If your coaching business runs on Microsoft 365, you already live inside Outlook and Teams. The last thing you need is a second calendar to babysit or a third messaging app to check. Connecting Microsoft 365 to Coachful means your availability stays accurate, session invites land directly in your clients' inboxes, and you stop juggling tabs just to confirm a booking.

This guide covers every step of the Microsoft 365 integration — from authorizing your Outlook calendar to surfacing sessions inside Teams — along with the gotchas coaches most commonly hit along the way.

TL;DR — What the Microsoft 365 Integration Does

  • Outlook Calendar sync: Coachful reads your existing events to block busy times and writes new coaching sessions back to your calendar automatically.
  • Outlook email notifications: Booking confirmations, reschedule requests, and cancellation alerts arrive in your normal inbox.
  • Microsoft Teams video links: When a session is booked, Coachful can generate a Teams meeting link and embed it in the calendar invite for both you and your client.
  • Two-way sync: Changes made in Outlook (cancellations, time edits) reflect back in your Coachful schedule in real time.

Before You Start: What You Need

Before connecting Microsoft 365, confirm you have the following:

  • A Microsoft 365 account (personal Microsoft accounts — @outlook.com, @hotmail.com — also work for calendar sync, but Teams link generation requires a Microsoft 365 Business or Enterprise plan).
  • A Coachful account on the Growth or Scale plan. Calendar integrations are not available on the free trial workspace, though you can configure everything during the trial and activate it the moment you upgrade.
  • Browser pop-ups allowed for app.coachful.co, since the OAuth authorization flow opens in a pop-up window.
  • If you manage a team, you must be a coach, admin, or super_admin (org role: super_coach or coach) to connect calendars. Virtual assistants and members cannot authorize integrations on behalf of coaches.

Step-by-Step: Connecting Your Outlook Calendar

The Outlook calendar connection uses Microsoft's OAuth 2.0 flow, so Coachful never sees your Microsoft password — only a scoped access token that you can revoke at any time from your Microsoft account security settings.

  1. Open your Coachful dashboard and go to Settings → Integrations in the left sidebar.
  2. Under the Calendar & Scheduling section, click Connect Microsoft 365.
  3. A Microsoft sign-in pop-up appears. Sign in with the Microsoft account you use for Outlook — this does not have to be the same email address you registered with Coachful.
  4. Review the permissions Microsoft requests. Coachful requests Calendars.ReadWrite and offline_access. The ReadWrite scope is required to both read your availability and create new events. Click Accept.
  5. Back in Coachful, a confirmation banner reads "Microsoft 365 connected successfully." Your connected email address is shown next to the integration tile.
  6. Choose which Outlook calendar to use from the dropdown (most coaches pick their primary calendar; you can also create a dedicated "Coaching" calendar inside Outlook first). Click Save.
  7. Set your conflict-checking calendars — these are additional calendars Coachful checks for busy blocks (e.g., your personal calendar, a shared team calendar). Toggle each one on or off.

That's it. From this point, any session booked through your Coachful scheduling page will appear in your Outlook calendar within seconds, and any existing Outlook event will block that time for new bookings.

Step-by-Step: Enabling Microsoft Teams Meeting Links

Teams link generation is a separate toggle, available after the calendar connection is live. When enabled, every new 1:1 session, group call, or intake call created in Coachful automatically gets a unique Teams meeting URL embedded in the calendar invite.

  1. Go to Settings → Integrations → Microsoft 365.
  2. Under Video Conferencing, toggle on Generate Teams meeting links.
  3. Coachful will prompt you to re-authorize with an additional Microsoft Graph scope: OnlineMeetings.ReadWrite. Click Re-authorize and accept the updated permissions.
  4. Choose your default behavior:
    • Always use Teams — every session type gets a Teams link, overriding Coachful's built-in video.
    • Ask per session type — you decide on the program or booking-type level. Useful if you want Coachful video for group cohort calls but Teams for 1:1 executive coaching sessions.
  5. Click Save. Test by booking a session on your own scheduling page — the calendar invite that arrives in Outlook should contain a working Teams link.
Pro tip: If you prefer Coachful's built-in HD video (powered by Stream) for group coaching squads, keep Teams reserved for 1:1 sessions where clients already live in the Microsoft ecosystem. Mixing both keeps your stack lean without forcing clients to download yet another app. You can configure this per session type under Bookings → Session Types → Edit → Video provider.

