How to pause a client's program enrollment

Pausing a client's enrollment suspends all drip scheduling for their specific enrollment. Other clients in the same program are completely unaffected — the pause is per-enrollment, not per-program.

  1. From your coach dashboard, go to Clients in the left sidebar and click the client's name.
  2. Select the Programs tab on the client profile page. You'll see a list of all their active and completed enrollments.
  3. Find the relevant program and click Manage Enrollment (the three-dot menu on the right side of that row).
  4. Select Pause Enrollment from the dropdown.
  5. In the dialog that appears, enter an optional resume date. If you set a resume date, Coachful will automatically unpause the enrollment on that date. If you leave it blank, you'll need to manually resume it later.
  6. Add an optional internal note explaining the reason for the pause — this is visible only to coaches and admins, not to the client.
  7. Click Confirm Pause.

Once paused, the client's program view will show a "Program paused" banner. They can still access completed content and send messages, but no new tasks will unlock and any pending deadline notifications are suppressed until the enrollment resumes.

Resuming a paused enrollment

If you didn't set an automatic resume date, resuming is just as simple:

  1. Navigate back to Clients → [Client Name] → Programs.
  2. Open Manage Enrollment on the paused program.
  3. Click Resume Enrollment.
  4. Confirm. The drip schedule picks up from the exact week and day where the client paused — no content is skipped, no deadlines are retroactively added.

How to extend a client's program end date

An extension adds calendar time to the enrollment without touching the client's task history or progress. It's additive — you're pushing the finish line, not rewinding the clock.

  1. Go to Clients → [Client Name] → Programs and open Manage Enrollment on the relevant program.
  2. Choose Edit Enrollment Dates.
  3. You'll see the current Start Date and End Date. Edit the End Date field directly — type in the new date or use the date picker.
  4. If your program uses drip scheduling (content unlocks on specific days relative to enrollment start), Coachful will recalculate all future unlock dates automatically based on the new end date. A preview will appear before you confirm.
  5. Click Save Changes.

The client's program view updates immediately. If you've extended by, say, three weeks on a 12-week program, the client now sees a 15-week timeline with their completed weeks intact and the remaining weeks spread across the extended window.

Extending a program that's already ended

If the program end date has already passed, the client's enrollment will be in a Completed or Expired state. You can still edit the end date — set it to a future date and the enrollment will reactivate. The client will regain access to incomplete content and any remaining drip-scheduled tasks will unlock according to the new timeline.

Managing billing when you pause or extend

Pausing or extending an enrollment in Coachful does not automatically pause or extend a client's Stripe subscription. These are separate systems, and intentionally so — not every pause warrants a billing change (for example, a one-week vacation doesn't necessarily justify a billing credit).

Here's how to think about it:

  • Short pauses (1–2 weeks): typically no billing action needed. The client is still subscribed; you're just giving them grace time.
  • Longer pauses (3+ weeks): consider pausing their Stripe subscription or issuing a prorated credit. You can do this from Coach → Billing → [Client Name] → Subscription or directly from your Stripe dashboard.
  • Extensions as a goodwill offer: if you're extending at no charge, no billing change is needed. If you're charging for extra weeks, create a new one-time payment or update the subscription from your Offers & Pricing settings.

Communicating the change to your client

Troubleshooting common issues

The "Pause Enrollment" option is greyed out

This usually means the enrollment is in a terminal state — either Completed, Expired, or Cancelled. You can't pause a completed enrollment; if the client needs to continue, use Edit Enrollment Dates to reactivate it by setting a future end date first.

Drip content didn't recalculate after an extension

Drip recalculation only applies to future unlock dates. Tasks that have already unlocked remain unlocked regardless of the new end date. If you extended by three weeks but content still seems locked, check whether those tasks were originally set to unlock on a specific calendar date (absolute drip) rather than a relative day offset. Absolute-date drip tasks need to be manually rescheduled inside the program editor under Coach → Programs → [Program] → Curriculum.

The client can't see their program after I resumed it

Ask the client to do a hard refresh (Ctrl+Shift+R on desktop, or close and reopen the app on mobile). Enrollment state changes update in real time on the server but the client's browser or PWA may have a cached view. If the issue persists after a refresh, check under Clients → [Client Name] → Programs that the status genuinely shows Active and not still Paused.

I extended the end date but the client's cohort squad is still archived

Cohort squads are tied to program enrollment windows. When you extend an enrollment, the squad should reactivate automatically. If it doesn't, go to Coach → Squads, find the squad, and click Reactivate. This is a known edge case when the squad was archived manually rather than automatically at program end.

I accidentally paused the wrong client's enrollment

Simply resume the enrollment immediately — no harm done. Pausing and resuming is instantaneous and leaves no lasting effect on the client's progress or content access. There is no "undo" log entry to clear; the resume action is sufficient.

The client's billing subscription is still active but their enrollment shows as expired

Billing and enrollment are independent in Coachful by design. An active subscription doesn't automatically reactivate an expired enrollment. Go to Manage Enrollment → Edit Enrollment Dates and set a new end date to reactivate the enrollment manually. Consider whether to also extend the subscription end date in Stripe to match.
