What happens when you edit a live program?

The nuance is understanding what changes affect existing enrollees versus only new ones — and how to communicate those changes so no one feels blindsided.

Types of program edits and how they affect enrolled clients
Editing content inside existing tasks
Updating a task's title, description, embedded video, downloadable PDF, or external link is the safest edit you can make. Changes are reflected immediately across the platform — every enrolled client will see the updated content the next time they open that task, regardless of where they are in the program timeline.
This means you can fix a typo, swap out a broken video link, or drop in a better worksheet without any interruption. Clients who have already completed a task will still see the updated content if they revisit it — Coachful stores completion status separately from content, so editing content never resets a client's progress.
Adding new tasks or days to an existing week
When you add a new task to a week that enrolled clients have not yet reached, they will see it when they get there — as if it was always part of the program. When you add a task to a week that clients are currently in or have already passed, those clients will see the new task appear in that week immediately. Completed weeks will show the new task as available (not auto-completed).
Before adding tasks mid-program, ask yourself: is this genuinely additive, or will it feel like unexpected homework? A short heads-up in your Squad keeps trust intact.
Removing tasks or days
Deleting a task removes it from the program for all clients — including those who have already completed it. The completion record is removed from their progress log. Use deletion sparingly. If a task is outdated but clients have already engaged with it, consider editing the content rather than deleting it, or simply leaving it in place and noting the update in the description.
Adding or removing entire weeks
Adding a new week to the end of a program extends the timeline for all current and future enrollees. Adding a week in the middle shifts all subsequent weeks forward in the timeline — clients who have already completed those shifted weeks will have their completion records preserved, but the week numbering in their view will update.
Removing a week is the most disruptive change you can make. All tasks in that week are deleted for enrolled clients. If those clients had already completed tasks in the removed week, those completions disappear. Only remove weeks if your program is very new and enrollment is small enough that you can manually communicate the change.
Editing goals and habits
Goals and habits you attach to a program set the foundation for client accountability. When you add, remove, or modify a goal or habit on a program, existing enrolled clients are not automatically updated — their current goal and habit configuration stays in place. New clients enrolling after the change will get the updated version.
To update goals or habits for existing clients, go to each client's profile under Clients → [Client Name] → Goals or Habits and make the changes manually, or ask the client to add the new habit themselves through their dashboard. This is intentional: it prevents surprise changes to a client's daily accountability structure.
Editing program settings (name, description, cover image)
Program metadata — the name, description, thumbnail, and any public-facing copy — updates everywhere instantly. This includes your website lander if you've connected the program to a Coachful page. Enrolled clients see the updated program name in their dashboard. There are no side effects here, so update away.
Step-by-step: How to edit a program in Coachful
- Sign in to your coach dashboard at app.coachful.co/sign-in.
- Navigate to Programs in the left sidebar.
- Click the program you want to edit. This opens the program overview.
- Select the Curriculum tab to see your weeks, days, and tasks.
- Click any week header to expand it, then click a task to open the task editor. Edit the title, description, media, or task type as needed.
- To add a new task, click + Add Task inside any day. Choose the task type (text, video, file upload, habit check-in, etc.).
- To add a new week, scroll to the bottom of the Curriculum tab and click + Add Week.
- To remove a task or week, click the three-dot menu (⋯) next to it and select Delete. Confirm the deletion in the modal — it will warn you if enrolled clients exist.
- Changes save automatically. There is no "publish" step for curriculum edits — saves are live immediately.
- After a significant structural change, go to your program's Squad and post an announcement to notify enrolled clients.

Your program's cohort squad is the fastest channel — everyone enrolled in that program cohort is already in the squad. If you're planning a major overhaul — restructuring the full 12-week arc, adding a new module, revamping your habit stack — consider duplicating the program first rather than editing the live version. This gives you a staging environment where you can build and preview without affecting anyone currently enrolled.
To duplicate: go to Programs, click the three-dot menu on the program card, and select Duplicate. The copy is created as a draft. Build your new version there, then either archive the old program (no new enrollments) or run the two versions in parallel — old clients on v1, new clients on v2.
This approach is especially useful when you're graduating from a first-generation program to a polished v2. You keep your existing clients' experience stable while you iterate freely on the new version.
Pro tips for editing programs without breaking the client experience
- Edit content freely, restructure cautiously. Updating copy, videos, and files is zero-risk. Adding and deleting structural elements (tasks, weeks) requires more care. When in doubt, edit rather than delete.
- Use task descriptions to version your content. Add a small note like "Updated June 2025 — new worksheet attached" so clients who revisit know something changed.
- Batch your edits. Instead of making small changes every day, batch curriculum updates once per week. This minimizes confusion and means clients see a consistent program between sessions.
- Preview as a client. After editing, use the Preview option in the program builder to see the experience exactly as an enrolled client would. Catch layout issues and broken media before clients do.
- Keep a changelog. Maintain a simple Google Doc or Notion note logging what you changed and when. If a client reports something confusing, you'll know exactly what shifted.
Troubleshooting common issues when editing a live program
A client says they can't see the new task I added
Ask them to hard-refresh their browser (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac) or close and reopen the Coachful mobile app. Coachful uses a progressive web app (PWA) architecture, and aggressive browser caching can occasionally serve a stale version of the curriculum. If the problem persists, have the client sign out and back in — this clears the local session cache.
I deleted a task but a client's completion count still shows it

My habit changes aren't showing up for existing clients

I edited the program name but the old name still appears on my website

A client got an error after I restructured the weeks
Week restructuring — especially inserting a new week in the middle — can occasionally cause a brief rendering issue for clients who are mid-program. The fix is almost always a page refresh. I want to roll back a change I made by mistake
