Running a group coaching call with a dozen participants is powerful — until someone's dog starts barking, a microphone feeds back, or a participant who shouldn't be there joins the wrong session. Knowing exactly how to mute and remove participants in a group call keeps your sessions professional, focused, and distraction-free.
This guide walks you through every control available to hosts inside Coachful's built-in video and chat, so you can manage your group calls with confidence from the very first session.
TL;DR — Quick Answer
- Mute a participant: Click their tile or name in the participant list → select Mute. Only the host can mute others.
- Mute all at once: Use the Mute All button in the call controls toolbar to silence every participant instantly.
- Remove a participant: Open the participant list → click the three-dot menu next to their name → select Remove from call.
- Removed participants cannot rejoin a call unless the host re-invites them.
- Chat messages from a removed participant are not automatically deleted — you can moderate those separately.
Who Can Mute and Remove Participants?
In Coachful, call moderation controls are host-only. A host is the coach or admin who created the call or was assigned host privileges before the session started. Co-hosts (editors or other coaches on your team) can also be granted moderation access from the Coach → Settings → Team panel.
Regular participants — clients and members enrolled in your program's squad — can only mute or unmute themselves. They cannot mute others or remove anyone from the session. This separation is intentional: it keeps your coaching environment safe and ensures that a client can never accidentally silence a peer or boot someone out.
Org Roles and Call Permissions
Coachful's org roles map directly to what you can do in a call:
- super_coach (owner) / admin: Full moderation — mute individuals, mute all, remove participants, end call for everyone.
- coach / editor: Moderation access if added as a co-host by the owner.
- member / virtual_assistant: Participant-level access only — no moderation controls visible.
How to Mute a Single Participant
Background noise from one person is the most common disruption on group coaching calls. Here's how to handle it fast without interrupting your flow:
- While in the active group call, look at the Participants panel on the right side of the call screen. Click the people icon in the toolbar if it isn't already open.
- Find the participant you want to mute. You can scroll the list or type their name in the search bar at the top of the panel.
- Hover over their name — a microphone icon and a three-dot menu (⋮) will appear to the right.
- Click the microphone icon to mute them immediately, or click ⋮ → Mute for the same effect.
- The participant will see a notification that the host has muted them. They can unmute themselves at any time unless you enable Soft Lock (see the Pro Tips section below).
The muted participant's microphone icon will turn red with a slash through it, visible to all participants. This subtle social signal often prompts people to check their own audio settings rather than feeling called out.
How to Mute All Participants at Once
For larger squads — say, a 20-person cohort group call at the start of a workshop — muting everyone at once before you begin speaking saves you from hunting through the participant list one by one.
- In the call controls toolbar at the bottom of the screen, click the More options (⋮) button or the dedicated Mute All button if visible.
- Select Mute All Participants.
- A confirmation dialog will appear. Confirm to apply the mute to every participant except yourself.
- Participants receive a notification that the host has muted everyone. They can still unmute themselves unless you follow up with a Soft Lock.
Use Mute All strategically at the start of a presentation segment or Q&A. After your presentation, un-muting is as simple as clicking Unmute All in the same menu — or you can invite specific people to unmute by clicking their mic icon individually.
Pro tip: Coaches running regular cohort calls on Coachful often establish a "mic etiquette" norm in their squad's chat before the first live session — something like "The host will mute everyone at the start. Raise your hand emoji 🖐 to signal you want to speak." This reduces friction and sets a professional tone from day one.
How to Remove a Participant from a Group Call
Removing someone is a bigger action than muting and should be reserved for situations where a participant is disruptive beyond background noise — repeated interruptions, unauthorized attendance, or technical issues that are affecting everyone else's experience.
- Open the Participants panel on the right side of the call screen.
- Find the participant you want to remove.
- Click the three-dot menu (⋮) next to their name.
- Select Remove from call.
- Confirm the action in the dialog that appears. The participant is immediately dropped from the call and shown a message that the host has ended their session.
Once removed, the participant's video tile disappears for everyone. They cannot rejoin the same call session unless you send them a new invite link or re-add them manually. This prevents disruptive re-entry during sensitive group discussions.
Removing vs. Banning from the Squad
Removing from a call is temporary — it only affects that live session. If you need to prevent someone from accessing the squad, the group chat, or future calls entirely, you'll need to remove them from the squad or unenroll them from the program. Do this from Coach → Programs → [Your Program] → Members, or from the squad member list. See the managing program members guide for step-by-step instructions.
