Why manual enrollment matters

Sometimes a client pays over the phone, comes through a referral, or needs to start mid-program. Waiting for them to self-enroll through a checkout page wastes time and creates awkward gaps in their experience. Knowing how to enroll clients into a coaching program manually gives you full control over who starts, when they start, and what they see from day one.

Manual enrollment is also essential when you're migrating existing clients from another platform, onboarding beta testers at no charge, or gifting access to a program as part of a partnership deal. It's one of the most-used admin actions inside Coachful, so it's worth mastering completely.

TL;DR — Quick answer

  • Go to Coach → Programs, open the program, and navigate to the Members or Enrollment tab.
  • Click Enroll client, search for an existing user by name or email, and confirm.
  • If the client doesn't have a Coachful account yet, invite them first — they'll receive a welcome email and be enrolled automatically.
  • A cohort squad is created automatically when the first client enrolls in a program, keeping group communication organized from the start.

Before you enroll: a quick checklist

Taking 60 seconds to verify a few things before you hit "Enroll" will save you a support headache later.

  1. The program is published (or at least active). Draft programs can still accept manual enrollments, but clients won't see content until the program is set to active. Go to Coach → Programs → [Your Program] → Settings and confirm the status.
  2. The client has a Coachful account. Manual enrollment requires the client to exist as a user in your workspace. If they don't, you'll invite them first (covered below).
  3. You've decided on a start date. Coachful programs are structured around weeks and days. If you enroll a client today but their program is designed to start on Mondays, you can set a custom start date so Week 1, Day 1 lands on the right day.
  4. Payment is handled separately (if applicable). Manual enrollment bypasses the checkout flow. If the client owes payment, make sure you've collected it through a Stripe invoice, a direct payment link, or an offline method — manual enrollment does not trigger automatic billing.

Step-by-step: how to manually enroll a client

Step 1 — Open your program

From your coach dashboard, navigate to Coach → Programs in the left sidebar. You'll see a list of all programs in your workspace. Click the program you want to enroll the client in.

Step 2 — Go to the Members tab

Inside the program, find the Members tab (sometimes labeled Clients or Enrollment depending on your workspace configuration). This tab shows everyone currently enrolled, their progress, and their start date.

Step 3 — Click "Enroll client"

Click the Enroll client button in the top-right corner of the Members tab. A search modal will appear. Type the client's name or email address into the search field. Coachful will search across all users in your workspace in real time.

Step 4 — Select the client and set a start date

Click the client's name in the search results. You'll be prompted to confirm or adjust their program start date. The default is today's date, but you can set any future date — useful if you sell programs in advance or run cohorts that all begin on the same day.

Step 5 — Confirm enrollment

Click Confirm (or Enroll). The client will appear in the Members list immediately. Coachful will send them an automated enrollment notification email with a link to access their program content.

Pro tip: Coachful automatically creates a cohort squad the moment the first client enrolls in a program. This group chat space keeps your program participants connected without any extra setup on your part. If you're running a group program, your community is live the second enrollment begins.

Enrolling a brand-new client who doesn't have an account yet

If the person you want to enroll hasn't joined your Coachful workspace yet, you'll need to invite them before you can enroll them manually. Here's how:

  1. Go to Coach → Clients and click Invite client.
  2. Enter their first name, last name, and email address. You can optionally add a personal note to the invitation email.
  3. Click Send invite. The client will receive an email prompting them to create their account.
  4. Once they accept the invite and complete signup, return to Coach → Programs → [Your Program] → Members and follow the standard enrollment steps above.

Alternatively, if you want to pre-enroll them before they accept the invite, Coachful allows you to enroll a pending user. Their program access will activate automatically as soon as they complete their account setup — so you're not waiting around.

Enrolling multiple clients at once (bulk enrollment)

If you're launching a cohort program and need to enroll 10, 20, or 50 clients at the same time, doing it one by one is impractical. Coachful supports bulk enrollment from the Members tab:

  1. Go to Coach → Programs → [Your Program] → Members.
  2. Click Enroll clients and then select Bulk enroll.
  3. Search for and select multiple clients using the checkboxes in the search modal.
  4. Set a single shared start date for the entire cohort (each client will progress through the program on the same schedule).
  5. Click Confirm. All selected clients are enrolled simultaneously and each receives an enrollment notification.

Bulk enrollment is particularly powerful when combined with Coachful's cohort squads. All enrolled clients are automatically added to the same squad, so their group chat is ready without any manual setup. No separate Slack channel, no Facebook group to manage.

Setting different start dates for different clients

Not every coach runs cohorts. Many operate a rolling enrollment model where each client starts on their own schedule — sometimes called "evergreen" or "self-paced" programs. Coachful handles this natively.

When you enroll a client, the start date you set determines their personal Week 1, Day 1. Two clients enrolled in the same 12-week program with different start dates will each see their own individualized timeline. Their tasks, habits, and goals are all relative to their start date, not a fixed calendar date. This is one of Coachful's most powerful features for coaches who run ongoing practices rather than live cohorts.

You can also adjust a client's start date after enrollment. Go to Coach → Programs → [Your Program] → Members, click the three-dot menu next to the client's name, and select Edit enrollment. Update the start date and save — Coachful recalculates their entire program timeline automatically.

