The short answer: squads are your coaching community, built in
Squads are Coachful's group spaces — real-time chat rooms where coaches and clients connect, collaborate, and hold each other accountable. Whether you're running a cohort through a 12-week program or hosting an always-on community for your entire client base, squads give everyone a shared space to show up together. Think of them as the social backbone of your coaching practice.
- Cohort squads are automatically created when clients enroll in a program — no setup required.
- Community squads are always-on group spaces you create manually for ongoing engagement.
- All squads are powered by real-time messaging (Stream Chat) so conversations happen instantly, not in a 24-hour email thread.
- Squads live inside your coaching workspace at
{your-slug}.coachful.co— fully branded, no third-party app needed.
Why squads matter for your coaching practice
Most coaching platforms treat group interaction as an afterthought — a clunky forum bolted on the side, or a Facebook Group link buried in a welcome email. Squads are different. They're built into the same environment where your clients complete tasks, book sessions, and track habits. That tight integration means engagement stays high because your clients never have to leave to have a conversation.
The research on cohort-based learning is clear: learners who engage with peers are significantly more likely to finish a program and achieve their goals. Squads operationalize that principle. When a client posts a win in the squad, the whole cohort sees it. When someone is stuck, a peer (or you) can answer in seconds. That social momentum compounds over the weeks of a program and keeps retention numbers healthy.
For coaches running group offers — masterminds, accountability pods, cohort programs — squads eliminate the need to stitch together Slack, WhatsApp, Circle, or Discord. Everything is in one place, under your brand, with your client data intact.

The two types of squads explained
Cohort squads — automatically generated per program enrollment
When you create a program in Coachful and clients begin enrolling, the platform automatically generates a cohort squad tied to that enrollment group. You don't have to create it, name it, or invite people manually. As soon as a client pays for and joins a program, they're dropped into the cohort squad alongside every other participant in that same enrollment wave.
This is powerful for structured programs. Imagine you're running a 10-week fitness coaching program with three weekly tasks, daily habit check-ins, and a group call every Thursday. The cohort squad becomes the live conversation layer on top of all of that structure. Clients can share workout photos, ask questions about that week's lesson, or celebrate each other's progress — all without leaving the program environment.
Cohort squads are scoped to the program. That means clients from one cohort don't automatically see clients from a different program or a different cohort of the same program. You control who sees what, which is especially important if you run multiple offers with different audiences.
Community squads — always-on group spaces for ongoing engagement
Community squads are persistent, always-on group spaces that you create and manage independently of any program. They're ideal for:
- A general community for all of your clients, regardless of which program they're in.
- A mastermind room for a specific tier of clients (e.g., your VIP annual members).
- Topic-specific channels — nutrition, mindset, business strategy — that live alongside your programs.
- A free community as a lead-generation layer, giving prospective clients a taste of your world before they buy.
Unlike cohort squads, community squads don't expire or close when a program ends. They stay open as long as you want them to, making them the foundation of long-term client relationships and recurring revenue models.
A note on standalone squads
You may see references to "standalone squads" in older Coachful documentation. Standalone squads are deprecated. The platform now uses cohort squads (tied to programs) and community squads (always-on) as the two primary types. If you were using standalone squads previously, your data is preserved, but all new squads should be created as community squads if they're not program-linked.
How squads work: the real-time experience
Squads are powered by Stream Chat, an enterprise-grade messaging infrastructure. That means messages are delivered in real time — no page refresh, no polling delay. Coaches and clients see a live feed of conversation, reactions, replies, and media. The experience feels closer to a group chat app than a traditional LMS forum.
Inside a squad, participants can:
- Send text messages, images, files, and links.
- React to messages with emoji.
- Reply in threads to keep conversations organized.
- Tag other members with
@mentionsto notify them directly. - Pin important messages so they stay visible at the top of the channel.
As a coach or admin, you have moderation controls. You can remove messages, manage member access, and control who can post. This keeps the squad environment professional and on-topic without requiring constant supervision.
How to create a community squad (step-by-step)
Creating a community squad takes about two minutes. Here's exactly how to do it:
- Sign in to your Coachful workspace at app.coachful.co/sign-in.
- In the left-hand navigation, go to Squads.
- Click Create squad (top-right button).
- Choose Community squad as the type.
- Enter a name for the squad (e.g., "VIP Mastermind" or "Weekly Wins").
- Optionally add a description and a cover image to brand the space.