Moderating the Chat During a Group Call
Coachful's group calls include a live chat panel powered by Stream, running alongside the video. Muting someone's microphone doesn't prevent them from typing in the chat — so here's how to handle chat moderation too.
- Delete a message: Hover over any message in the call chat → click the ⋮ icon → select Delete message. This removes it for everyone.
- Flag a message: Use the flag icon to mark a message for review without deleting it immediately.
- Mute a user in chat: In the squad settings (accessible after the call at Coach → Squads → [Squad] → Members), you can set a participant to read-only status, preventing them from sending messages in all squad channels.
- Pin a message: Pin your agenda, resource links, or key takeaways so participants can reference them throughout the session — it also reduces off-topic chat noise.
Coachful's video and chat are built on the same session — so your call recording, chat history, and participant log are all stored together. After the call, you can review the full transcript and chat log from Coach → Calls → [Session] → Details.
Enabling Soft Lock (Prevent Self-Unmuting)
Standard muting lets participants unmute themselves at will. Soft Lock is a stricter mode: participants who are muted by the host stay muted until the host explicitly unmutes them. This is ideal for webinar-style sessions, guest speaker segments, or any time you need one-way broadcast control.
- In the call controls, click More options (⋮) → Enable Soft Lock.
- A visual indicator appears in the toolbar showing Soft Lock is active.
- Muted participants will see a message: "The host has restricted unmuting."
- To let a specific participant speak, click their mic icon — this grants them temporary unmute permission.
- To disable Soft Lock and restore full participant audio control, go back to More options → Disable Soft Lock.
Soft Lock doesn't affect video. Participants can still turn their cameras on or off freely. If you need to lock video as well (for large webinars), use the Disable Participant Video toggle under the same More options menu.
Pro Tips for Smoother Group Call Moderation
Assign a Co-Host to Handle Logistics
If you're coaching solo, you're managing content, energy, and logistics simultaneously — that's a lot. On calls with more than eight participants, assign a trusted team member (an editor or second coach on your Coachful workspace) as a co-host before the session. They can handle muting latecomers and monitoring chat while you stay focused on delivering value.
Use the Waiting Room
Enable the Waiting Room feature in your call settings (Coach → Bookings → [Session] → Advanced Settings → Waiting Room: On). This lets you vet participants before they enter, preventing accidental join-ins from clients who booked the wrong session.
Communicate Before You Mute
Unless the noise is seriously disruptive, a quick message in the call chat — "Hey [Name], looks like there might be some background noise on your end 😊" — often resolves the issue before you need to reach for the mute button. It preserves rapport and avoids any awkwardness.
Best practice: Set call ground rules in your program's welcome module. A 60-second video or a pinned message in the cohort squad explaining mic etiquette, how to use the raise-hand feature, and what happens if someone is removed dramatically reduces the need for in-call interventions. Coaches on Coachful who do this report fewer disruptions and higher session satisfaction scores from clients.
Troubleshooting Common Issues
I don't see the mute or remove buttons
You're probably not the host. Check your org role — only the super_coach, admin, or a designated co-host sees moderation controls. If you should be the host but the controls are missing, ask your workspace owner to verify your role at Coach → Settings → Team.
I muted a participant but they unmuted themselves immediately
By default, participants can unmute at will. Enable Soft Lock (see the section above) to prevent self-unmuting. If the participant is being deliberately disruptive, use Remove from call instead.
The "Remove from call" option is grayed out
This can happen if the participant is listed as a co-host. Downgrade their role in the participants panel first (⋮ → Remove co-host status), then the remove option will become active.
A removed participant rejoined the call
If the call was set up with a public invite link rather than individual invites, removed participants may be able to rejoin using the same URL. Rotate the call link from Coach → Bookings → [Session] → Regenerate Link after removing someone to prevent re-entry.
Chat messages from a removed participant are still visible
Removing someone from a call doesn't auto-delete their chat history. Manually delete any messages you want removed (hover → ⋮ → Delete), or set their squad account to read-only from the squad member settings to prevent future posts.
I accidentally removed the wrong person
Don't panic. Find them in your squad member list or booking attendee list and resend their call link via the chat or by going to Coach → Bookings → [Session] → Attendees → Resend Invite. They'll be able to rejoin with the new link immediately.
