Stop building from scratch every time

Every coach has been there: a new client signs, you're excited to get started, and then you spend the next two hours rebuilding the same 12-week structure you've built three times before. Program templates fix that. Instead of starting from a blank canvas, you clone a proven curriculum, make a few tweaks, and launch in minutes — not hours.

On Coachful, program templates let you save any program as a reusable blueprint and spin up identical (or slightly customized) versions for every new cohort, niche, or offer tier. This guide walks you through exactly how to use them.

TL;DR

  • Save any existing program as a template from Coach → Programs → [Program] → Settings → Save as template.
  • Create a new program from a template instead of from scratch — all weeks, days, tasks, habits, and goals copy over instantly.
  • Edit the clone without touching the original; templates stay frozen until you update them manually.
  • Best used for repeatable offers: signature programs, onboarding sequences, and seasonal re-runs.

What exactly is a program template?

A program template is a snapshot of a complete program structure — every week, every day, every task, habit, and goal — saved so you can recreate it on demand. Think of it like a master file: the template itself never gets enrolled in or delivered to clients. Only the programs you spin up from the template do.

This distinction matters. When you save a program as a template, Coachful stores a frozen copy of the curriculum at that moment in time. Future edits to the live program won't retroactively update the template, and future programs you create from the template won't affect each other. Each instance is fully independent the moment it's created.

Templates are scoped to your coaching workspace, so every coach on your team (editor, coach, or admin role) can access the shared template library. If you run a multi-coach operation, this is how you enforce curriculum consistency across your roster without sending Google Docs around.

When to use a template vs. building fresh

Templates shine in specific situations. Here's a quick decision framework:

  • Use a template when you're re-running a program you've already delivered — a new cohort of the same 8-week weight-loss program, for example.
  • Use a template when you have multiple offer tiers (e.g., a "Core" 6-week program and a "VIP" 12-week program) and want a consistent base for each.
  • Use a template when onboarding new coaches to your team so everyone starts from the same curriculum standard.
  • Build fresh when you're experimenting with a brand-new format, a completely different client persona, or a topic you've never structured before.
  • Build fresh when a client's needs are unusual enough that a standard structure would require more editing than starting clean.

A good rule of thumb: if you've delivered a program more than once and expect to deliver it again, it deserves a template.

How to save a program as a template (step-by-step)

Before you can launch from a template, you need at least one saved. Here's how to create your first one:

  1. From your coach dashboard, navigate to Coach → Programs.
  2. Open the program you want to templatize by clicking its name.
  3. Click the Settings tab inside the program editor.
  4. Scroll to the Template section and click Save as template.
  5. Give the template a clear internal name — something like "12-Week Executive Coaching — Core" or "6-Week Fitness Kickstart v2". This name is only visible to your team, not clients.
  6. Add an optional description to remind your future self (or a team member) what this template is for and who it's best suited to.
  7. Click Save. Coachful copies the full program structure into your template library instantly.

That's it. Your template is now available any time you create a new program.

How to launch a new program from a template

Once you have templates saved, spinning up a new program is a matter of a few clicks:

  1. Go to Coach → Programs and click Create new program.
  2. When prompted, choose Start from a template instead of "Start from scratch".
  3. Browse your template library and select the template you want to use. You'll see the template name, description, and a summary of the week/task count.
  4. Name the new program (e.g., "Spring 2025 Cohort — 12-Week Executive Coaching").
  5. Click Create. Coachful instantly clones all weeks, days, tasks, habits, and goals into the new program.
  6. Review and customize: update any dates, swap out specific tasks, adjust goals for the new cohort, or add a fresh resource file. The template content is your starting point, not your ceiling.
  7. Set your pricing, enrollment settings, and squad preferences, then publish or save as a draft.

From clicking "Create new program" to having a fully structured curriculum ready for clients, this process typically takes under five minutes for a program you've run before.

Coachful tip: When clients enroll in a program, Coachful automatically creates a cohort squad for that program — a private group chat where enrolled clients and the coach connect. Set up your squad welcome message inside the template so it's pre-loaded every time. Learn more about squads and cohorts.

Managing and updating your template library

Your template library will grow over time, especially if you run multiple program types or have a team of coaches. Keeping it organized saves confusion down the line.

Naming conventions that scale

Use a consistent naming format from day one. A structure like [Niche] — [Program length] — [Version] works well for most coaching businesses. For example: Business Coaching — 90-Day — v3 or Wellness — 6-Week Kickstart — 2025. When a new team member opens the template picker, they'll know exactly what they're looking at.

When to update a template

Templates don't auto-update. If you deliver a program and discover that Week 4 needs a completely new task set, fix the live program first, then go back and re-save it as a template (you can overwrite the existing template or save a new version). Treat major curriculum revisions as a reason to bump the version number in your template name.

Archiving old templates

Don't delete outdated templates immediately — past cohorts may still reference the structure for support or re-enrollment. Instead, add a prefix like [ARCHIVED] to the template name so your team knows not to use it for new programs.

