Keeping track of dozens — or hundreds — of clients and leads is one of the biggest organizational challenges coaches face. Tags solve that problem. With the right tagging system, you can instantly filter your client list, personalize your outreach, and understand where every lead sits in your pipeline — without opening a single spreadsheet.

This guide covers everything you need to know about adding tags to clients and leads in Coachful: how to create them, how to apply them in bulk, how to use them for filtering, and how to build a tagging strategy that actually scales.

TL;DR — Quick answer

  • Tags are custom labels you attach to any client or lead record in your Coachful workspace.
  • You can add tags from the contact profile, from the bulk-action toolbar in the client list, or automatically via enrollment triggers.
  • Tags support filtering, segmentation, and smarter follow-up workflows across your whole roster.
  • There is no limit to the number of tags you can create or apply per contact.

What are client tags and why do they matter?

A tag is a short, free-text label — like vip, cold-lead, 12-week-program, or follow-up-sept — that you attach to a client or lead record. Unlike folders or fixed categories, tags are flexible. One contact can carry five tags at once, and you can filter your list by any combination of them.

For coaches running a solo practice, tags are a lightweight CRM layer that prevents important leads from slipping through the cracks. For teams operating under the same workspace, tags create a shared vocabulary so every coach and virtual assistant sees the same status at a glance.

Beyond organization, tags unlock smarter communication. Want to send a check-in message to everyone currently in your 90-day group program? Filter by that tag. Need to identify leads who downloaded your lead magnet but never booked a call? Tag them at capture and filter later. The more deliberately you tag, the more leverage you get from the rest of Coachful's tools.

How to add tags to a client or lead — step by step

Adding a tag from the contact profile

  1. Go to Clients & Leads in your left-hand navigation.
  2. Click on any contact name to open their profile.
  3. In the right-hand sidebar, locate the Tags field under the contact details section.
  4. Click the + Add tag button. A dropdown will appear showing your existing tags and a text input at the top.
  5. Type a new tag name and press Enter to create it, or select an existing tag from the list.
  6. The tag is saved instantly — no need to hit a separate Save button.

To remove a tag, simply click the icon next to the tag name inside the profile. The tag is removed from that contact but continues to exist in your workspace for use on other records.

Adding tags in bulk

When you need to tag a large group at once — say, everyone who attended a recent webinar — the bulk-action toolbar saves significant time.

  1. Navigate to Clients & Leads and use the search bar or existing filters to surface the group you want to tag.
  2. Check the box next to each contact, or tick the Select all checkbox at the top of the list to select every visible result.
  3. The bulk-action toolbar appears at the bottom of the screen. Click Add tag.
  4. Type or select the tag(s) you want to apply, then confirm. Coachful applies the tag to every selected contact simultaneously.

Bulk tagging is especially useful after an import. If you upload a CSV of leads from an external source, select all imported contacts and immediately tag them imported-[date] or source-webinar so you always know their origin.

Tags applied via program enrollment

When a client enrolls in a Coachful program, you can configure an automatic tag to be applied to their record. This is managed inside the program settings under Programs → [Your Program] → Settings → Enrollment. Set a tag like active-12wk and every new enrollee gets labeled the moment they join — hands-free.

Pro tip: Combine enrollment-triggered tags with a matching filter view saved in your client list. One click shows you every active program participant in real time, no manual curation required.

Filtering and searching by tags

Tags only become truly powerful when you combine them with filters. In the Clients & Leads list view, click the Filter button in the top-right toolbar. Select Tags from the filter options, then choose one or more tags from the dropdown.

You can stack filters. For example: Tag = discovery-call-done AND Status = Lead surfaces every lead who has had an intro call but hasn't converted yet. That's your follow-up list, assembled in seconds.

Once you've built a filter combination you use regularly, save it as a custom view so you can return to it with one click. Saved views appear in the left sidebar of the Clients & Leads section.

Building a tagging strategy that scales

Random tagging creates clutter faster than it creates clarity. A little structure up front saves hours of cleanup later.

Use a consistent naming convention

Decide on a format before you start. Lowercase with hyphens (vip-client, lead-cold) is readable and easy to type. Avoid spaces, capital letters, and special characters — they make tags harder to search and remember. If you work with a team, document your tag taxonomy in a shared note so everyone labels contacts the same way.

Categories to consider building tags around

  • Lead stage: new-lead, discovery-scheduled, proposal-sent, converted
  • Program or offer: 90-day-1:1, group-jan-cohort, vip-day
  • Source / origin: instagram, referral, lead-magnet, podcast
  • Engagement level: highly-engaged, at-risk, churned
  • Special attributes: vip, testimonial-given, scholarship

You don't need every category on day one. Start with lead stage and program tags, then expand as genuine needs emerge. Over-tagging is as confusing as no tagging at all.

