Two Ways to Start a 1:1 Video Call

Coachful gives you two distinct paths for getting on a live video call with a client. The right one depends on whether the session was pre-scheduled or you need to connect on the spot.

1. Instant Call from a Direct Message

The fastest way to go live. If you're already messaging a client — or you just want to jump on a quick call without any scheduling ceremony — you can launch a video call straight from your direct message thread.

Here's how:

  1. Go to Messages in your left sidebar. Your direct-message threads with individual clients are listed here.
  2. Open the conversation with the client you want to call.
  3. Click the video camera icon in the top-right corner of the chat window.
  4. Coachful opens a video room immediately. Your client receives a real-time notification inside the app that you're calling them.
  5. Your client taps Join Call and you're both live.

The call runs in-browser using Stream's HD video infrastructure — no plugin, no app download needed on desktop. On mobile, clients join through the Coachful iOS or Android app.

2. Joining a Scheduled Booking Session

If you've set up a booking type (1:1 session, intake call, or any custom appointment), your scheduled sessions appear on your Bookings calendar. When the session time arrives, both you and the client can launch the video room directly from the booking.

  1. Go to Bookings in your coach dashboard.
  2. Find the upcoming session on your calendar or in the sessions list.

  1. Go to Bookings → Availability.
  2. Set your weekly recurring hours (e.g., Monday–Thursday, 9 AM–5 PM).
  3. Add any date-specific overrides — blocked days, early finishes, or extra hours.
  4. Connect your Google Calendar or Outlook under Settings → Calendar Sync to prevent double-bookings with existing commitments.
  5. Set buffer times between sessions (15 or 30 minutes is common) so you have breathing room between calls.

Troubleshooting Common Video Call Issues

Client says they can't see or hear me

This is almost always a browser permissions issue. Ask your client to check that their browser has permission to access the camera and microphone. In Chrome: click the lock icon in the address bar → Site Settings → Camera and Microphone → Allow. Then refresh the page and rejoin.

Video call button isn't appearing in the DM thread

Make sure the person you're messaging is an active member of your Coachful workspace. If you added them as a client but they haven't accepted their invitation yet, the video call option won't be available. Check Clients → Pending Invitations and resend if needed.

The video room shows "waiting for host" when I try to join

For scheduled sessions, the room doesn't fully activate until the host (you, the coach) enters first. If your client is seeing this message, they've joined before you. Simply open the session from your Bookings calendar and click Join — your client will be let in immediately.

Call quality is poor or keeps dropping

Stream's adaptive bitrate helps a lot, but a weak connection will still degrade quality. For your side: use a wired ethernet connection if possible, close bandwidth-heavy browser tabs, and disable VPNs during calls. For your client's side: share these same tips in a pre-session message. You can also try disabling your video temporarily and continuing audio-only — the in-call chat stays fully functional.

I accidentally closed the tab — is the call lost?

No. Go back to Bookings (for scheduled sessions) or the DM thread (for instant calls) and click Rejoin Call. The room stays active until both participants have left.

My client is on mobile and can't find the join button

Direct them to open the Coachful app (available at app.coachful.co/mobile for iOS and Android). Inside the app, they'll see a session notification or can navigate to My Sessions. If the app isn't installed, the mobile browser version works too — they just need to allow camera and mic permissions in their phone's browser settings.