Pro tips for launching faster with templates

Pre-load everything you possibly can. The more complete your template is before you clone it, the less you have to do after. This means embedding resource files, habit check-in prompts, goal descriptions, and even coach notes inside the tasks themselves — not just the task titles.

Build a "minimum viable program" template

Not every client needs a highly customized experience from day one. Consider building a leaner 4-week onboarding template with the core habits, an intake task, and two check-in calls pre-scheduled. Use this as a universal first step before moving clients into your longer, more specialized programs. Coaches who do this report cutting their client onboarding time by more than half.

Use templates to test pricing tiers

If you're thinking about launching a "lite" version of your signature program at a lower price point, clone the full template, strip out the advanced modules, and publish it as a separate offer. Coachful's Stripe Connect billing lets you set different pricing on each program, so you can A/B test your offers without duplicating manual work. See setting up program pricing for the full walkthrough.

Combine templates with the website builder

Each program on Coachful can have its own landing page built with the drag-and-drop website builder. When you create a program from a template, duplicate the corresponding landing page as well and update the cohort-specific details (dates, enrollment deadline, testimonials). This keeps your marketing consistent with your curriculum without rebuilding pages from scratch every launch.

Common mistakes and troubleshooting

My template doesn't show up when creating a new program

Check that you completed the "Save as template" step fully — clicking into the Settings tab and confirming the save. If the template was saved by a different team member, confirm that your role (coach, editor, or admin) has access to the shared template library. Super_admin and admin roles have full access; coach and editor roles may have restricted visibility depending on your workspace settings.

I edited the live program but my template didn't update

This is by design. Templates are frozen snapshots. To update a template, make your edits to the live program first, then navigate back to Settings → Save as template and overwrite (or version) the existing template. Programs already created from the old template are not affected — only new programs created after the update will use the refreshed structure.

My cloned program is missing resources or files

File attachments embedded directly in tasks copy over with the template. However, if a resource was linked externally (e.g., a Google Drive URL typed into a task description), the link will still be there — but you'll want to verify that the linked file is still accessible and correctly permissioned for new clients. For critical resources, upload them directly to Coachful rather than linking externally.

I accidentally published a template clone before it was ready

Go to Coach → Programs → [Program] → Settings and switch the status back to Draft. Clients who haven't enrolled yet won't see it. If clients have already enrolled, changing to draft will hide it from new enrollments but won't affect existing participants. Reach out to Coachful support if you need to fully revert an accidental live publish.

The template has too many weeks for this client's timeline

After cloning, you can delete individual weeks or days directly in the program editor without affecting the source template. Delete from the bottom up (remove Week 12 before Week 11, etc.) to avoid renumbering confusion. Alternatively, simply keep the extra weeks as optional bonus content and mark them clearly in the task titles.

Team members can see templates they shouldn't edit

Role permissions on Coachful follow the org-role model: super_coach (owner), coach, member, and virtual_assistant. If you want to restrict template editing to senior coaches only, adjust team member roles under Workspace → Team → Roles. Virtual assistants and members can typically view but not modify core program structures. See team roles and permissions for details.

Ready to launch your next program in minutes?

Program templates are one of the highest-leverage features available to coaches who run repeatable offers. Instead of rebuilding curricula from memory, you invest that time in the work that actually moves clients forward — coaching, feedback, and relationship-building. A well-maintained template library is essentially a productized version of your IP, ready to deploy on demand.

If you're not on Coachful yet, templates are available on all paid plans. Frequently asked questions

What is a program template in Coachful?
A program template in Coachful is a saved snapshot of a complete program structure — including all weeks, days, tasks, habits, and goals. You can create new programs from a template instantly, without rebuilding the curriculum from scratch each time.
Does editing a live program automatically update its template?
No. Templates are frozen snapshots taken at the moment you save them. To update a template, make your edits to the live program first, then re-save it as a template from the program's Settings tab. Programs already created from the old template are not affected.
Can multiple coaches on my team use the same template?
Yes. Templates are scoped to your entire Coachful workspace, so all team members with the appropriate role — coach, editor, or admin — can access and use the shared template library. This makes it easy to maintain curriculum consistency across a multi-coach team.
Are program templates available on all Coachful pricing plans?
Program templates are available on all paid Coachful plans, including the Growth and Scale tiers. A free trial is available so you can build and test your first template before committing to a plan.
Can I create a program template from scratch, or does it have to come from an existing program?
Templates are created by saving an existing program — so you'll need to build the program first, then save it as a template. The quickest approach is to build your ideal program structure once, save it as a template, and then create all future instances from that template.
Will clients see or be affected when I update a template?
No. Clients are enrolled in specific program instances, not the template itself. Updating or overwriting a template has no effect on currently enrolled clients or any programs that were previously created from it. Only new programs created after the update will reflect the changes.
How many templates can I save in Coachful?
Coachful does not impose a hard cap on the number of templates you can save under standard paid plans. You can build separate templates for every program type, offer tier, or coaching niche in your business.