Two-Way Sync: How It Works in Practice

Coachful uses a webhook-based sync with Microsoft Graph, not a polling approach. That means changes propagate in near-real time rather than on a 15-minute lag. Here is what syncs in each direction:

Coachful → Outlook

  • New session booked → event created in Outlook with client name, session type, Teams link (if enabled), and Coachful session URL.
  • Session rescheduled in Coachful → Outlook event time updated.
  • Session cancelled in Coachful → Outlook event deleted (or marked cancelled, depending on your setting).

Outlook → Coachful

  • You add a personal event to the synced Outlook calendar → that time slot becomes unavailable for new bookings in Coachful.
  • You delete or move a personal event → availability opens back up accordingly.
  • Coachful-created events modified directly in Outlook (e.g., you accept a meeting invite that overlaps) → Coachful detects the conflict and marks the time as busy.

Note that cancelling a coaching session should always be done inside Coachful, not by deleting the Outlook event. Deleting the Outlook event removes it from your calendar but does not trigger Coachful's cancellation workflow — your client won't receive a cancellation notice and the booking will still appear as active in your dashboard.

Connecting Microsoft 365 as a Client

Clients can also connect their own Outlook calendar so confirmed sessions automatically appear in their personal calendar. After a session is booked, clients receive an email with a calendar attachment (.ics file) that imports directly into Outlook. For clients who want ongoing, automatic sync rather than one-off imports:

  1. The client logs into their Coachful portal at {your-slug}.coachful.co.
  2. They go to Account → Calendar & Notifications.
  3. Under Calendar sync, they click Connect Microsoft 365 and complete the same OAuth flow.
  4. All upcoming confirmed sessions — including group calls inside a cohort squad — will sync to their Outlook calendar automatically.
Coaches using Coachful report that enabling calendar sync for clients is one of the single biggest drivers of session attendance — when a coaching call is already on a client's Outlook calendar with a Teams link, the no-show rate drops significantly. Set it up once and let the automation do the work.

Managing Multiple Coaches and Shared Calendars

If you run a multi-coach organization — for example, a leadership development firm with several coaches on your Coachful workspace — each coach connects their own Microsoft 365 account individually. There is no workspace-level "master" Microsoft account.

Shared Outlook calendars (e.g., a team availability calendar managed by an admin) can be added as conflict-checking calendars by any coach who has read access to that shared calendar in Microsoft 365. This is useful when coaches share a physical meeting room or a common block-out schedule (public holidays, company off-sites).

Virtual assistants assigned the virtual_assistant org role can view a coach's schedule inside Coachful but cannot add or modify the Microsoft 365 integration on their behalf. If your VA manages your calendar directly in Outlook, conflicts will still sync correctly — they just can't touch the integration settings.

Troubleshooting Common Issues

The OAuth pop-up is blocked

Your browser's pop-up blocker is the most common culprit. Allow pop-ups from app.coachful.co in your browser settings and try again. In Chrome: Settings → Privacy and security → Site settings → Pop-ups and redirects → Add app.coachful.co.

"Insufficient permissions" error after connecting

This usually means your Microsoft 365 account is managed by an IT administrator who has restricted third-party OAuth app consent. You or your IT admin need to grant consent for the Coachful app in the Azure Active Directory admin center under Enterprise Applications. Ask your IT team to approve the Coachful application ID for your tenant.

Sessions appear in Outlook but not at the right time

Double-check that the time zone set in your Coachful scheduling settings (Settings → Availability → Time zone) matches the time zone in your Outlook calendar. A mismatch — for example, Coachful set to UTC while Outlook is set to Eastern Time — causes events to land at the wrong hour. Update your Coachful time zone, and all future events will sync correctly. Already-created events will need to be cancelled and re-booked.

