Account recovery if you lose access to your email

By Coachful10 min readUpdated Apr 20, 2026

Lost access to your email and locked out of Coachful? This guide covers every account recovery path — self-service, admin-assisted, and support-verified — so you get back in fast.

What's covered
  • TL;DR — Your fastest recovery options
  • Why email access matters for your Coachful account
  • Step 1 — Check whether you are still logged in anywhere
  • Step 2 — Use a social / OAuth login if you connected one
  • Step 3 — Ask a workspace admin to update your email
  • Step 4 — Contact Coachful support with identity verification

Losing access to your email account is stressful enough on its own. When it also locks you out of your coaching platform, every missed session and unanswered client message makes it worse. If you can no longer receive emails at the address tied to your Coachful account, this guide walks you through every recovery path available — from self-service options to contacting support — so you can get back in as fast as possible.

TL;DR — Your fastest recovery options

  • Still logged in on a device? Change your email immediately under Settings → Account → Email address before your session expires.
  • Signed out and locked out? Contact Coachful support with identity verification — we can update your login email manually.
  • OAuth login (Google/Apple)? Recovering access to that provider account restores your Coachful access automatically.
  • Coach account with admin teammates? An admin or super_admin on your workspace can reassign your account email from the team settings.

Why email access matters for your Coachful account

Your Coachful account is anchored to a single primary email address. That address is used to send password-reset links, session booking confirmations, billing receipts from Stripe, and important platform notifications. If you lose access to that inbox — because an old employer deactivated it, a domain expired, or your personal provider locked you out — you effectively lose the ability to reset your own password through the standard flow.

The good news is that Coachful's account recovery process for coaches and clients account for exactly this situation. There are multiple identity-verification checkpoints that let the support team confirm who you are without relying on your email inbox.

Step 1 — Check whether you are still logged in anywhere

Before anything else, check every device and browser you regularly use. Coachful sessions persist via a secure token that does not expire the moment you lose email access. If you are still authenticated on any device — your phone, a work laptop, a tablet — you have a golden window to fix everything yourself.

  1. Open Coachful on the device where you may still be logged in. Your workspace URL is {your-slug}.coachful.co or your custom domain.
  2. If the dashboard loads, go to Settings → Account (the gear icon in the bottom-left navigation).
  3. Locate the Email address field and click Edit.
  4. Enter your new, working email address and confirm it. Coachful will send a verification link to the new address.
  5. Click the link in your new inbox to confirm the change. Your login email is now updated.
  6. While you are in Settings, go to Security and update your password to something strong and unique.

This self-service path takes under two minutes and requires zero interaction with support. If this works, you are done.

Step 2 — Use a social / OAuth login if you connected one

Many coaches and clients sign up with Continue with Google or Continue with Apple instead of a password. If that is how you registered, your Coachful session is controlled by your OAuth provider — not by your email password directly.

In this case, account recovery on the provider's side is the right first move:

  • Google: Visit accounts.google.com/signin/recovery and follow Google's identity verification flow (phone number, backup email, security questions, or account activity challenges).
  • Apple: Visit iforgot.apple.com and use your trusted device or phone number to regain Apple ID access.

Once your Google or Apple account is recovered, return to app.coachful.co/sign-in, click the same OAuth button you used to register, and you will be signed straight into your Coachful workspace. No further action needed.

Step 3 — Ask a workspace admin to update your email

If you are a coach or team member on a Coachful workspace and there is another person with an admin or super_admin role (or a super_coach at the org level), they have the ability to edit member profile details — including the email address on file — directly from the team management panel.

  1. Reach out to your workspace admin through an alternative channel: phone, Slack, a colleague's device, or another messaging app.
  2. Ask them to go to Coach Dashboard → Team → Members and find your profile.
  3. They click Edit member and update the email field to your new working address.
  4. A verification email is sent to the new address. Confirm it, then use the standard password-reset flow to regain access.

This is particularly useful for coaches who manage their business with a virtual assistant or co-coach. If you have a virtual_assistant role on your own org — which does not carry admin permissions — this path is not available through them; you will need someone with coach-level org permissions or higher.

Pro tip: If you run a solo coaching business, consider adding a trusted colleague or business partner as an admin on your Coachful workspace. It takes 30 seconds and gives you a recovery path for exactly this scenario — without waiting on support.

Step 4 — Contact Coachful support with identity verification

If none of the self-service paths above are available to you, reach out to the Coachful support team directly. Because we cannot send a link to an inbox you cannot access, we use an alternative identity verification process to confirm the account belongs to you before making any changes.

How to reach support when you are locked out

You do not need to be logged in to submit a support request. Go to help.coachful.co and use the Contact Support button at the bottom of any page. Alternatively, email support@coachful.co from any working email address you control.

What to include in your request

To speed up verification, include as many of the following as possible in your first message. The more you provide, the faster the team can act — typically within one business day.

  • The email address currently on the account (even if you can no longer access it).
  • Your Coachful workspace URL or slug (e.g., janedoe.coachful.co).
  • Your full name and the name on any billing records (if you are a coach on a paid plan).
  • Approximate account creation date or the date of your last login.
  • The last four digits of the card on file, if you have Stripe billing connected.
  • Any recent transaction IDs from Coachful billing emails (check your old email's sent folder if partially accessible).
  • A government-issued ID may be requested for high-security account changes — this is handled via a secure, encrypted upload link.

