What Is the Client Activity Timeline?

The client activity timeline is a reverse-chronological log of everything a specific client has done inside your Coachful workspace. Think of it as a coaching audit trail — every action the client takes gets stamped with a date and time and surfaces here.

Events logged on the timeline include:

  • Task completions — when a client checks off a program task, including which week/day it belonged to.
  • Habit check-ins — daily habit logs tied to their active programs.
  • Goal updates — progress entries and goal completions.
  • Booking activity — sessions scheduled, rescheduled, or cancelled.
  • Messages sent — chat activity in both cohort squads and community squads.
  • Program enrollment and progress milestones — when they enrolled, started a new week, or completed a phase.
  • Payments — invoices paid, subscriptions renewed, or payment failures.

How to Navigate to the Client Activity Timeline

Follow these steps to pull up the full activity log for any client.

  1. Sign in to your Coachful dashboard at app.coachful.co/sign-in. Make sure you are logged in with a coach, admin, or super_admin role — members and virtual assistants have limited profile access.
  2. Click "Clients" in the left-hand navigation sidebar. This opens your full client list, including both active clients and leads.
  3. Search or scroll to find the client you want to review. You can type their name or email in the search bar at the top of the list.
  4. Click the client's name to open their full profile card.
  5. Select the "Activity" tab near the top of the profile. By default, Coachful opens the Overview tab — the Activity tab is immediately to its right.
  6. The timeline loads automatically, showing the most recent events first. Scroll down to move further back in time.

Filtering and Searching the Timeline

Filtering by Event Type

Use the Event type dropdown above the timeline to show only the events you care about. Available categories mirror the event list above: Tasks, Habits, Goals, Bookings, Messages, Program Milestones, and Payments. Select one or more to stack filters.

Filtering by Date Range

Click the Date range picker and choose a preset (Last 7 days, Last 30 days, Last 90 days) or enter a custom start and end date. This is especially useful when you want to review activity between two specific sessions without scrolling through months of history.

Expanding Individual Events

Every entry in the timeline is clickable. Clicking a task completion event, for example, shows the full task name, the program it belongs to, the week and day it was assigned to, and the exact timestamp. Clicking a booking event shows the session type, the booked time, and any cancellation or reschedule reason the client entered.

Pro tip: Before every 1:1 session, filter the timeline to the period since your last call and scan task completions and habit check-ins. Task and Habit Streaks

Using the Timeline Across Different Roles

Access to the client activity timeline depends on your role in the Coachful organization.

  • Super coach (owner): Full access to every client's timeline across the entire workspace.
  • Coach: Access to the timelines of clients assigned to them.
  • Admin: Full access, same as super coach.
  • Editor: Can view client profiles but has restricted access to sensitive billing events on the timeline.
  • Virtual assistant: Limited access; can view overview data but typically cannot view the full activity timeline without explicit permission configured by the owner.
  • Member / Client: Clients do not see this timeline view. They experience their own progress through their client portal, which shows their personal task lists, habit streaks, and session history — not the aggregate log visible to coaches.

Troubleshooting: Common Issues with the Activity Timeline

The Activity Tab Is Missing from a Client's Profile

This usually means you're viewing a lead rather than an active client. Leads who haven't enrolled in a program or completed an intake call have a lighter profile with fewer tabs available. Once a lead books a session or enrolls in a program, the full Activity tab appears. You can also check whether the contact is tagged as a lead vs. client under Clients → Filter → Status.

Timeline Shows No Events Even Though the Client Is Active

Check that you haven't accidentally left an active date range filter from a previous session. Click Clear filters to reset the view. If events are still missing, verify that the client is actually enrolled in a program under the Programs tab — it's possible they were added as a contact but haven't started any structured activity yet.

Task Completions Are Not Appearing

Task events only appear when a client marks a task complete from their client portal. If a coach manually marks a task complete on behalf of a client from the program editor, this may be logged differently. Ask the client to confirm they're checking tasks off from their portal view at {slug}.coachful.co rather than expecting the coach to do it for them.

Payment Events Are Visible But Show the Wrong Amount

Coachful's billing is powered by Stripe Connect, which means the amount displayed reflects what Stripe processed — including any coupons or payment plan adjustments applied at checkout. If the amount looks unexpected, cross-check against the full invoice in the Billing tab of the client profile or log in to your Stripe dashboard directly to reconcile.

I Can See the Timeline but Can't Click Into Individual Events

If event rows appear greyed out and non-interactive, you may be in a role that has view-only access. Check with your workspace owner to confirm your org role under Settings → Team. An admin or super coach can upgrade your permissions if needed.

The Timeline Isn't Loading at All
