What is Coachful, and what can it do for you?

If you just signed up for Coachful and you're staring at a brand-new dashboard wondering where to start, you're in the right place. Coachful is an all-in-one coaching platform built for professional coaches who want to run their entire business — programs, clients, scheduling, payments, and community — from a single workspace. No patchwork of six different tools. No copying client notes between apps. Everything lives here.

This platform overview walks you through every major feature so you understand what's available, how the pieces connect, and what to set up first. Whether you're a coach building your first online program or a client who just received an invitation link, this tour will orient you fast.

TL;DR: What Coachful includes

  • Programs — Structured coaching curricula with weeks, days, tasks, goals, and habits.
  • Squads — Cohort groups and always-on community spaces with real-time chat and video.
  • Bookings & Scheduling — 1:1 sessions, group calls, intake calls, and calendar sync.
  • Stripe-powered billing — Coaches get paid directly via Stripe Connect with one-time, recurring, or payment-plan offers.
  • Website builder — Drag-and-drop pages, blog, funnels, and link-in-bio — no developer needed.
  • Michelle (AI assistant) — An AI co-pilot that can answer questions and take actions across your dashboard.
  • Mobile app — A full progressive web app plus native iOS and Android shells.

Your coach workspace: the home base

When you sign up as a coach, Coachful provisions a personal workspace on a custom subdomain — yourname.coachful.co — or you can map your own domain (e.g., coaching.yourbrand.com) with automatic SSL. This is the URL your clients will use to log in, browse your programs, and interact with you. Everything under that subdomain belongs to your coaching business.

Inside the coach dashboard, the left-hand sidebar is your main navigation. You'll find sections for Programs, Squads, Bookings, Clients, Offers, Website, and Settings. Each section opens a dedicated workspace. You can also access Michelle, your AI assistant, from any screen — just click the Michelle icon in the bottom corner to ask questions like "How do I add a coupon?" or "Create a new intake call for next Monday."

Roles explained

Coachful supports flexible team structures. At the organization level, roles include super_coach (the account owner), coach, member, and virtual_assistant. On a per-user basis, platform roles range from user and editor up to admin and super_admin. This means you can bring on a VA to handle scheduling, a co-coach to deliver programs, or an editor to manage your blog — each with the right level of access and nothing more.

Programs: the heart of your coaching delivery

A Coachful Program is a structured curriculum — think of it as a living course that your clients move through over time. You organize content into weeks and days, and each day can contain tasks (written content, videos, files, links, reflections), goals to track, and habits to build.

A typical setup might be a 12-week program with 3 weekly tasks per day, a Monday check-in habit, and a Friday reflection goal. Clients see exactly where they are in the program, tick off tasks as they complete them, and track their habit streaks — all without you having to chase anyone via email.

How to create your first program

  1. Go to Coach → Programs → Create new program.
  2. Give your program a name, cover image, and description.
  3. Add weeks by clicking + Add week, then add days inside each week.
  4. Inside each day, add tasks — choose from text, video embed, file upload, or reflection prompt.
  5. Toggle on Goals or Habits at the program level if you want clients to track those.
  6. When ready, attach the program to an Offer (see Billing below) so clients can enroll.

Once a client enrolls, Coachful auto-creates a cohort squad for that program — a private group space where cohort members can communicate, share wins, and stay accountable. You don't have to set this up manually.

Squads: community and cohort spaces

Squads are Coachful's group collaboration spaces, powered by Stream Chat and HD video. There are two types:

  • Cohort squads — Automatically created when clients enroll in a program. Scoped to that cohort and archived when the program ends.
  • Community squads — Always-on group spaces you create manually for ongoing community access, masterminds, or alumni groups.

Inside any squad, members can send messages, share files, react with emoji, start video calls, and even do live group coaching sessions. The real-time messaging is instant and the video is HD — no third-party conferencing link needed. Coaches using Coachful consistently tell us that having chat and video in the same place as the program content dramatically reduces the "where do I find X?" messages from clients.

Pro tip: Use a community squad as a free-tier space to nurture leads before they buy a program. Offer a public community, build trust, then upsell into your paid curriculum. Coachful's billing and community tools make this funnel seamless — explore Coachful to see it in action.

Bookings and scheduling: 1:1 sessions and group calls

Coachful has a full scheduling system built in. You can create multiple booking types:

  • 1:1 sessions — Private calls with individual clients. Set your availability, buffer times, and session length. Clients pick a slot from your live calendar.
  • Group calls — Live sessions for a squad or cohort. One link, multiple attendees.
  • Intake calls — Discovery/onboarding calls for prospective clients, kept separate from your paid session calendar.
  • Instant calls — One-click video sessions you can launch from any conversation without any pre-scheduling.

