Why coaching invoices matter more than you think

Missing or delayed invoices are one of the fastest ways to erode trust with a paying client. Whether you're running a 12-week transformation program, selling a one-time strategy session, or managing a recurring monthly retainer, your clients expect a clear paper trail. Coaching invoice generation doesn't have to be a manual headache — and if you're spending more than a few minutes on billing admin each week, your setup needs an upgrade.

This guide walks you through exactly how invoices work inside Coachful: how they're generated, when they're sent automatically, how to resend a missing invoice, and how to troubleshoot the most common billing issues coaches run into.

TL;DR — Quick answer

  • Invoices in Coachful are generated automatically by Stripe every time a payment is processed — for one-time, recurring, and payment-plan offers.
  • Clients receive invoice emails directly from Stripe to their registered email address.
  • To resend an invoice, go to your Stripe Dashboard → Customers → find the client → open the invoice → click Send invoice.
  • Coachful's billing is powered by Stripe Connect, meaning you get paid directly and Stripe handles all invoice records on your behalf.
  • Always check that your Stripe account is fully activated before taking payments — incomplete onboarding is the #1 cause of missing invoices.

How coaching invoice generation works in Coachful

Coachful uses Stripe Connect to process all payments. When a client purchases an offer — whether it's a single session, a program enrollment, or a monthly subscription — Stripe automatically generates an invoice or payment receipt tied to that transaction. You don't need to manually create an invoice for every sale.

Here's what happens behind the scenes when a client checks out:

  1. The client completes checkout on your Coachful offer page (your branded subdomain or custom domain).
  2. Stripe processes the payment and creates a Stripe Invoice or Payment Intent receipt depending on the offer type.
  3. Stripe emails the invoice automatically to the client's email address.
  4. The payment appears in your Coachful dashboard under Billing → Transactions and simultaneously in your Stripe Dashboard.

For recurring subscriptions (e.g., a monthly coaching retainer), Stripe generates a new invoice at the start of each billing cycle and sends it to the client automatically. For payment plans, each installment triggers its own invoice. This means your clients always have a record of every charge — without you lifting a finger.

Types of offers and how each handles invoices

One-time payments

When a client pays a flat fee for a single program enrollment or a one-off session package, Stripe generates a one-time invoice immediately after the payment succeeds. The client gets an email with a PDF receipt they can download for their records.

Recurring subscriptions

Subscription-based offers — like a monthly group coaching membership or an ongoing 1:1 retainer — generate a new invoice every billing cycle. Stripe handles renewal invoicing automatically. If a renewal payment fails (expired card, insufficient funds), Stripe's Smart Retries will attempt the charge again and can send dunning emails to the client on your behalf. You can configure retry behavior directly in your Stripe billing settings.

Payment plans

Coachful supports multi-installment payment plans on your offers. Each installment is treated as a separate subscription charge with its own invoice. So a 3-month payment plan generates 3 invoices over the course of the plan — one per month, automatically.

Intake calls and session bookings

If you charge for intake calls or individual 1:1 sessions directly through Coachful's booking flow, payment is collected at checkout and a receipt is generated by Stripe in the same way as a one-time payment.

Running a coaching business and tired of juggling spreadsheets, manual invoices, and payment follow-ups? Coachful centralizes your billing, scheduling, programs, and client communication in one place — so you can focus on coaching, not admin.

How to resend an invoice to a client

Clients sometimes miss invoice emails (spam filters are aggressive), change their email address, or simply ask for a copy for their accountant. Resending a coaching invoice takes less than two minutes.

Option 1 — Resend via the Stripe Dashboard (recommended)

  1. Log in to your Stripe Dashboard.
  2. In the left sidebar, click Customers and search for the client by name or email.
  3. Click on the customer record to open their profile.
  4. Scroll down to the Invoices section and click the invoice you want to resend.
  5. On the invoice detail page, click the Send invoice button (top right corner).
  6. Confirm the email address and click Send. Stripe resends the invoice email with a download link immediately.

The client will receive a fresh email with a link to view and download the invoice as a PDF. The invoice status does not change — it remains Paid if the payment was already collected.

Option 2 — Share the hosted invoice link directly

Every Stripe invoice has a unique hosted URL. From the invoice detail page in your Stripe Dashboard, copy the Invoice URL and paste it directly into a message to your client — via Coachful's built-in chat, email, or wherever you communicate. The client can view and download the PDF from that link without needing a Stripe account.

Option 3 — Download and forward the PDF manually

  1. Open the invoice in your Stripe Dashboard as above.
  2. Click Download PDF to save a copy.
  3. Send the PDF directly to your client via email or Coachful's messaging.

Customizing your invoices with branding

Stripe allows you to add your business name, logo, and contact details to every invoice it generates. Since Coachful's billing is powered by Stripe Connect, your invoice branding lives in your Stripe account settings — not inside Coachful directly.

To customize your invoice appearance:

  1. Go to your Stripe Branding settings.
  2. Upload your logo, set your brand color, and add your business name and support email.
  3. Under Settings → Billing → Invoice template, add a custom footer (great for your ABN, VAT number, or payment terms).
  4. Save your changes — all future invoices will reflect the updated branding automatically.

Your clients will see a polished, professional invoice with your logo and business name — not a generic Stripe document. This small step goes a long way in reinforcing your brand and building trust.

Viewing and managing invoices inside Coachful

You can see a summary of your transactions inside the Coachful coach dashboard:

  1. Sign in at app.coachful.co/sign-in.
  2. Navigate to Billing → Transactions in your left sidebar.
  3. You'll see a list of all payments, their amounts, dates, and associated clients.
  4. For full invoice details, click View in Stripe next to any transaction — this deep-links you directly to that invoice in your Stripe Dashboard.

