- Save your changes, then test again with a new booking.
A common scenario: a coach connects their personal Gmail but has Check for conflicts pointed at a shared work calendar they no longer have access to. This causes availability to show as always open — because Coachful can't read the blocked-off times — while new bookings still sync correctly. These two settings interact, so check both.
Step 3 — Confirm the Booking Status Is "Confirmed"
Coachful only pushes an event to your external calendar when a booking reaches Confirmed status. If you use manual approval for bookings (where you review and accept each request), events won't sync until you've approved them. Pending, cancelled, and no-show bookings do not create calendar events.
- Go to Coach → Bookings and find the booking in question.
- Check the status badge — it should say Confirmed.
- If it says Pending, click into the booking and select Confirm.
- The calendar event should sync within 30–60 seconds of confirmation.

Common Mistakes and Troubleshooting
Events appear in Coachful but not in Google Calendar
This almost always means the Add to calendar setting is pointing to the wrong calendar or the write permission was not granted. Reconnect your calendar and ensure you see the correct calendar name selected in Scheduling → Calendar Sync → Add to calendar.
Google Calendar blocks time but Coachful still shows those slots as available
Your Check for conflicts setting isn't reading the right calendar. Go to Coach → Settings → Scheduling and add every calendar that has events you want Coachful to respect. Changes take effect within a few minutes.
Sync was working, then stopped after a password change
Changing your Google or Microsoft password invalidates existing OAuth tokens. Simply go to Coach → Settings → Integrations, disconnect the calendar, and reconnect with your new credentials.
Client receives a booking confirmation but no calendar invite
Coachful sends calendar invites (.ics files) as email attachments when a booking is confirmed. If your client didn't receive one, check that their confirmation email didn't land in spam. The .ics attach method is standard and compatible with Google Calendar, Outlook, and Apple Calendar. If the email itself is missing, check your Coach → Settings → Notifications to ensure client confirmation emails are enabled.
Group call events are missing from the calendar
Group calls created inside a Squad or as part of a Program week sync the same way as 1:1 sessions, but they require at least one confirmed attendee before the event writes to the host's calendar. If you created the group call but no one has booked yet, the event may not appear. Check back after the first enrollment.
Duplicate events showing up in Google Calendar
This happens when a calendar is disconnected and reconnected multiple times while existing bookings are still active. Each reconnect can trigger a re-sync. To clean up duplicates, delete them manually in Google Calendar — they won't affect the bookings inside Coachful. Going forward, avoid disconnecting and reconnecting unless you're troubleshooting.

- Test after any account change. Any time you change your Google or Microsoft password, update security settings, or switch accounts, immediately go to Integrations and confirm the calendar connection is still active.
