Still running your coaching business on spreadsheets?
If you're tracking clients in a Google Sheet, scheduling sessions through a shared calendar link, chasing invoices over email, and copy-pasting homework into every DM — you're not alone. Most coaches start that way. But at some point, the spreadsheet stops working for you and starts working against you. Sessions get missed. Clients fall through the cracks. Revenue is a blur. Switching from spreadsheets to Coachful is the single fastest way to get your coaching business organized, professional, and scalable — without rebuilding everything from scratch.
This guide walks you through exactly how to make the switch: what to migrate, in what order, and how to set everything up in Coachful so your first week on the platform feels like a relief rather than another project.
TL;DR — What you're actually migrating
- Clients — names, emails, notes, progress history.
- Programs — your curriculum, exercises, and weekly structure.
- Scheduling — availability, session types, calendar connections.
- Billing — offers, prices, payment plans, and active subscriptions.
- Content & communication — resources, check-ins, and messaging.
Each of these maps cleanly to a Coachful feature. Once they're set up, the spreadsheets become redundant — usually within the first 48 hours.
Step 1 — Audit your spreadsheets before you touch Coachful
Before you open Coachful, spend 20–30 minutes auditing what you actually have. Coaches tend to underestimate how scattered their data is: one tab for active clients, another for leads, a separate sheet for payment tracking, a document for program content, and three different calendar tools for scheduling.
Create a simple inventory:
- List every spreadsheet and document you use to run your business.
- For each one, note what it tracks: clients, sessions, content, payments, or leads.
- Mark which data is actively needed today vs. archived history you just want to keep for reference.
- Export any spreadsheets as CSVs so you have clean, portable data files ready.
This audit takes less than an hour and saves you enormous confusion during setup. You'll know exactly what you're working with before you start.
Step 2 — Set up your Coachful workspace
Your Coachful workspace is your new home base. Every coach gets a custom subdomain at {yourname}.coachful.co, and you can connect your own domain later if you prefer. Here's how to get the foundations in place:
- Sign in at app.coachful.co/sign-in (or start your free trial at coachful.co/get-started).
- Go to Settings → Workspace and set your coach slug, display name, and upload a profile photo and logo. This is what clients see immediately.
- Go to Settings → Custom Domain if you want to connect a domain you already own — SSL is handled automatically.
- Connect your calendar under Settings → Integrations → Calendar Sync (Google Calendar and Outlook are both supported). This is the step most coaches forget and then wonder why their availability isn't working.
- Connect Stripe under Settings → Billing → Stripe Connect. Coachful uses Stripe Connect, which means payments go directly to your bank account — Coachful never holds your money.
Don't skip the Stripe and calendar steps. They're the infrastructure everything else depends on.
Step 3 — Build your first program (replace your curriculum doc)
If you have a coaching program — a 6-week transformation, a 12-week performance plan, a 90-day business accelerator — your Coachful Program replaces the Google Doc or Notion board you've been maintaining manually.
Go to Coach → Programs → Create new program. Here's what a well-structured program looks like inside Coachful:
- Weeks and days — organize your content chronologically. A 12-week program with 3 tasks per week, for example, is set up as 12 weeks, each with 3 daily tasks.
- Tasks — each task can include text instructions, embedded video, file attachments, reflection prompts, and completion checkboxes. Replace your "homework email" with a structured task your client checks off.
- Goals — attach measurable goals to a program so clients can track progress against specific outcomes.
- Habits — add recurring habits (daily journaling, workout logs, water intake) that clients track right inside the app.
For each piece of curriculum you have in a spreadsheet or doc, ask yourself: is this a task, a goal, or a habit? Once you categorize it, dropping it into the program builder takes minutes.
Pro tip: Build one program completely before you invite any clients. It's much easier to enroll clients into a finished program than to build it around people who are already inside. Aim to have at least the first two weeks fully built before launch day.
Step 4 — Recreate your offers and pricing
In your spreadsheets, pricing probably lives somewhere in a tab labeled "packages" or "invoices." In Coachful, offers are live, purchasable products that clients can buy directly from your website or a link you send them.
Go to Coach → Offers → Create offer and recreate each package you currently sell:
- Set the offer name, description, and price.
- Choose the billing type: one-time, recurring (weekly/monthly/annual), or a payment plan (e.g., 3 payments of $500).
- Attach the relevant program so enrollment is automatic when a client purchases.
- Add a coupon code if you want to run a launch discount for clients switching over.
Multi-tier offers let you create bronze/silver/gold packages with different levels of access. If you've been managing that manually in a spreadsheet, this replaces a surprising amount of back-and-forth.
Already running Coachful and unsure where to start with offers? Coachful's built-in offer builder and Stripe Connect make it possible to go from "I have a price" to "clients can buy right now" in under 15 minutes — no third-party checkout tools needed.
Step 5 — Add your existing clients
This is the step that feels most nerve-wracking, and it's also the quickest. Go to Coach → Clients → Invite client and add clients by email. When they accept the invitation, they appear in your client list with their own profile, messaging thread, and program access.
For clients already mid-program, do the following:
- Invite them via email. They'll get a link to create their Coachful account (or sign in if they already have one).
- Manually enroll them in the correct program at the correct week. Go to their profile → Enroll in program → select the program → set the start date to match where they actually are in the curriculum.
