- Archive, don't delete. Archiving a client hides them from your default views while preserving their history, billing records, and messages. Deleting is permanent. When in doubt, archive.
- Use "Last active" weekly. Set a recurring 10-minute block every Friday to filter by Last active: more than 7 days ago + Status: Active. Clients going quiet is the earliest warning sign of churn. I filtered by a program but some clients aren't showing up
Check whether those clients are enrolled in the program under a different status. If you filtered for Status: Active alongside the program filter, clients who are Completed or Paused in that program won't appear. Remove the status filter temporarily to see the full enrollment picture.
My search isn't finding someone I know is in my workspace
The search bar respects active filters. If you have a status filter applied, the search only searches within that filtered set. Click Clear all to reset all filters before searching, then try again.
Archived clients are showing up in my list
By default, archived clients are hidden. If they're appearing, someone may have toggled Show archived in the filter panel. Open the filter panel and confirm the Archived status toggle is off.
I can't see clients added by another coach on my team
Client visibility in a multi-coach workspace depends on your role. Coaches with the coach org role see only clients assigned to them. Admins and super_coach (workspace owner) roles see all clients. If you need cross-coach visibility, ask your workspace owner to adjust your role under Settings → Team.
The "Last active" sort seems inaccurate
Last-active timestamps update when a client logs into the platform, completes a task, sends a message, or attends a session. If a client engages only via email notifications without logging in, their last-active date won't update. My bulk message didn't send to everyone in the filtered list
When you check Select all, it selects all matching records — not just the ones on the current page. Before sending, confirm the count shown in the bulk action bar matches your expected segment size. If the numbers don't match, re-check which filters are active.
