Which video option is right for your coaching practice?
If you're setting up sessions on Coachful for the first time — or migrating from a patchwork of tools — one of the first questions coaches ask is: should I use Coachful's built-in video or connect Zoom? Both options let you run live 1:1 sessions and group calls with clients, but they work differently, suit different workflows, and have real trade-offs worth knowing before you book your first call.
This guide breaks down every meaningful difference — features, setup, reliability, client experience, and when to pick one over the other — so you can make the right call for your practice.
TL;DR — Quick comparison
- Built-in Coachful video (powered by Stream) is zero-setup, lives entirely inside your Coachful workspace, and is the fastest path to running a session.
- Zoom requires a separate account, manual or calendar-synced link sharing, and your clients leave the Coachful environment to join.
- For most coaches getting started, built-in video is the right default. For coaches who already have an established Zoom workflow — or who need Zoom-specific features like breakout rooms — Zoom still works well alongside Coachful's scheduling tools.
- You can use both. They are not mutually exclusive.
How Coachful's built-in video works
Coachful's video layer is powered by Stream Video, the same infrastructure used by enterprise communication products. When you or a client clicks to start a session, an HD video room spins up instantly inside the platform — no app download, no meeting link to copy, no "wrong link" support tickets.
Video calls in Coachful are tied directly to your bookings and scheduling system. When a client books a 1:1 session, a group call, or an intake call through your booking page, the call room is automatically attached to that booking. At the scheduled time, both you and your client see a Join Call button inside the session card — one click, and you're live.
The same applies to instant calls. If a client needs to jump on a quick call outside of a scheduled booking, you can start an instant video session directly from the messaging thread. This is useful for accountability check-ins or quick unplanned conversations that don't warrant a formal booking.
Key built-in video features
- HD video and audio with adaptive bitrate (quality adjusts to the connection)
- Screen sharing for reviewing documents, worksheets, or coaching frameworks live
- Works in-browser — no app install required for clients
- Fully integrated with Coachful bookings, programs, and squads
- Instant call support from within any chat thread
- Available on desktop and via the Coachful mobile app (iOS and Android)
How Zoom integration works with Coachful
Coachful's scheduling system lets you attach an external meeting link — including a Zoom link — to any session type. When you create a session type (for example, a 60-minute coaching call), you can paste in your personal Zoom meeting URL or a unique Zoom link generated for each booking. Coachful then surfaces that link in the booking confirmation and the session card, so clients know exactly where to go.
If you use Google Calendar sync or another calendar integration, Zoom links generated by your calendar's Zoom add-in can flow into the event details, which then sync back to the session in Coachful. This is a common workflow for coaches who've been using Zoom for years and want to keep their existing meeting cadence without rebuilding it from scratch.
What Zoom gives you that built-in video doesn't
- Breakout rooms — useful if you run group coaching workshops where you want small-group exercises during a call
- Zoom recording to the cloud — if you're already paying for Zoom Pro or higher and rely on their cloud recording vault, that stays intact
- Webinar mode — for large-audience events (Zoom Webinars is a separate Zoom product), Coachful doesn't replicate this use case
- Familiarity — many clients already have Zoom installed and know how it works, which can reduce friction for less tech-savvy audiences
What you give up when you rely on Zoom
The biggest cost of using Zoom is context switching — for both you and your clients. A client has to leave the Coachful environment, open Zoom (or a browser tab), and then find their way back. That sounds minor, but it adds friction to every single session and breaks the seamless coaching experience you're trying to create.
There's also a practical admin cost. Zoom links can expire, get changed, or be the wrong link for the wrong meeting. Every "I can't find the link" message in your inbox is time you're not spending coaching. With built-in video, that problem disappears entirely.
Coachful tip: The coaches who report the highest client satisfaction scores tend to keep everything inside one platform. When clients can book, message, watch program content, check habits, and join calls all in the same place — without toggling between apps — it signals professionalism and makes your program feel premium. Coachful is built specifically to eliminate that tool sprawl.
Setting up built-in video — step by step
Built-in video requires no setup beyond creating a session type. Here's the full flow:
- Go to Coach → Bookings → Session Types and click Create session type.
- Name your session (e.g., "60-min Strategy Call"), set the duration, and configure your availability windows.
- Under the Meeting location field, select Coachful Video. This is the default for new session types.
- Save the session type. Your booking page is now live and will automatically generate a call room for each confirmed booking.
- At session time, open the booking from your Coach → Bookings → Upcoming view and click Join Call. Your client sees the same button on their end.
That's it. No API keys, no third-party accounts, no copy-pasting links.