Teams meeting links are missing from calendar invites

Confirm that the OnlineMeetings.ReadWrite permission was accepted during the re-authorization step. If you skipped it or clicked Cancel, go back to Settings → Integrations → Microsoft 365, disable the Teams toggle, save, re-enable it, and complete the re-authorization. Also verify your Microsoft 365 plan includes Teams — personal @outlook.com accounts do not support programmatic meeting creation.

Outlook events created by Coachful show the wrong organizer

Coachful creates calendar events on behalf of the authenticated Microsoft account. If you connected a shared mailbox or a delegated account, the "organizer" field may show the delegate rather than your personal address. Connect your own primary Microsoft 365 account to resolve this.

Disconnecting and reconnecting breaks existing session links

If you disconnect Microsoft 365 and reconnect with a different account, previously generated Teams meeting links become invalid because they were tied to the original Microsoft account. Clients with those links will not be able to join. Before switching accounts, manually reschedule any upcoming sessions so fresh links are generated under the new account.

Best Practices for Microsoft 365 Coaches

A few habits that keep the integration running smoothly over the long term:

  • Create a dedicated "Coaching" calendar in Outlook. Pointing Coachful at a single, purpose-built calendar — rather than your main calendar — keeps coaching events visually distinct and makes troubleshooting easier.
  • Review conflict-checking calendars quarterly. Teams calendars, shared resource calendars, and personal sub-calendars change over time. A conflict-checking calendar that no longer exists or has been archived can cause sync errors.
  • Use Coachful's Michelle AI assistant to audit your upcoming schedule. Ask Michelle: "Do I have any scheduling conflicts this week?" — she can cross-reference your Coachful sessions against your connected calendar in seconds.
  • Test the full booking flow after any Microsoft tenant changes (password resets, license upgrades, tenant migrations). OAuth tokens can be invalidated by administrative changes, and a quick test booking catches broken integrations before clients do.

Frequently asked questions

Does Coachful support two-way sync with Outlook?
Yes. Coachful uses Microsoft Graph webhooks to sync in both directions in near-real time. Sessions booked in Coachful appear in Outlook within seconds, and events you add directly to Outlook block that time from new bookings on your Coachful scheduling page.
Can I use Microsoft Teams for video calls instead of Coachful's built-in video?
Yes. Once you enable the Teams meeting link toggle under Settings → Integrations → Microsoft 365, Coachful generates a unique Teams meeting URL for every session and embeds it in the calendar invite. You can apply this globally or per session type.
Does connecting Microsoft 365 require admin approval from my IT department?
It depends on your organization's Microsoft 365 tenant settings. If your IT admin has restricted third-party OAuth app consent, they will need to approve the Coachful application in Azure Active Directory under Enterprise Applications. Personal Microsoft accounts (@outlook.com, @hotmail.com) do not require admin approval.
Can my clients also sync sessions to their Outlook calendar?
Yes. Clients receive a .ics attachment in their booking confirmation email for a one-click import. For ongoing automatic sync, clients can connect their own Microsoft 365 account in their Coachful portal under Account → Calendar & Notifications.
What Microsoft 365 plan do I need to generate Teams meeting links?
Teams link generation requires a Microsoft 365 Business or Enterprise plan that includes Microsoft Teams. Personal accounts (@outlook.com, @hotmail.com) support Outlook calendar sync but cannot create Teams meetings programmatically.
What happens if I disconnect my Microsoft 365 account from Coachful?
Disconnecting stops the calendar sync immediately. Future bookings will no longer appear in Outlook, and existing Teams meeting links tied to that account will become invalid. Clients with upcoming sessions and those Teams links will need new links, so reschedule any upcoming sessions after reconnecting.
Can multiple coaches in my organization each connect their own Outlook calendar?
Yes. Each coach connects their own Microsoft 365 account individually under their own Settings → Integrations page. There is no shared workspace-level Microsoft account — each coach manages and revokes their own connection independently.