The support team will verify your identity, then update the primary email to a new address you provide. Once confirmed, you will receive a password-reset link at the new address and regain full access.

Managing a coaching business means your account holds your client relationships, program content, scheduling, and revenue — all in one place. Coachful takes account security seriously, which is why the manual recovery process requires real identity verification rather than a quick workaround. It protects you just as much as it protects your clients.

Preventing this from happening again

Account recovery is reactive. The better investment is making sure a lost email never locks you out again. Here are the most effective safeguards:

Keep your login email up to date

If you change email providers, rebrand your business domain, or leave an employer, update your Coachful email the same day. Go to Settings → Account → Email address and make the change while you still have access to both inboxes — the old one to receive the outgoing notification, and the new one to click the verification link.

Add a backup phone number

Coachful supports SMS-based authentication steps. Adding a verified phone number gives you an additional recovery signal the support team can use, and it speeds up any manual verification significantly.

Use a password manager

A strong, unique password stored in a reputable password manager (1Password, Bitwarden, etc.) means you are never relying on email-based password resets as your only login method. If you use an OAuth login, make sure your Google or Apple account has a recovery phone number and a backup email configured directly in those providers' security settings.

Enable two-factor authentication — carefully

Two-factor authentication (2FA) significantly hardens your account. However, if you only register a 2FA method tied to the same email address you lose, it creates a circular problem. When enabling 2FA, use an authenticator app (Google Authenticator, Authy) rather than email-based OTPs, and save your backup codes in a secure location separate from your email.

Document your workspace URL and slug

Knowing your exact workspace URL (e.g., yourname.coachful.co) speeds up any support interaction. Save it in your password manager or a secure note so you have it on hand even if your email history is inaccessible.

Troubleshooting common issues

"I submitted a support request but haven't heard back"

Support response times are typically within one business day, but during high-volume periods it can take up to 48 hours. Check your spam folder for replies from support@coachful.co. If you submitted via the help portal, log in there to check for updates on your ticket — you can log in to the help portal with a different email address than your main Coachful account.

"My admin updated my email but I never received the verification link"

Check the spam/junk folder of your new email address first. Verification emails come from noreply@coachful.co. If it is not there after 10 minutes, ask your admin to resend the invite from the Members panel. Also confirm the new email address was entered without typos — it is worth double-checking character by character.

"I used Google login but Google locked my account too"

This is the most complex scenario, because you need to recover the upstream provider before you can recover Coachful. Follow Google's full account recovery process at support.google.com. If Google's recovery fails (e.g., you no longer have the recovery phone number), contact Coachful support directly and explain the situation — the team can detach the OAuth connection and convert your login to email/password using identity verification.

"I am a client, not a coach — does the same process apply?"

Yes. Clients and coaches go through the same verification steps. The main difference is that clients typically do not have workspace admin teammates to help, so the support route is usually the right path. Include your coach's workspace URL in your request so the team can locate your client account quickly.

"I share an account with a team member — which email should I use?"

Coachful accounts are individual, not shared. Each coach, editor, or virtual assistant on a workspace should have their own login tied to their own email address. If someone left your team and you were sharing credentials, a super_admin can remove the old user and create a new account under the correct email. See the Managing team members guide for step-by-step instructions.

Ready to secure your account?

Losing access to your coaching platform — even temporarily — can disrupt client sessions, delay payments, and erode trust you have worked hard to build. Taking five minutes today to update your login email, add a backup phone number, and enable authenticator-based 2FA means this scenario stays hypothetical for you.

Already locked out? Head to help.coachful.co to submit a recovery request, or sign in to your Coachful workspace if you still have an active session and update your details right now. Frequently asked questions

How do I recover my Coachful account if I no longer have access to my email?
If you are still logged in on any device, go to Settings → Account and change your email immediately. If you are fully locked out, contact Coachful support at support@coachful.co with identity-verification details such as your workspace URL, billing information, and full name. The team can update your login email after verifying your identity.
Can a workspace admin change my login email for me?
Yes. Any teammate with an admin or super_admin role on your Coachful workspace can edit your member profile and update the email address. Once changed, a verification link is sent to the new email and you can then use a standard password reset to regain access.
I signed up with Google — how do I get back in if my Google account is locked?
You need to recover your Google account first via accounts.google.com/signin/recovery. Once your Google account is restored, the Coachful OAuth login will work again automatically. If Google recovery fails entirely, contact Coachful support to detach the OAuth link and convert your login to email and password.
How long does manual account recovery through Coachful support take?
Most recovery requests are resolved within one business day. Providing thorough identity verification details in your first message — workspace URL, billing info, approximate account creation date — can significantly speed up the process.
Will Coachful ever recover my account without identity verification?
No. Coachful requires identity verification for any manual email change to protect account holders. This prevents unauthorized parties from taking over a coach's workspace, client data, or connected Stripe account.
Does losing email access affect my clients or active programs?
Your programs, client data, bookings, and Stripe billing continue to operate normally while you are locked out — nothing is paused or deleted. However, you will not receive booking notifications or billing alerts until access is restored, so recovering your account quickly is important.
How can I prevent getting locked out of my Coachful account in the future?
Keep your login email current in Settings → Account, add a backup phone number, use an authenticator app for 2FA instead of email-based OTPs, and store your credentials in a password manager. Adding a trusted admin teammate to your workspace also gives you a self-service recovery path.