- Add any important notes from your spreadsheet (health history, goals, context) into their client profile under Notes.
- If they have an active recurring payment, set up their billing inside their profile or re-create the offer and send them a payment link.
Most coaches with 5–20 active clients complete this step in a single focused afternoon.
Step 6 — Configure your scheduling (retire the calendar spreadsheet)
The session-tracking tab in your spreadsheet is about to become irrelevant. Under Coach → Bookings → Session Types, create the types of sessions you offer:
- 1:1 coaching call — 45 or 60 minutes, with your availability windows set.
- Intake / discovery call — 20–30 minutes, often free, used for prospecting.
- Group call — for cohort programs; multiple clients can join the same scheduled session.
Set your weekly availability blocks under Settings → Availability. Coachful respects your calendar sync, so if you have a dentist appointment on your Google Calendar, it won't offer that slot to clients. Each session type gets its own booking link you can share directly or embed on your Coachful website.
Built-in HD video (powered by Stream) means the session happens inside Coachful — no Zoom link to paste, no separate tool to manage.
Step 7 — Move communication off email and into Squads
If your coaching communication currently lives across email threads, WhatsApp groups, and Slack channels, Coachful's Squad system consolidates it into one place.
- Cohort squads are automatically created when clients enroll in a program — your program participants have a shared group chat from day one.
- Community squads are always-on group spaces for ongoing client communities, alumni groups, or mastermind circles.
- Direct messaging is built into every client relationship, so 1:1 coaching conversations have a permanent, searchable home.
You don't need to "migrate" chat history from WhatsApp or email — just start fresh in Coachful and let old threads live where they are. Clients adapt quickly when they realize everything is in one place.
Pro tips for a smooth transition
Coaches who switch successfully share a few habits in common. These aren't obvious until you've done it a few times:
- Don't try to migrate everything at once. Get your workspace, one program, and your active clients set up first. The leads spreadsheet and archive data can wait.
- Use Michelle, the AI assistant. Inside your coach dashboard, Michelle can answer setup questions, draft program content, and walk you through features in plain English — without you needing to search through documentation. Ask it things like "How do I set up a payment plan?" or "Create a week 1 task for my mindset program."
- Send a migration announcement to clients. A short email saying "We're moving to a new platform — here's your invite link" converts far better than a surprise. Give clients 1 week of overlap where both systems technically work, then close the spreadsheet.
- Set up your website before you close old tools. Coachful's drag-and-drop website builder lets you create a professional landing page, sales funnel, and lead-magnet page on your subdomain. If you've been pointing people to a Google Form or a Calendly link, replace those with Coachful equivalents before you announce the switch.
"The biggest mistake coaches make is treating the migration as a one-weekend project and then going live before the client experience is complete. Build the full client journey — from opt-in to first session to program completion — before you flip the switch."
Troubleshooting common migration mistakes
Clients aren't receiving their invite emails
Check that the email address in Coachful exactly matches the address your client uses for their primary inbox. Ask them to check their spam or promotions folder. If the issue persists, go to the client's profile and use Resend invitation. Ensure your workspace has a verified sender domain set under Settings → Email.
Program weeks aren't matching where clients actually are
When enrolling an existing client in a program, Coachful uses the enrollment start date to calculate which week they're in. If a client has already completed 4 weeks of a 12-week program, set their start date to 4 weeks ago so their dashboard shows Week 5 — not Week 1. You can adjust enrollment dates from the client's program details view.
Stripe Connect isn't activating
Stripe Connect requires identity verification. If the activation stalls, make sure you've completed Stripe's onboarding fully — including uploading ID and confirming your bank account. Check Stripe's Connect documentation for country-specific requirements. Coachful's billing only activates once Stripe confirms your account is in good standing.
Calendar sync isn't blocking off existing appointments
After connecting your calendar, you need to specify which calendars Coachful should check for conflicts under Settings → Integrations → Calendar Sync → Conflict calendars. By default, Coachful syncs the primary calendar — if your appointments live in a secondary calendar (like a shared work calendar), add that calendar to the conflict list.
Old client data feels incomplete in Coachful
Coachful's client profiles hold notes, goals, session history, and program progress — but there's no bulk CSV import for client records. For clients with extensive history, use the Notes field on their profile to paste a summary of key context from your spreadsheet. You don't need to recreate every data point — just the information that actively shapes how you coach them today.
Feeling overwhelmed by setup
That's normal. Almost every coach who switches from spreadsheets hits a moment around day 2 where the old system feels easier simply because it's familiar. Push through it. The platform overview guide and the building your first program article cover the most common sticking points. Michelle (the AI assistant in your dashboard) is also available 24/7 to answer specific questions in real time.
Ready to close the spreadsheet for good?
Spreadsheets are a great starting point. They're just a terrible destination. When client data, session notes, program content, payments, and communication all live in different tools, you spend more time managing the system than coaching. Coachful puts all of it — programs, scheduling, billing, chat, video, and your website — in one workspace that your clients actually enjoy using.
The migration from spreadsheets to Coachful typically takes one focused weekend for a coach with 10–20 active clients. By Monday, your clients have a professional portal, your sessions are booked automatically, and you've closed the last spreadsheet tab for good. Start your free trial at Coachful and see how far you get in the first hour — most coaches are surprised.