- Set the visibility: Private (invite-only) or Open (anyone in your workspace can join).
- Click Create. Your squad is live immediately.
- Invite members by clicking Manage members and searching for clients by name or email.
That's it. The squad appears in the sidebar for every member you've added, and they can start chatting right away.
How cohort squads are created automatically
You don't create cohort squads manually — Coachful handles it. When you set up a program under Coach → Programs → Create new, the system is already aware that enrolled clients will need a shared space. As soon as the first client enrolls (via checkout, a payment link, or a direct invite), Coachful spins up the cohort squad and adds that client to it.
Subsequent enrollees are added automatically as they join. If you're running a cohort-based program with a fixed start date, all clients who enrolled before that date will find themselves in the same squad when the program kicks off — ready to go, no manual wrangling required.
You can view and moderate any cohort squad by navigating to Programs → [Your Program] → Squad inside your coach dashboard.
Pro tips for getting the most out of squads
Seed the conversation early
An empty squad is a ghost town. Before your program starts, post a welcome message introducing yourself, sharing what to expect, and asking everyone a simple question ("What's your #1 goal for this program?"). That first prompt breaks the ice and signals to clients that this is an active, coached community — not a static resource dump.
Use community squads as a free-tier offer
One of the highest-ROI things you can do with squads is create a free community squad and invite leads into it. Share the link on your link-in-bio page (built right into Coachful's website tools) and let prospective clients experience your coaching energy before they buy. When you launch a new program, your warmest audience is already inside your platform.
Coaches who combine a free community squad with a lead magnet page inside Coachful often see a 20–40% shorter sales cycle because prospects have already experienced the platform and the coach's style before they hit the checkout page.
Pair squads with group calls for maximum cohesion
Squads handle the async layer of group coaching brilliantly, but live connection matters too. Coachful's built-in group call scheduling (under Bookings) lets you attach a recurring weekly call to the same cohort your squad serves. The combination of real-time chat + weekly video call creates the kind of accountability loop that drives program completion rates up significantly.
Pin your resources
Use the message pinning feature to keep key resources visible at the top of the squad. Think: the program schedule, the week's focus, links to bonus materials, or a link to book a 1:1 session with you. Pinned messages reduce the "where do I find X?" questions that eat into your time.
Common mistakes and troubleshooting
My cohort squad isn't showing up for a client
This almost always means the client's enrollment wasn't fully confirmed. Check under Programs → [Program] → Enrollments to verify their status shows as Active. If their payment is pending or their enrollment was created manually without triggering the flow, you may need to re-enroll them or manually add them to the squad via Manage members.
I accidentally created a standalone squad — what do I do?
Standalone squads are deprecated, so if you're seeing one in your dashboard it may be legacy data from before the current squad architecture. You can't convert a standalone squad to a community squad, but you can create a new community squad, invite the same members, and archive or delete the old one. Reach out to Coachful support if you need help migrating conversation history.
Clients say they're not receiving notifications from the squad
Notification settings are controlled at the user level. Ask clients to check their notification preferences inside their profile settings (top-right avatar → Notifications). They can enable push notifications on mobile (via the Coachful iOS or Android app) or email digests for squad activity. If they're on desktop, browser notification permissions need to be granted for app.coachful.co.
I want to archive a squad after a program ends
Navigate to the squad settings and select Archive squad. Archived squads are read-only — members can view conversation history but can't post new messages. This is ideal for cohort squads after a program concludes: clients keep their record of the journey, but the space doesn't stay active indefinitely.
Can I have multiple squads per program?
Currently, each program enrollment generates one cohort squad. If you need topic-specific channels within a program (e.g., a nutrition channel and a mindset channel alongside the main cohort chat), you can supplement with community squads and manually invite the relevant program participants.
Squad messages aren't loading / the chat feed is stuck
Stream Chat (the engine powering squads) is highly reliable, but occasional hiccups happen. First, try a hard refresh (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac). If the issue persists, check the Stream status page for any active incidents. If Stream is healthy and the problem continues, contact Coachful support with your squad ID and a screenshot.
Squads vs. 1:1 messaging — when to use which
Squads are for group communication. For private, confidential conversations between you and an individual client, use Coachful's direct messaging feature instead. Direct messages are also powered by Stream Chat but scoped to a two-person channel. A good rule of thumb: use squads for anything the whole group would benefit from seeing, and use direct messages for sensitive feedback, personal breakthroughs, or billing questions.