Setting up Zoom with Coachful — step by step
- Make sure you have an active Zoom account (free or paid).
- In Zoom, copy your Personal Meeting Room URL (e.g.,
https://zoom.us/j/your-meeting-id) or create a new scheduled meeting and copy that link. - In Coachful, go to Coach → Bookings → Session Types and open the session type you want to use Zoom for.
- Under Meeting location, select Custom link and paste your Zoom URL.
- Save. Going forward, every booking confirmation for this session type will include your Zoom link.
- Optional: Connect your Google Calendar under Coach → Settings → Calendar and enable the Zoom add-in inside Google Calendar to auto-generate unique Zoom links per event. Those links will appear in the calendar event, which syncs with Coachful.
Pro tip: If you use Zoom, strongly consider using unique Zoom links per meeting rather than your Personal Meeting Room. Personal room links are always "open," which means a client who still has the link could join at any time — not just during your session. Unique links expire after the meeting ends and are much safer for a professional practice.
Group calls: built-in video vs. Zoom
Coachful's built-in video handles group calls natively. When you create a group call session type, the same one-click join experience applies to every enrolled client. This integrates cleanly with Squads — your cohort group can book into a group session, chat in the squad before and after, and never leave the Coachful environment.
For very large groups (50+ participants), Zoom's infrastructure may handle the load more gracefully depending on your internet conditions. But for the typical coaching cohort of 6–20 people, Coachful's built-in video is fully capable and significantly more convenient.
If you run workshops that require breakout rooms, Zoom is currently the better choice for that specific need. There's no built-in breakout room feature in Coachful video at this time. You can still use Coachful for everything else — program content, habits, messaging, billing — and just use Zoom for the workshop portion of your delivery.
Mobile experience
Coachful's mobile app (available on iOS and Android, or as a progressive web app at app.coachful.co/mobile) supports built-in video calls. Your clients can join a session from their phone with one tap, no Zoom app required.
If you use Zoom, clients will need the Zoom mobile app installed, or they'll join through a mobile browser — which is a more inconsistent experience depending on their device and Zoom version. For coaches with clients who aren't particularly tech-forward, this is a real consideration.
Billing and cost
Built-in Coachful video is included in your Coachful subscription — there's no additional per-host or per-minute charge. Zoom has its own pricing: the free tier limits group calls to 40 minutes and 100 participants. Zoom Pro or higher (billed separately) is needed for unlimited call duration.
If you're already paying for Zoom Pro and have no reason to stop, that's a reasonable ongoing cost. But for coaches starting fresh, eliminating a $15–$20/month Zoom subscription by using built-in video is a meaningful saving, especially when built-in video covers all the same core use cases.
Common mistakes and troubleshooting
Mistake 1: Using your Zoom personal room link and wondering why clients keep interrupting each other's sessions
Your Zoom personal room is always the same URL. If a client bookmarks it and joins early, they'll drop into whatever meeting is already in progress. Always generate a new Zoom link per session, or switch to Coachful's built-in video where each booking gets its own isolated call room automatically.
Mistake 2: Not testing the video call before your first client session
Whether you use built-in video or Zoom, run a test call with a friend or colleague before your first paid session. Check your camera angle, lighting, audio levels, and screen share. This applies especially to built-in video if your clients are less familiar with it — send them a quick note explaining they'll click "Join Call" inside their Coachful account at session time.
Mistake 3: Mixing video methods across session types without telling clients
Some coaches use Zoom for workshops and built-in video for 1:1s. That's a perfectly valid setup, but make sure your session type names and booking confirmation emails make it obvious. "Workshop — Zoom link included" and "1:1 Call — join via Coachful" removes all ambiguity.
Mistake 4: Forgetting to update the Zoom link when it changes
If you regenerate your Zoom personal room link for security reasons (or a meeting link expires), you need to update it inside every affected session type in Coachful. Built-in video has no equivalent maintenance burden — it's always current.
Mistake 5: Assuming clients know how to join Coachful video on mobile
First-time clients may not realize they can join via the Coachful mobile app. Include a short onboarding note — or use a program task in your welcome week — that walks new clients through downloading the app and finding the Join Call button. Michelle, the AI assistant inside your coach dashboard, can help you draft that onboarding message in seconds.
Which should you choose?
Here's a simple decision framework:
- Start with built-in video if you're new to Coachful, want the simplest client experience, or are replacing a fragmented tool stack.
- Use Zoom alongside Coachful if you need breakout rooms, already have a Zoom Pro subscription you're getting value from, or run large-audience webinars.
- Drop Zoom entirely once built-in video covers all your live session needs — most coaches find it does within the first month.
