Step 1: Connect Google Calendar

How to connect
- Sign in to your Coachful workspace at app.coachful.co/sign-in.
- Click your profile avatar in the top-right corner and go to Settings.
- Select Integrations from the left sidebar, then click Calendar.
- Click Connect Google Calendar. A Google OAuth consent screen will open in a new window.
- Choose the Google account you want to sync and grant the requested permissions (read/write access to your calendars).
- Once authorized, you'll be redirected back to Coachful. You should see your connected Google account listed with a green Connected badge.
- Under Calendar preferences, select which Google Calendar should receive new bookings (e.g., "Coaching Sessions" or your primary calendar).
- Enable Conflict detection to have Coachful block time slots that already have events on your Google Calendar — this is the key setting that prevents double bookings.
What syncs and what doesn't
Coachful performs a two-way sync: bookings made in Coachful appear on your Google Calendar, and existing Google Calendar events block your Coachful availability. However, Coachful does not read the titles or descriptions of your existing Google Calendar events (for privacy). It only reads start/end times to determine availability.
Recurring events on Google Calendar (like a standing team meeting every Tuesday) are respected — those slots will appear as unavailable to clients browsing your booking page.

Step 2: Connect Gmail
Connecting Gmail lets Coachful route platform notifications and client communications through your professional email address. Instead of messages arriving from a generic noreply@coachful.co address, your clients see emails from you@yourdomain.com — a small detail that builds trust significantly.
How to connect
- In Settings → Integrations, click Email.
- Click Connect Gmail and complete the OAuth flow, this time granting send-on-behalf and read permissions.
- Once connected, set your From name and verify the connected address is correct.
- Under Notification routing, choose which types of emails Coachful should send through your Gmail: booking confirmations, session reminders, program enrollment receipts, and direct messages.
- Send a test email using the button at the bottom of the panel to confirm delivery.
Gmail deliverability tips
If you're using a custom domain email (e.g., via Google Workspace), make sure your domain has proper SPF and DKIM records configured. Google Workspace sets these up automatically for Workspace accounts, but if you've added a custom domain separately, double-check your DNS settings in your domain registrar. Step 3: Connect Google Drive
Google Drive integration turns Coachful into a true coaching hub. Instead of hunting for a file link to paste into a message, you can browse and attach Drive files directly from any file picker inside the platform — whether you're building a program task, uploading a session resource, or sharing a worksheet in a Squad chat.
How to connect
- Go to Settings → Integrations → File Storage.
- Click Connect Google Drive and complete the OAuth consent flow. Coachful requests read access to your Drive files and the ability to create file links (it does not move or delete your files).
- Once connected, a Google Drive tab will appear in every file picker across the platform.
Using Drive files inside Coachful

- Program tasks: When building a week inside a coaching program, click Add resource on any task and select Google Drive to attach a PDF, Google Doc, or slide deck. Clients see a preview and a link — no download required.

Reviewing and revoking access
You can disconnect any Google integration at any time:
- From Coachful: Go to Settings → Integrations, find the connected service, and click Disconnect.
- From Google: Visit myaccount.google.com/permissions, find Coachful in the list, and remove access.
Revoking from Google immediately invalidates the token. Coachful will display a reconnect prompt the next time it tries to sync. Neither disconnection method deletes any data — your bookings, messages, and program content remain intact inside Coachful.
Team and multi-coach workspaces
In a workspace with multiple coaches, each coach connects their own Google account individually. The workspace admin does not manage individual coaches' calendar or email connections. However, an admin with super_admin or super_coach (owner) role can see which integrations are connected per team member under Admin → Team → [Coach name] → Integrations.

Use Google Meet for instant calls
When you create a booking type in Coachful (for example, a 60-minute strategy session), you can set the video conferencing provider to Google Meet. Coachful will automatically generate a unique Meet link for every booked session and include it in the confirmation email and calendar event. Clients click the link at the scheduled time — no Zoom account required on their end.
To enable this, go to Bookings → Session types → [Your session] → Video conferencing and select Google Meet from the dropdown. This requires your Google Calendar to be connected first.
Sync multiple calendars for complex schedules
If you coach under two different brands or manage both personal and business calendars, you can connect multiple Google accounts. Each account's calendar conflicts are checked independently. Go to Settings → Integrations → Calendar → Add another account to layer additional Google Calendars on top of your primary one.
Automate Drive folder creation with Google Workspace rules
Many coaches use Google Drive's folder structure as their client CRM. Troubleshooting Common Issues
Google Calendar isn't blocking my busy times
Make sure Conflict detection is toggled on in Settings → Integrations → Calendar. If it's on but still not working, try disconnecting and reconnecting the Google account — this refreshes the OAuth token and forces a fresh calendar pull. Also confirm you've selected the correct calendar in the Read from dropdown (some users have multiple Google Calendars and accidentally select an empty secondary one).
Booking confirmations are landing in spam
This almost always comes down to SPF/DKIM configuration on your custom domain. Log in to your Google Workspace admin console and verify your domain's email authentication records are published. If you're unsure, search your domain name + "MX Toolbox" to run a free SPF check. Also ask clients to add your email address to their contacts, which trains Gmail's spam filter over time.
I connected Google Drive but I don't see the Drive tab in the file picker
Try a hard refresh (Ctrl + Shift + R on Windows, Cmd + Shift + R on Mac) after completing the OAuth flow. If the tab still doesn't appear, check that the OAuth flow completed without error — sometimes pop-up blockers silently close the consent window mid-flow. Disable pop-up blockers for app.coachful.co and reconnect.
I get a "Token expired" error when trying to sync
Google OAuth tokens expire if they haven't been used for 6 months, or if you changed your Google account password. Go to Settings → Integrations, click Reconnect next to the affected service, and complete the OAuth flow again. Your historical data is unaffected.
My Google Meet link isn't being generated for new bookings
Google Meet link generation requires both Calendar and the Meet integration to be active simultaneously. Go to Settings → Integrations → Calendar and confirm the Generate Google Meet links toggle is enabled. If you recently rotated your Google account password or revoked Coachful's permissions from the Google side, you'll need to reconnect before new links are generated.
A team member's calendar isn't syncing even though mine is