What happens after enrollment

Once a client is manually enrolled, several things happen automatically so you don't have to manage them individually:

  • Welcome email: The client receives an enrollment confirmation email with a direct link to their program dashboard.
  • Squad creation: If this is the first enrollment in the program, a cohort squad is created. If a squad already exists (from previous enrollments), the client is added to it automatically.
  • Task and habit schedule: All weeks, days, tasks, goals, and habits become visible to the client according to their start date. If the program uses drip scheduling (content unlocks week by week), that schedule begins from their start date.
  • Progress tracking: The client appears in your Members tab with a 0% progress indicator. As they complete tasks and habits, that percentage updates in real time so you can monitor engagement at a glance.
  • Booking availability: If your program includes scheduled 1:1 sessions or group calls, those session types become bookable by the client immediately after enrollment.

Pro tips for managing enrollments effectively

Use custom start dates to align with your coaching rhythm

If you run Monday-start cohorts, always set the enrollment start date to the upcoming Monday even if you're enrolling clients on a Wednesday. This keeps your cohort in sync and makes group calls, weekly check-ins, and task deadlines consistent across all members.

Combine manual enrollment with a payment plan offer

Manual enrollment doesn't trigger billing, which makes it perfect for custom arrangements. You can set up a payment plan offer in Coachful's Stripe Connect billing, send the client a direct payment link, and then manually enroll them once the first payment clears. This gives you the flexibility of a bespoke deal with the structure of automated billing going forward.

Use Michelle (your AI co-pilot) to speed things up

Not sure where a setting is, or want to confirm which clients are currently enrolled in a specific program? Ask Michelle, Coachful's built-in AI assistant, directly from your dashboard. You can type a question like "Who is enrolled in my 12-week strength program?" and Michelle will pull the answer instantly — no navigating through menus required.

"Coaches who use a structured enrollment process report higher client retention in the first 30 days. When clients receive a clear welcome, see their full program laid out, and feel part of a community from day one, drop-off drops dramatically."

Troubleshooting common enrollment issues

The client doesn't appear in the search results

This means they don't have a Coachful account in your workspace yet. You need to invite them first via Coach → Clients → Invite client. Once they accept and create their account, they'll show up in the enrollment search.

The client received the enrollment email but can't access the program

Check two things: (1) Is the program status set to Active or Published? Draft programs are not visible to clients. (2) Is the start date set in the future? If you enrolled them with a start date of next Monday, they won't see program content until that date. Adjust the start date via Edit enrollment if needed.

The cohort squad wasn't created after enrollment

Cohort squads are created automatically on first enrollment. If you don't see one, navigate to Coach → Squads and check whether it was created under a slightly different name. If it's genuinely missing, try unenrolling and re-enrolling the client — this will trigger the squad creation logic again. If the issue persists, reach out via the in-app support chat.

The client is enrolled but shows no program content

This usually means the program has no published content. Go to Coach → Programs → [Your Program] → Curriculum and confirm that at least Week 1 has tasks or content items saved and set to visible. Unpublished or empty weeks won't display to clients even after enrollment.

You accidentally enrolled the wrong client

No problem. Go to Coach → Programs → [Your Program] → Members, click the three-dot menu next to the client, and select Remove from program. The client will lose access to the program immediately. If they received an enrollment email, it's good practice to send them a quick message via Coachful's built-in messaging to let them know.

You need to enroll a client in multiple programs simultaneously

Coachful supports enrolling one client in multiple programs at the same time. Each enrollment is independent — separate start dates, separate squads, separate progress tracking. Repeat the enrollment steps for each program individually. There's no limit to how many programs a single client can be enrolled in.

Frequently asked questions

Can I enroll a client in a coaching program before they create their account?
Yes. Coachful allows you to enroll a pending user who hasn't completed their account setup yet. Their program access activates automatically as soon as they accept your invite and finish signing up. You can send the invite from Coach → Clients → Invite client.
Does manually enrolling a client trigger a payment charge?
No. Manual enrollment bypasses the checkout flow entirely and does not trigger any billing. If the client owes payment, you need to collect it separately — for example, via a Stripe payment link or a payment plan offer set up in Coachful's billing settings.
Can I enroll one client in multiple coaching programs at the same time?
Yes, there is no limit to how many programs a single client can be enrolled in simultaneously. Each enrollment is fully independent, with its own start date, progress tracking, and cohort squad. Simply repeat the enrollment steps for each program.
What is a cohort squad and when is it created?
A cohort squad is an auto-created group chat space tied to a specific coaching program. It's created automatically when the first client is enrolled in a program. Every subsequent client enrolled in that program is added to the same squad, so group communication is ready without any manual setup.
Can I change a client's program start date after enrolling them?
Yes. Go to Coach → Programs → [Your Program] → Members, click the three-dot menu next to the client's name, and select Edit enrollment. Update the start date and save — Coachful recalculates the client's entire program timeline automatically based on the new date.
Why can't my client see program content after I enrolled them?
There are two common causes: the program status is still set to Draft (change it to Active in Program Settings), or the program start date is set in the future (adjust it via Edit enrollment). Also confirm that the program curriculum has at least one week with published content items.
How do I enroll multiple clients in a program at the same time?
Use the bulk enrollment feature inside the program's Members tab. Click Enroll clients, select Bulk enroll, check the names of all clients you want to add, set a shared start date, and confirm. All selected clients are enrolled simultaneously and each receives an enrollment notification email.
