- Copy your ConvertKit API key. Log in to ConvertKit, go to Settings → Advanced, and copy the value under API Key. Keep this tab open — you'll need it in a moment.
- Open your Coachful dashboard. Navigate to app.coachful.co and sign in. From the left sidebar, click Settings.
- Go to Integrations → Email Marketing. Inside Settings, select the Integrations tab, then choose Email Marketing from the submenu.
- Select ConvertKit as your provider. Click the ConvertKit card (or select it from the provider dropdown) and then click Connect.
- Paste your API key and save. Paste the API key you copied from ConvertKit into the field labelled API Key and click Save & Verify. Coachful will make a live API call to confirm the key is valid. You'll see a green Connected badge when it succeeds.

Understanding which ConvertKit object to map each trigger to makes a big difference in how your automations behave:
Tags
Tags are labels. They don't trigger anything on their own unless you have a ConvertKit automation rule watching for that tag. Use tags when you want flexibility — tag the subscriber now, trigger the automation later. Tags are also additive: a subscriber can hold dozens of tags and receive only the sequences relevant to each one.
Forms
Subscribing someone to a form is the standard way to add a brand-new subscriber to ConvertKit. If they're already on your list, subscribing them to a form again simply confirms their subscription status and can trigger any automation attached to that form. Troubleshooting Common Issues
The API key fails verification
Double-check that you copied the API Key (not the API Secret — ConvertKit shows both). The API key is shorter and used for read/write operations. If you recently regenerated your key in ConvertKit, you'll need to update it in Coachful as well. Go back to Settings → Integrations → Email Marketing, click Reconnect, and paste the new key.
Subscribers aren't appearing in ConvertKit after enrollment
First, check that the trigger event is actually mapped — go to Settings → Integrations → Email Marketing and confirm the Program Enrollment row has a ConvertKit form or tag selected, not left blank. Second, check your ConvertKit Subscribers tab filtered by the last 24 hours and confirm the email isn't already there (sometimes it arrives but under a different filter). Third, check that the enrolling client's profile in Coachful has a valid email address on file.
Subscribers are being added but not tagged correctly
This usually means you mapped the trigger to a ConvertKit form but expected a tag to appear. Remember: subscribing to a form doesn't automatically apply a tag unless you have a ConvertKit automation rule that says "When someone subscribes to [form] → Add tag [X]". Either add that rule inside ConvertKit, or change the Coachful mapping to use a tag directly.
The same subscriber is being added to ConvertKit multiple times
ConvertKit deduplicates by email address, so duplicating a subscriber record shouldn't be possible. However, if you have multiple Coachful trigger events all mapped to the same ConvertKit form, the subscriber will be "re-subscribed" to that form on each trigger — which is usually harmless but can look noisy in your activity log. Use distinct forms or tags for each trigger to keep your data clean.
I can't see the Integrations tab in Settings
Integrations are only visible to users with a coach, admin, or super_admin role. If you're a member or virtual_assistant, ask the workspace owner (the super_coach) to either update your role or set up the integration themselves. See managing team roles for details.
I disconnected ConvertKit — what happens to existing subscribers?
Disconnecting the integration in Coachful stops all future syncs. Subscribers already in ConvertKit are completely unaffected — they stay on your list with their existing tags and sequences. You can reconnect at any time and remapping will pick up from that point forward.
ConvertKit API Limits & Rate Limiting
ConvertKit's API allows up to 120 requests per minute on standard accounts. For most coaching businesses — even those with hundreds of daily enrollments — this limit is never reached.
