Why squad notifications matter — and when they become noise
Squad notifications keep your coaching community alive. A quick ping when a client posts a question, a nudge when someone reacts to your message, a reminder when a new cohort member joins — these small signals are what turn a passive group chat into an engaged, high-retention community. But when the volume gets out of hand, coaches and clients start muting everything, and that defeats the purpose entirely.

The two types of squads and how notifications differ

Cohort squads
Cohort squads are auto-created the moment a client enrolls in a program. If you run a 12-week weight-loss program and ten clients sign up in the same enrollment window, Coachful automatically places them in a shared cohort squad. These squads have a natural start and end date aligned with the program, so notifications tend to be most active in the first few weeks when engagement peaks and trail off as the cohort winds down.
Community squads
Community squads are always-on group spaces — think of them as your evergreen coaching community, a mastermind room, or a VIP client lounge. Because there's no end date, notification fatigue is a real risk here. Members who joined six months ago may not want the same ping frequency as a brand-new enrollee. Heads up: Standalone squads are deprecated in Coachful. If you were using a standalone squad previously, it has been migrated into either the cohort or community model. Your notification settings carry over, but it's worth reviewing them after migration.
Every squad notification trigger explained
Coachful's squad notifications are powered by Stream Chat, which means they're real-time, reliable, and delivered across web, iOS, and Android. Here's every event that can generate a notification and who receives it.
1. New message in a squad channel
Any time someone posts a new message in a squad channel you're a member of, you can receive a notification. By default, this is on for coaches and on for members — but members who have muted the squad won't see it. This is the highest-volume trigger and the first one to adjust if you're feeling overwhelmed.
2. @mention
When someone types @yourname in a squad message, a targeted notification fires regardless of your mute settings for general messages. Mentions cut through mute — this is intentional. If a client needs your attention urgently, they should @mention you. Coaches: remind your clients of this behavior during onboarding so they don't feel ignored when they post a general message in a muted channel.
3. Reactions to your message
When a member reacts to a message you posted (a 👍, ❤️, or any emoji), you receive a reaction notification. These are lightweight and low-friction, but in an active community squad with 50+ members, they can still stack up. You can disable reaction notifications globally in your notification preferences without affecting @mention delivery.
4. New member joins the squad
This trigger fires exclusively for coaches and admins, not for regular members. Every time a new client enrolls in a program and lands in a cohort squad — or manually joins a community squad — the coach receives a "new member joined" notification. This is useful for tracking enrollment in real time without having to refresh your dashboard.
5. Pinned message events
When a coach or admin pins a message inside a squad, all squad members receive a notification pointing them to the pinned content. This is a deliberate, low-frequency signal — use it to highlight important announcements, weekly check-in prompts, or resource links you want everyone to see. Because it's meant to be rare, members rarely mute this trigger.
6. Flagged or reported messages (coach/admin only)
If a member flags a message for review, the coach and any admin in the squad receive an immediate notification. This is a moderation signal that cannot be muted — it always delivers to ensure community standards are maintained.

How to manage your squad notification settings
There are three layers of control: global preferences, per-squad settings, and device-level push toggles. Understanding all three gives you surgical precision over what reaches you.
Step 1 — Access your global notification preferences
- Sign in at app.coachful.co.
- Click your avatar in the top-right corner and select Profile & Settings.
- Navigate to the Notifications tab.
- You'll see toggles for: Squad messages, Mentions, Reactions, New member joins, and Pinned messages.
- Toggle each event type on or off. Changes save automatically.
Global settings apply across all squads. If you turn off "Squad messages" globally, you won't receive new-message pings from any squad — but @mentions will still come through.
Step 2 — Mute or customize a specific squad
- Open the Squads section in your left sidebar.
- Hover over the squad you want to adjust and click the ⋯ (more options) icon.
- Select Notification settings from the dropdown.
- Choose one of three modes:
- All messages — every new post notifies you.
- Mentions only — only @mention pings come through.
- Mute — no notifications from this squad (except flagged messages if you're a coach).

Per-squad settings override your global preferences for that specific squad. A common setup for busy coaches: global preference set to "Mentions only", with a few high-priority community squads set back to "All messages".
Step 3 — Control push notifications on mobile
Coachful's mobile experience runs as a progressive web app and a native iOS/Android shell. Push notifications are managed separately at the device level.
- On iOS: go to Settings → Notifications → Coachful and configure alert style, sounds, and badge counts.

Step 4 — Manage email notification digests

Set expectations during onboarding

Use pinned messages deliberately
Because pinned-message notifications are rare by design, they carry weight. Reserve pins for weekly check-in prompts, major announcements, or evergreen resources. Pinning every motivational quote dilutes the signal and trains members to ignore pins.
Coach-side triage strategy
If you run multiple cohort squads simultaneously — say, two 8-week programs and one always-on community squad — consider this tiered approach:
- Active cohort squads (weeks 1–4): All messages on. High engagement, clients need fast responses.
- Mid-cohort squads (weeks 5–8): Mentions only. Clients are in execution mode; your check-ins matter more than reactive replies.
- Winding-down squads: Muted or digest only.
- Community squad: Mentions only globally, check in on a set schedule (e.g., every weekday morning).

Troubleshooting common squad notification problems
I'm not receiving any squad notifications
Check three things in order: (1) your global notification settings under Profile → Notifications — make sure the relevant toggles are on; (2) the per-squad setting for the specific squad — it may be set to "Mute"; (3) your device's OS-level permission for push notifications. On iOS, check Settings → Notifications → Coachful and confirm "Allow Notifications" is enabled.
I'm getting too many notifications from one squad
Go to that squad's notification settings (hover → ⋯ → Notification settings) and switch to "Mentions only". This reduces noise while keeping the important direct pings intact. If even that feels like too much, switch to "Mute" and set up a daily digest email instead.
My clients say they're not getting squad notifications
Ask them to check two things: (1) in-app notification settings under their profile, and (2) OS-level push permissions. New app installs on iOS require explicit permission grants — clients may have accidentally tapped "Don't Allow" during setup. They can fix this in iOS Settings. Also confirm they're on an up-to-date version of the Coachful app (check via app.coachful.co/mobile).
@mentions aren't cutting through my mute settings
@mentions are designed to override mute — but this only works when the sender uses the in-chat @ mention syntax, not just types your name in plain text. Make sure your clients know to use the autocomplete mention picker (type @ and start typing the name) rather than writing it freehand. The system only recognizes structured mentions for the override behavior.
I receive duplicate notifications (push + email) for the same event
This usually happens when both "Real-time" email notifications and push notifications are enabled simultaneously. Decide on one primary channel. Most active coaches prefer push-only during working hours and switch to digest email for off-hours. Adjust under Profile → Notifications → Email preferences.
Pinned message notifications aren't firing for my clients
Confirm the client hasn't fully muted the squad. Even though pinned-message events are high-priority, a full "Mute" setting at the per-squad level suppresses them for regular members (it only leaves flagged-content alerts active for coaches). Ask the client to switch from "Mute" to "Mentions only" to restore pin notifications.
