You just wrapped a powerful coaching session — and your client wants to rewatch it. Or maybe you need to review your own delivery, share a replay with a squad cohort, or keep a record for your files. Whatever the reason, recording a coaching session and sharing that recording efficiently is one of the most-requested workflows in any online coaching practice.

Coachful's built-in HD video — powered by Stream — lets you record 1:1 sessions, group calls, and cohort calls directly inside the platform, then share the replay link with clients in just a few clicks. No third-party screen recorders, no Zoom exports, no manual file uploads required.

TL;DR — Quick Answer

  • Recording is available on all video call types in Coachful: 1:1 sessions, group calls, and intake calls.
  • The host (coach or admin) starts and stops recording from the call toolbar.
  • Once the call ends, the processed recording appears in your Bookings → Recordings library.
  • Share the recording by copying the link and posting it in a squad chat, a program task, or directly in a client's message thread.

Before You Start: What You Need

Before hitting record, make sure a few things are in place so the session goes smoothly and the file is easy to find afterward.

  • A scheduled call: Recording works on any call booked through Coachful's scheduling system — 1:1 sessions, group coaching calls, and intake calls. Instant calls also support recording.
  • Host permissions: Only a coach, admin, or super_admin role can start a recording. Clients and members cannot initiate recording, which protects participant privacy.
  • Participant consent: Recording laws vary by jurisdiction. As a best practice, inform your client at the start of the call that you'll be recording — or include a consent clause in your intake form or client contract. You can use a Coachful intake call specifically to capture that agreement before the first session.
  • Stable internet: Recording is processed server-side, so your upload bandwidth mostly affects video quality rather than whether the file is captured. That said, a wired or strong Wi-Fi connection gives you the best results.

How to Start Recording a Coaching Session

Once you're inside the live call, starting a recording takes a single click. Here's the full step-by-step flow:

  1. Open your Coachful dashboard and navigate to Bookings → Upcoming. Find the session and click Join Call. Alternatively, click the call link sent in the booking confirmation email.
  2. Once the video room loads, check that your camera and microphone are active — the toolbar at the bottom of the screen shows audio and video toggle buttons.
  3. Locate the Record button in the call toolbar (it looks like a filled circle). Click it to start recording.
  4. A banner or indicator will appear on screen confirming that recording is in progress. All participants can see this indicator, keeping everything transparent.
  5. Run your session as normal. The recording captures everything shown in the video room — all participant streams, shared screens, and audio.
  6. To stop recording before the call ends, click the Record button again. You can also let it run until you end the call — the recording stops automatically when the session ends.
  7. End the call by clicking Leave or End for Everyone. The recording begins processing on Stream's servers immediately.
Pro tip: If you're running a group coaching call with a full cohort squad, start the recording before you let participants in from the waiting room. That way you capture any intro slides or screen-shares from the very beginning, rather than missing the first 30 seconds while you remember to hit record.

Where Your Recordings Are Stored

After the call ends, processing usually takes between 2 and 10 minutes depending on call length and resolution. You don't need to stay on the page — Coachful handles everything server-side.

To find your recordings:

  1. Go to Coach Dashboard → Bookings → Recordings.
  2. You'll see a list of all recorded sessions sorted by date. Each entry shows the session name, participants, duration, and a thumbnail preview.
  3. Click any entry to open the recording detail page. From here you can preview the video, copy a shareable link, or download the file.

Recordings are stored securely and are only accessible to workspace members with the appropriate permissions. Clients cannot browse your full recordings library — they can only view recordings you explicitly share with them.

Sharing a Session Recording with Your Client

Getting the recording into your client's hands is just as important as capturing it. Coachful gives you three primary ways to share:

Option 1 — Share via Squad Chat

This is the fastest method for cohort programs or group clients. Every program has an auto-created cohort squad, and community squads are always-on group channels.

  1. From the Recordings library, click the recording and then Copy Link.
  2. Navigate to Squads and open the relevant squad (either the cohort squad tied to the program or a community squad).
  3. Paste the link into the message composer. Add a short note — e.g., "Here's the replay from today's session — timestamps: 00:12 mindset block exercise, 22:40 goal-setting framework."
  4. Hit Send. Clients will see the link in their real-time Stream Chat feed and can click through immediately.

Option 2 — Embed in a Program Task

If the recording relates to a specific week or milestone in a structured program, embedding it as a task resource is the most organized approach. Clients find it right in their program curriculum rather than having to dig through chat history.

  1. Go to Programs → [Your Program] → Edit and navigate to the relevant week and day.
  2. Add or edit a task. In the task content editor, paste the recording link or use the media embed block to insert the video directly.
  3. Save the task. Clients enrolled in that program will see the recording the next time they open their program dashboard.

Option 3 — Send via Direct Message

For a private 1:1 client, a direct message thread keeps the recording contained to just the two of you.

  1. Open Messages and find the client's direct message thread.
  2. Copy the recording link from Bookings → Recordings and paste it into the message.
  3. Send. The client gets a notification and can watch on any device — desktop or the Coachful mobile app.

Downloading and Storing Recordings Externally

Some coaches prefer to keep local or cloud backups of their session recordings — for compliance, client handoff packages, or repurposing into course content. You can download any recording from the Recordings library.

  1. Go to Bookings → Recordings and open the recording detail page.
  2. Click Download. The file downloads as an MP4, which is universally compatible with video editors, cloud drives, and email attachments.
  3. Upload to Google Drive, Dropbox, or your preferred cloud storage if you want a secondary backup.