Audit your tags quarterly

Set a calendar reminder to review your tag list every 90 days. Archive or delete tags that no longer reflect your current offers or pipeline stages. A lean, current tag taxonomy is far more useful than a bloated one full of outdated labels. You can manage your full tag list in Settings → Tags, where you can rename or delete tags workspace-wide.

Tags vs. other organizational tools in Coachful

Tags are one of several ways to organize contacts in Coachful. Understanding when to use each one prevents overlap and confusion.

Tags vs. contact status

Every contact has a built-in Status field: Lead, Active Client, Inactive, etc. Status reflects where someone is in the overall relationship. Tags reflect why or how — their source, their program, their engagement level. Use status for the big picture and tags for the granular detail.

Tags vs. squads

Squads are Coachful's group communication and cohort feature. Enrolling a client in a program automatically adds them to the matching cohort squad. Squads are for active group engagement; tags are for silent categorization. A client can be tagged group-jan-cohort even after their cohort squad ends, preserving the history without keeping them in an active chat.

Tags vs. custom fields

If you need to store structured data — a number, a date, a dropdown value — use a custom field. Tags are best for unstructured, additive labels where a contact can belong to multiple categories simultaneously. Think of custom fields as columns in a spreadsheet and tags as sticky notes.

Troubleshooting common tagging problems

I created a tag but can't find it in the filter dropdown

The filter dropdown lists tags alphabetically. If you used an inconsistent naming format (e.g., capital letters, spaces), the tag may appear in an unexpected position. Search for it by typing in the filter's text box. Going forward, standardize your naming convention so tags sort predictably.

A tag I deleted is still showing on some contacts

Deleting a tag from Settings → Tags removes it from all contact records and from the tag list. If you see a ghost tag, try a hard refresh (Ctrl + Shift + R / Cmd + Shift + R). If the issue persists, contact support — this can occasionally happen if the delete action timed out mid-request.

My virtual assistant applied the wrong tags to a large group

Open the Clients & Leads list and filter by the incorrect tag. Select all results and use the bulk-action toolbar to Remove tag. Then re-tag the correct group. No data is lost — you're only modifying labels.

Tags aren't syncing to my mobile app

Coachful's mobile app (available at app.coachful.co/mobile) syncs in real time over an active connection. If tags appear out of date, pull down on the contact list to force a refresh. If you're offline, changes will sync automatically when connectivity is restored.

I want to tag clients automatically when they book a call

Booking-triggered tags are configured inside Bookings → [Booking Type] → Settings → Post-booking actions. Add a tag in that field and every client who books that session type will be labeled automatically. This is great for tagging leads who book a discovery call without any manual work on your end.

I can't see the Tags field on a contact profile

Tags are visible to coaches, admins, and super_admins. Members and virtual assistants may have restricted access depending on your workspace permissions. Check Settings → Team → Roles to confirm the user's role and adjust permissions if needed.

Frequently asked questions

Can I add multiple tags to the same client or lead?
Yes. There is no limit to how many tags you can apply to a single contact in Coachful. You can add as many tags as needed — for example, tagging a client as both 'vip' and '90-day-program' at the same time. Each tag can be independently filtered or removed without affecting the others.
Can I rename a tag after I've created it?
Yes. Go to Settings → Tags in your Coachful dashboard to rename any existing tag. When you rename a tag, the change applies instantly across every contact it's already attached to — you don't need to re-tag anyone manually.
Are tags visible to clients?
No. Tags are internal labels visible only to coaches, admins, and team members inside your workspace dashboard. Clients accessing their own portal through your Coachful subdomain cannot see any tags applied to their record.
Can I automatically apply tags when a client enrolls in a program?
Yes. Inside Programs → [Your Program] → Settings → Enrollment, you can configure a tag to be applied automatically whenever a new client enrolls. This keeps your client list segmented by active program without any manual work.
Is there a limit to how many tags I can create in my workspace?
Coachful does not impose a hard cap on the number of unique tags in your workspace. That said, most coaches find that keeping the tag list under 30–40 active tags makes filtering and searching significantly easier to manage.
Can virtual assistants on my team add and remove tags?
It depends on the permissions set for their role. Coaches and admins can add and remove tags by default. Virtual assistants may have restricted access depending on your workspace role configuration, which you can adjust under Settings → Team → Roles.
How do I delete a tag from my entire workspace?
Go to Settings → Tags, find the tag you want to remove, and click Delete. This removes the tag from every contact in your workspace simultaneously. This action cannot be undone, so make sure the tag is no longer needed before deleting it.
