Why you might need to disconnect an integration

But sometimes an integration stops working, you switch to a different account, or you simply want to clean up permissions you no longer use. Knowing how to disconnect or revoke an integration cleanly — without breaking your bookings, billing, or client communications — is essential admin knowledge for any coach running their practice on Coachful.

How to disconnect a calendar integration (Google Calendar or Outlook)

Step-by-step in Coachful
- Sign in to your Coachful dashboard at app.coachful.co/sign-in.
- Click your profile avatar in the top-right corner and go to Settings.
- Select the Integrations tab from the left sidebar.
- Under Calendar, locate the connected account (e.g., your Gmail address).
- Click Disconnect. A confirmation modal will appear — confirm the action.
- Your availability calendar will immediately stop syncing with that external account.
Also revoke access at the provider level
OAuth tokens can persist on Google's or Microsoft's side even after you disconnect inside Coachful. To fully revoke access:
- Google: Go to myaccount.google.com/permissions, find Coachful in the list of connected apps, and click Remove access.
- Microsoft / Outlook: Go to account.live.com/consent/Manage, locate Coachful, and revoke permissions.

How to disconnect Stripe Connect

Before you disconnect
- Pause or archive active offers: Clients won't be able to purchase new offers if Stripe is disconnected. Go to Coach → Offers and set any live offers to draft.
- Check for pending payouts: Log into your Stripe Dashboard and confirm there are no pending payouts or active disputes that need attention.
- Notify active subscription clients: If clients are on recurring payment plans, disconnecting Stripe will not cancel their subscriptions automatically — but you won't be able to manage them from Coachful until you reconnect.
Step-by-step in Coachful
- Go to Settings → Billing → Stripe Connect in your Coachful dashboard.
- Click Disconnect Stripe Account.
- Confirm in the modal. Coachful will immediately remove your Stripe credentials from the workspace.
- To reconnect a new (or the same) Stripe account later, return to the same page and click Connect with Stripe.
Pro tip: If you're switching Stripe accounts (e.g., moving from a personal to a business account), disconnect first, then reconnect the new account. Don't try to connect a second Stripe account while the first is still linked — Coachful supports one Stripe account per workspace at a time.
How to disconnect Zapier or webhook integrations
Coachful emits events — new client enrolled, session booked, payment received — that Zapier and custom webhooks can listen to. If an automation is misfiring or you're rebuilding your workflow, here's how to cleanly remove it.
Zapier
- In your Coachful dashboard, go to Settings → Integrations → Zapier.
- Click Revoke API key. This immediately invalidates the key used by all your Zaps.
- In your Zapier account, turn off or delete any Zaps that use the Coachful integration to avoid error notifications.
- To reconnect, generate a new API key from the same page and re-authenticate in Zapier.

How to revoke a custom domain connection
Coachful lets you map your own domain (e.g., coaching.yourbrand.com) to your Coachful workspace with auto-SSL. If you need to point that domain elsewhere — say, you're migrating to a different platform or rebranding — here's how to remove it.
- Go to Settings → Domains in your Coachful dashboard.
- Locate the custom domain and click Remove domain.
- Confirm the removal. Your workspace will fall back to your default
{slug}.coachful.cosubdomain instantly. - Log in to your domain registrar (e.g., Namecheap, Cloudflare, GoDaddy) and delete the CNAME or A-record that pointed to Coachful.
Clients who visit the old custom domain will get a DNS error until you update the record at your registrar — so communicate the change to your audience before removing it from Coachful.
Revoking access for team members and virtual assistants
If you've granted a virtual assistant (VA) or editor access to your Coachful workspace and need to remove them, that's handled under roles rather than integrations — but it's worth covering here since coaches often search for it at the same time.
- Go to Settings → Team (or Members, depending on your plan).
- Find the user with the virtual_assistant or editor org role.
- Click the three-dot menu next to their name and select Remove from workspace.
- They will immediately lose access to your dashboard, clients, programs, and messaging.
Their Coachful user account is not deleted — they simply lose access to your workspace. If they're a coach on the platform in their own right, their own account and data are unaffected.

Pro tips for managing integrations cleanly
Integrations are powerful, but they're also a common source of silent failures — a token expires, a calendar desync goes unnoticed for a week, or a Stripe webhook starts dropping events. Here are habits that keep things running smoothly.
- Reconnect, don't just "fix". If an integration is behaving unexpectedly, a full disconnect-and-reconnect is often faster than debugging. OAuth tokens can silently expire, and a fresh token fixes things instantly.
- Use a dedicated Google account for your calendar. Mixing personal and business calendars in a single Google account makes revocation messier. A dedicated bookings@yourdomain.com account gives you clean separation.
- Audit integrations quarterly. Visit Settings → Integrations every three months and remove anything you're not actively using. Dormant integrations are a security surface you don't need.
- Document your Zapier API key. Store it in a password manager. When you revoke and regenerate a key, you'll need to update it in every Zap that uses it — knowing where it's used saves time.

Troubleshooting common integration issues
I disconnected my calendar but bookings are still syncing
This usually means the OAuth token was not fully revoked on the provider's side. Go to your Google or Microsoft account permissions page (links above) and manually remove Coachful's access. Then clear your browser cache and check again after 5 minutes.
I reconnected Stripe but my offers still show as unavailable
After reconnecting Stripe, you need to manually set your offers back to active. Go to Coach → Offers, open each offer that was paused, and toggle the status to Active. Coachful does not automatically re-publish offers when Stripe is reconnected, to prevent accidental sales during a transition.
My Zapier Zaps are firing errors after I revoked the API key
Revoking the API key immediately breaks all Zaps using it. In Zapier, turn off affected Zaps, generate a new API key from Settings → Integrations → Zapier in Coachful, and re-authenticate the Coachful app in Zapier using the new key. Then re-enable your Zaps.
My custom domain is showing a security warning after removal
When you remove a custom domain from Coachful, the auto-SSL certificate is revoked. If your DNS record still points to Coachful's servers, browsers will show a security error. Update or delete the DNS record at your registrar as soon as you remove the domain in Coachful — ideally, do both steps within the same session.
I removed a team member but they say they can still log in
Removing someone from your workspace revokes their access to your specific workspace, but does not delete their Coachful account. If they're logging into their own coach workspace (on a different subdomain), that's unaffected. If you believe they still have access to your workspace incorrectly, contact support@coachful.co immediately.
I can't find the Integrations tab in my Settings
The Integrations tab is visible to coaches and admins on the Growth or Scale plan. If you're on a free trial with limited access, some integration options may be locked. Upgrade your plan or check your role — only admin and super_admin roles can manage workspace-level integrations.
