 1 above to enroll them in your program.

Newly imported contacts who don't yet have a Coachful account will receive an invitation email the moment you enroll them in a program. The email contains a magic link that creates their account and drops them straight into the program — no separate signup flow required.

Cohort squad creation

Every Coachful program automatically maintains a cohort squad — a group chat and video space that includes all enrolled clients plus the coaches assigned to the program. Troubleshooting common bulk-enrollment issues

Some clients didn't receive their welcome email

Check that the email address in their contact record is correct and that the contact's email marketing status isn't set to Unsubscribed. Coachful respects unsubscribe flags to stay CAN-SPAM compliant. For clients who didn't get the email, you can resend the invitation from Enrollments → [Client name] → Resend invite.

The "Enroll" button is grayed out

This almost always means the program is still in Draft status. Publish or preview the program first. If the status is already Published and the button is still grayed out, check that you have the Coach or Admin role in your organization — members and virtual assistants don't have enrollment permissions by default.

Clients see the wrong start date or wrong week

If clients are landing on Week 3 content when they should be on Week 1, your program is using a rolling enrollment clock and some clients were imported with an old enrollment date. Go to Enrollments → [Client name] → Edit enrollment and manually set the correct start date. For future cohorts, always configure the cohort start date before bulk-enrolling.

Duplicate contacts after CSV import

Coachful deduplicates on exact email match. If you have the same person under two different email addresses (e.g., personal vs. work), they'll appear as two contacts. Merge duplicates from Contacts → [Contact] → Merge before enrolling. Michelle can also surface potential duplicates if you ask her to check.

Payment failed for a client during bulk enrollment

If a client's card declines during a paid bulk enrollment, their record shows as Enrollment failed – payment in the panel. You can retry from there or switch their access type to Complimentary if you've collected payment by another method. Failed enrollments don't affect the rest of the batch — everyone else goes through regardless.

CSV upload errors

The two most common causes are: (1) the file isn't saved as UTF-8 CSV (Excel sometimes saves as a different encoding — use "Save as CSV UTF-8" explicitly), and (2) the email column has blank rows. Remove any blank rows at the bottom of your spreadsheet before importing.