Coachful is intentionally designed to keep billing data in Stripe — the source of truth for all financial records. This means your invoices are always compliant, tamper-proof, and ready for tax season without any extra work on your part.

Pro tip: Ask your accountant or bookkeeper to connect directly to your Stripe account. Stripe integrates natively with QuickBooks, Xero, and FreshBooks, so your invoices flow into your accounting software automatically — zero manual data entry.

Best practices for coaching invoice management

Use offer names that appear clearly on invoices

The name of your Coachful offer becomes the line-item description on the Stripe invoice. A vague name like "Package 1" is confusing. Use descriptive names like "12-Week Executive Coaching Program" or "Monthly Group Coaching — October." Your clients will thank you, and so will your accountant.

Set up Stripe tax collection if required

If your business is required to collect GST, VAT, or sales tax, enable Stripe Tax in your dashboard. Once enabled, Stripe automatically calculates, applies, and reports the correct tax on every invoice based on your client's location. This is especially important for coaches working with clients across different countries or states.

Enable receipt emails in Stripe

Beyond formal invoices, Stripe can also send lightweight payment receipt emails for one-time charges. Check your Stripe → Settings → Emails to make sure both invoice emails and receipt emails are turned on. Some coaches accidentally turn these off during initial setup.

Keep client email addresses up to date

Invoices go to the email address Stripe has on file for each customer. If a client changes their email, update it in both Coachful (Clients → [Client name] → Edit profile) and in Stripe (Customers → [Client name] → Edit). A mismatch means invoices land in the wrong inbox.

Troubleshooting common invoice problems

My client says they never received their invoice

First, check their spam folder — Stripe emails are sometimes caught by aggressive spam filters, especially for clients using corporate email. Second, verify the email address in their Stripe customer record matches what they expect. Third, use Option 1 above to resend the invoice directly. If the issue persists, share the hosted invoice URL via Coachful chat as a reliable workaround.

The invoice shows the wrong amount

Invoices reflect the exact amount charged at checkout. If you applied a coupon or discount, that should appear as a line-item deduction on the invoice. If the amount looks incorrect, check the offer price and any active coupons in Coachful → Billing → Offers. You cannot edit a finalized Stripe invoice — if there's a genuine error, you'll need to issue a refund and recharge.

Invoices aren't being generated at all

This almost always means your Stripe Connect onboarding is incomplete. Go to Coachful → Settings → Billing and check your Stripe connection status. If it shows a warning or "Restricted," click through to complete your Stripe onboarding (identity verification, bank account details, business information). Until Stripe fully activates your account, live payments — and therefore invoices — won't process.

A subscription invoice failed and the client lost access

When a subscription renewal payment fails after Stripe's retry attempts are exhausted, the subscription moves to past_due or canceled status. Coachful detects this and can restrict the client's access automatically. To resolve it: ask the client to update their payment method in the Client Portal → Billing, then manually trigger a payment retry from your Stripe Dashboard. Once the invoice is paid, access is restored.

I need to issue a partial refund — what happens to the invoice?

Partial refunds don't change the original invoice. Stripe creates a separate credit note for the refunded amount. Your client will receive an email with the credit note attached. Both the original invoice and the credit note are stored in Stripe and are visible in your dashboard for accounting purposes.

My client needs an invoice with a VAT number or PO number

You can add custom fields to your Stripe invoice template under Stripe → Settings → Billing → Invoice template → Custom fields. This lets you include your VAT registration number, a purchase order reference, or any other business-specific detail on every invoice. For client-specific PO numbers, you can add them per-invoice from the Stripe dashboard before finalizing.

Frequently asked questions

Are invoices automatically generated when a client pays for a coaching program?
Yes. Every time a client completes a payment through Coachful — whether it's a one-time purchase, a subscription, or a payment plan installment — Stripe automatically generates an invoice and emails it to the client. You don't need to create invoices manually.
How do I resend an invoice a client didn't receive?
Log in to your Stripe Dashboard, go to Customers, find the client, open the relevant invoice, and click 'Send invoice.' Stripe will immediately resend the invoice email. Alternatively, copy the hosted invoice URL from Stripe and share it with your client directly via Coachful chat.
Can I add my logo and business name to coaching invoices?
Yes. Go to your Stripe Branding settings (dashboard.stripe.com/settings/branding) and upload your logo, set your brand color, and add your business details. All invoices generated through Coachful will automatically use your updated branding.
What happens to invoices if a client's subscription payment fails?
Stripe will automatically retry the failed payment using its Smart Retries logic and can send dunning emails to the client. If retries are exhausted, the subscription moves to past_due or canceled status and client access may be restricted. Once the client updates their payment method and the invoice is paid, access is restored.
Do payment plan installments each get their own invoice?
Yes. Each installment in a Coachful payment plan is processed as a separate charge with its own Stripe invoice. A 3-month payment plan generates 3 invoices — one per month — each automatically emailed to the client at the time of the charge.
Can I add VAT, GST, or tax to my coaching invoices?
Yes. Enable Stripe Tax in your Stripe Dashboard and it will automatically calculate and apply the correct tax rate based on your client's location. Your VAT or GST registration number can be added to your invoice template under Stripe → Settings → Billing → Invoice template → Custom fields.
Where can I see all my client invoices inside Coachful?
Go to Billing → Transactions in your Coachful coach dashboard to see a summary of all payments. Click 'View in Stripe' next to any transaction to open the full invoice detail in your Stripe Dashboard, where you can download, resend, or manage the invoice.