Coachful syncs with your external calendar (Google Calendar and others) so you never get double-booked. All sessions run through the built-in HD video powered by Stream — no Zoom account required, though you can use an external link if you prefer.

Setting up your availability

  1. Navigate to Coach → Bookings → Availability.
  2. Set your weekly recurring hours (e.g., Mon–Thu, 9 am–5 pm).
  3. Add any date-specific overrides for holidays or busy days.
  4. Connect your calendar under Settings → Calendar sync to block existing events automatically.
  5. Share your booking page link — or embed it on your Coachful website — so clients can self-schedule.

Billing and offers: getting paid without friction

Coachful uses Stripe Connect, which means client payments go directly to your Stripe account — Coachful never holds your money. Setup takes about two minutes if you already have a Stripe account.

You sell through Offers. An Offer bundles a price with a product (a program, a squad, a booking type, or any combination). Offer types include:

  • One-time payment — Client pays once, gets access.
  • Recurring subscription — Monthly or annual membership billing.
  • Multi-tier offers — Different price points with different access levels (e.g., Basic vs. VIP).
  • Payment plans — Split a one-time price into installments automatically.
  • Coupons — Percentage or fixed-amount discount codes you can create in seconds.

Each Offer has a shareable checkout link and can be embedded directly on your Coachful website or landing page. Clients pay, Stripe processes, and access is granted automatically — no manual onboarding steps for you.

Website builder: your public-facing presence

Every Coachful workspace includes a drag-and-drop website builder. You can publish:

  • A full coaching website with a homepage, about page, and services page.
  • Landing pages for specific programs or lead magnets.
  • A blog for SEO and thought leadership content.
  • A link-in-bio page for social media profiles.
  • Funnels — multi-step sales sequences with upsells and opt-in forms.

All pages live on your subdomain (or custom domain) and inherit your brand colors, logo, and fonts from your workspace settings. There's no need to manage a separate WordPress site or pay for a page builder subscription. If you bring your own domain, Coachful handles SSL automatically.

The Coachful Marketplace: getting discovered

Once your profile is complete, you're eligible to appear in the Coachful coach directory at /find-a-coach. Clients who don't have a specific coach in mind can search by niche, language, availability, and price. This is a meaningful organic discovery channel — especially for coaches who are just starting to build their audience.

Fill out your bio, niche tags, and at least one published offer to maximize your directory visibility. Coaches with a profile photo and published program tend to convert directory visitors significantly better than those with incomplete profiles.

Michelle: your AI co-pilot

Michelle is Coachful's built-in AI assistant, available directly in your coach dashboard. She's not just a chatbot — Michelle can answer platform questions ("How do I add a co-coach to my program?") and take actions on your behalf ("Set up a new 30-minute intake call for this Friday"). Think of her as a knowledgeable team member who's always logged in and never sleeps.

You'll find Michelle in the bottom corner of your dashboard. The more context you give her (e.g., which program, which client), the more precisely she can act. She's especially useful during onboarding when you're still learning the platform's layout.

Mobile: coach and client on the go

Coachful is a progressive web app, which means it works great in any mobile browser without installation. For a more native experience, Coachful also has iOS and Android shell apps available — clients and coaches can access everything through app.coachful.co/mobile or the native app stores. Push notifications, offline-ready content, and the full program/chat experience are available on mobile.

Common mistakes new users make

1. Publishing an offer before the program is ready

Clients who purchase get immediate access. Make sure your first week of content is fully built before you make an offer live. You can set a program to "draft" mode while you're still building.

2. Skipping calendar sync

If you don't connect your external calendar under Settings → Calendar sync, Coachful can't see your existing commitments and double-bookings can happen. Do this on day one.

3. Ignoring the custom domain step

Your default subdomain (yourname.coachful.co) works fine, but a custom domain looks dramatically more professional to clients. Go to Settings → Domains and point your domain at Coachful — it takes under five minutes and SSL is automatic.

4. Confusing cohort squads with community squads

Cohort squads are auto-generated per program enrollment — you don't create them. Community squads are manually created for ongoing groups. Don't try to manually build a cohort squad; enroll clients in the program instead and the squad appears automatically.

5. Not connecting Stripe before sharing offer links

Offer checkout links will fail if your Stripe Connect account isn't verified. Complete Stripe onboarding under Settings → Billing → Connect Stripe before you promote any paid offer. Refer to Stripe's Connect onboarding documentation if you run into verification questions.

6. Overlooking Michelle for support

New users often spend 10 minutes searching help docs for something Michelle could answer in 10 seconds. Get in the habit of asking Michelle first — she has context about your specific workspace that generic help articles don't.