Downloaded MP4 files can also be repurposed: trim them for a highlight reel, extract the audio as a podcast episode, or cut short clips for social content. Many coaches using Coachful turn their best session recordings into evergreen content within their programs.

Best Practices for Recording Coaching Sessions

Recording a session is easy. Recording one that's useful to rewatch takes a little more intention. Here are habits that separate high-quality coaching recordings from forgettable ones:

  • Announce the recording aloud. Even if the platform shows a banner, verbally saying "I'm starting the recording now" builds trust and signals professionalism.
  • Use a clean background and consistent lighting. Clients who rewatch recordings notice the environment more on replay than they do live. Natural front-lighting and a tidy or branded background reinforces your credibility.
  • Add timestamps in your follow-up message. When you share the recording link in chat, note key moments (e.g., "18:00 — the breakthrough moment we identified"). Clients appreciate not having to scrub through the full video to find the insight they want to revisit.
  • Set a retention policy. Decide how long you keep recordings — 90 days, 6 months, indefinitely. Communicate this to clients upfront so they know to download anything they want to keep long-term.
  • Use recordings for your own coaching development. Reviewing your own sessions is one of the fastest ways to improve. Look for pacing, active listening gaps, and moments where you can sharpen your questions.
Coach insight: The coaches who see the highest client retention on Coachful consistently share session recordings within 24 hours of the call, paired with a short written summary. The combination of video replay + written takeaways dramatically increases client implementation rates between sessions.

Troubleshooting: Common Recording Issues

The recording hasn't appeared in my library after 15 minutes

Processing time scales with call length — a 90-minute session might take up to 15 minutes to process. If it's been longer than that, try refreshing the Bookings → Recordings page. If the recording still isn't there, check whether the call ended cleanly (not due to a network drop). In rare cases where a call disconnects unexpectedly, the recording may be incomplete or unavailable. Contact Coachful support with the session date and time for assistance.

The Record button is greyed out or missing

Recording is only available to users with a coach, admin, or super_admin role. If you're seeing a greyed-out button, confirm your role in Settings → Team. If a virtual assistant is trying to record on your behalf, they would need to be elevated to an appropriate role by the super_coach (workspace owner).

My client says the shared link isn't working

Recording links are workspace-authenticated. Your client needs to be logged into their Coachful account to view the recording. Make sure they're signed in before clicking the link. If they're a new client who hasn't accepted their invite yet, prompt them to complete onboarding first.

The video quality looks poor on replay

Recording quality mirrors the stream quality during the live call. If your client had a weak connection, their video track in the recording may appear pixelated. Encourage participants to use a wired connection or close bandwidth-heavy apps before calls. You can also check Stream's video documentation for recommended browser and network settings.

I recorded the wrong session / I want to delete a recording

Go to Bookings → Recordings, open the recording, and select Delete. Deletion is permanent and cannot be undone. If you're on a team and a colleague recorded a session in error, only an admin or super_admin can delete recordings they don't own.

Can clients record the session themselves?

By default, only the host (coach-role users) can initiate server-side recording. Clients cannot start a platform recording. However, nothing prevents a client from using OS-level screen recording on their own device — your consent policy should address this.

Ready to Record Your Next Session?

Recording coaching sessions and sharing replays is one of those small workflow improvements that has an outsized impact on the client experience. When clients can rewatch key moments, revisit breakthroughs, and share sessions with their accountability partners, the value of your coaching compounds well beyond the hour you spent on the call.

Coachful keeps your recordings, scheduling, messaging, and programs in one unified workspace — so you spend less time on logistics and more time doing transformative coaching work. Frequently asked questions

Can I record a coaching session on Coachful?
Yes. Coachful's built-in HD video — powered by Stream — supports recording for all call types: 1:1 sessions, group coaching calls, and intake calls. The coach (host) starts and stops recording from the in-call toolbar, and the processed file appears in Bookings → Recordings after the call ends.
Where are coaching session recordings stored?
All recordings are stored securely in your Coachful workspace under Bookings → Recordings. They are only accessible to workspace members with appropriate permissions — clients cannot browse your recording library unless you explicitly share a link with them.
How do I share a session recording with my client?
Copy the recording link from Bookings → Recordings and share it via squad chat, as an embedded resource in a program task, or through a direct message thread. Clients must be signed into their Coachful account to view the recording.
Can clients record the coaching session themselves?
No. Only coach, admin, or super_admin role users can initiate a server-side recording through the platform. Clients do not have access to the Record button. You should still include a recording consent clause in your client contract to cover device-level screen recording.
How long does it take for a recording to process after a call?
Most recordings are ready within 2–10 minutes of the call ending. Longer sessions (60–90 minutes) may take up to 15 minutes. If a recording hasn't appeared after 15–20 minutes, refresh the Recordings page and contact Coachful support if the issue persists.
Can I download coaching session recordings?
Yes. Open any recording in Bookings → Recordings and click Download to save it as an MP4 file. You can then back it up to cloud storage, edit it for course content, or include it in a client handoff package.
Do I need to tell my client I'm recording the session?
Yes — recording consent is a legal and ethical requirement in most jurisdictions. Coachful shows a visible recording indicator to all participants during the call, but you should also verbally inform clients and include a consent clause in your intake form or coaching agreement before the first session.
