Why your coaching call recording might not appear right away

You just wrapped a great session — but when you go to find the recording, it's nowhere to be seen. Before you panic, know that this is one of the most common support questions coaches ask after their first few calls on Coachful. Recordings missing after a coaching call are almost always recoverable, and the fix is usually simpler than you'd expect.

This guide walks you through every reason a recording can go missing, how to check each one systematically, and what to do when a recording genuinely can't be retrieved. Work through the sections in order — most coaches find their answer in the first two.

Step 1 — Wait for processing to finish

Coachful's video is powered by Stream Video, which encodes recordings server-side after the call ends. Encoding is not instant. For a 60-minute session, allow up to 60 additional minutes for the file to appear in your dashboard. For longer calls — think a 3-hour group workshop — give it up to 90 minutes.

The recording status moves through three states you can observe:

  1. Processing — The file is being encoded. You'll see a spinner or a "Processing…" label in the Recordings tab.
  2. Ready — The file is available to play or download.
  3. Failed — Something went wrong server-side. This is rare but requires a support ticket.

If you don't see any status label at all, move on to Step 2 — the recording may not have been started in the first place.

Step 2 — Confirm that recording was actually started

By default, Coachful does not auto-record every call. Recording must be initiated by the session host (the coach or an editor/admin who joined as host). Here's how to check:

  1. Go to Coach → Sessions in your left-hand navigation.
  2. Click the session in question to open its detail page.
  3. Select the Recordings tab.
  4. If the tab is empty and shows no "Processing" status, scroll up to the Activity log section and look for a "Recording started" event. If that event is absent, the recording was never initiated during the call.

If no recording was started, unfortunately that session cannot be recovered. Going forward, enable auto-record so this never happens again (see How to enable auto-record for coaching sessions).

How to enable auto-record for future sessions

  1. Navigate to Coach → Settings → Booking & Scheduling.
  2. Toggle on Auto-record all sessions.
  3. Save changes. From this point on, every new session will begin recording the moment two participants join.

You can also set auto-record per session type — useful if you only want group calls recorded, not 1:1 intake calls.

Step 3 — Look in the right place

A surprisingly common reason for "missing" recordings is simply looking in the wrong part of the dashboard. Recordings are attached to the specific session object — they do not appear in a global media library or in your program's content files.

The correct path is: Coach → Sessions → [click the session] → Recordings tab.

If you booked the session through a program's squad, you can also reach it via Coach → Programs → [Program name] → Squad → Calls — then click the call to see its recording. Either route lands on the same file.

Group calls scheduled through a community squad follow the same pattern: Coach → Squads → [Squad name] → Calls → [Call name] → Recordings.

Step 4 — Check your recording permissions and sharing settings

If you can see the recording but your client says they can't find it, the issue is almost certainly a sharing permission, not a missing file.

  • Recordings are private by default. Coaches see them; clients do not.
  • To share a recording, open the Recordings tab, click the Share icon next to the file, and either toggle on Client access or copy the shareable link and paste it into a message.
  • Clients who are members of a cohort squad can be granted automatic access to recordings — set this at the program level under Coach → Programs → [Program] → Settings → Recording visibility.
Pro tip: If you run group programs, set recording visibility to "All squad members" at the program level so clients never need to ask you for the link. It's one setting that saves dozens of messages per cohort.

Step 5 — Check for call duration issues

Stream Video requires a minimum call duration to generate a recording file. Calls that ended in under approximately 30 seconds — whether due to a connection drop, an accidental hang-up, or a test call — will not produce a recording. If your activity log shows a very short call duration, this is the most likely explanation.

Similarly, if the call dropped and then resumed as a new session (e.g., you created a second instant call), each call segment is recorded separately. Look for multiple entries in the Recordings tab — you may have two short clips instead of one long one.

Step 6 — Verify your subscription plan supports recording

Recording is available on Coachful's Scale plan and was available on the legacy Pro plan. If you're on the Growth plan, recording may be limited or unavailable depending on when your account was created. Check Coach → Settings → Billing to confirm your current plan. If recording is greyed out in your session settings, upgrading your plan will unlock it.

Step 7 — Look for a failed recording status and report it

If you see a Failed status on the Recordings tab, this indicates a server-side encoding error. These are rare but do happen, usually during periods of high platform load or due to an unusual codec from a participant's device.

Here's what to do:

  1. Note the session ID (visible in the URL when you're on the session detail page, e.g., /sessions/abc123).
  2. Note the date, time, and approximate duration of the call.
  3. Open a support ticket via Coach → Help → Contact Support or email support@coachful.co with the session ID and those details.

Common mistakes and troubleshooting

Mistake 1 — Refreshing the page repeatedly right after the call

The most common reaction is to keep refreshing the Recordings tab every 30 seconds. This won't speed up encoding. Set a reminder to check back in 45–60 minutes and use that time to send your post-session notes to the client instead.

Mistake 2 — Confusing instant calls with scheduled sessions

Instant calls (launched via the Start instant call button in a squad chat) are logged differently from scheduled bookings. If you started a session via instant call, find the recording under Coach → Squads → [Squad] → Calls, not under Coach → Sessions.

Mistake 3 — Assuming the client started the recording

Only the host can start and stop a recording. If you handed off the host role to a co-coach or virtual assistant, they must start the recording. Clients (members) cannot initiate recording regardless of settings.

Mistake 4 — Looking for recordings in the program's file library

Program files (PDFs, worksheets, videos you upload as content) are stored separately from live call recordings. Do not look in Coach → Programs → [Program] → Content for session recordings — they won't be there. You can, however, manually upload a downloaded recording as a content file if you want to embed it in a task.

Mistake 5 — Expecting recording after a calendar-synced external call

If a client booked a session that linked to an external meeting tool (e.g., Zoom or Google Meet) rather than Coachful's native video, the recording lives in that external tool, not in Coachful. To get recordings inside Coachful, the call must happen using the built-in Stream Video call — not an externally linked URL. Update your session type's meeting link setting under Coach → Settings → Session Types → [Type] → Video provider to use Coachful Video.

Mistake 6 — Not checking the spam/junk folder for the recording email

Coachful sends a "Your recording is ready" email notification to the coach when processing completes. If you haven't received it, check your spam folder. You can also adjust notification preferences under Coach → Settings → Notifications to ensure recording-ready emails go to the right address.

A few simple habits eliminate 95% of recording problems before they happen:

  • Enable auto-record at the account level so every session is captured without manual intervention.
  • Start calls 2 minutes early to verify the recording indicator (a red dot in the call UI) is visible before your client joins.

  • Download a local backup for high-value calls (e.g., a client's breakthrough session or a paid masterclass). Go to Recordings tab → click the download icon → save to cloud storage.
