Your coaching business profile is your first impression — make it count
When a prospective client lands on your coaching page, you have roughly eight seconds to convince them they're in the right place. Your coaching business profile — your name, headline, bio, photo, niche, and offer — is the storefront. Get it right and discovery, bookings, and enrollments follow naturally. Get it wrong and even strong word-of-mouth referrals bounce before they ever book a call.
Setting up your coaching business profile on Coachful takes less than 20 minutes, but the decisions you make during setup shape everything from how you appear in the Coachful Marketplace to how clients experience your branded subdomain. This guide walks you through every field, every best practice, and every common mistake — so you launch with a profile that works for you around the clock.
TL;DR — What you need to set up your profile
- A professional headshot (minimum 400×400 px, square crop)
- A one-line coaching headline (what you do + who you help)
- A short bio (150–300 words focused on client outcomes, not credentials)
- Your niche tags and coaching specialties
- Your subdomain slug or custom domain
- At least one published offer, program, or booking type
Step 1 — Access your profile settings
Log in to your Coachful dashboard at app.coachful.co/sign-in. From the left sidebar, navigate to Settings → Profile. This is your coach profile page — distinct from your account settings (password, email) and your website builder. Everything you fill in here powers your public-facing page, your Marketplace listing, and the header that clients see inside every program and squad.
If you're an admin managing multiple coaches on a team plan, note that each coach on your roster has their own profile. You can edit a team member's profile by going to Settings → Team → [Coach name] → Edit profile. Coaches with the coach or editor org role can edit their own profiles but cannot change billing details.
Step 2 — Upload your photo and cover image
Your profile photo is the single highest-impact visual element on your page. Use a high-resolution headshot with a clean background — natural light, direct eye contact, and a genuine smile consistently outperform studio-stiff shots. Upload a square image at least 400×400 px; Coachful renders it at 96 px in chat and up to 320 px on your public profile card, so a low-resolution image will look blurry on retina screens.
The cover image (recommended size: 1440×400 px) sits behind your profile header. Use it to reinforce your brand: a landscape photo of your workspace, a lifestyle shot that reflects your coaching niche, or a branded graphic with your tagline. Keep text minimal in the cover — your headline field handles the copy.
Photo tips that convert
- Avoid group photos cropped awkwardly — clients need to see you.
- Dress the way you'd dress for a discovery call with your ideal client.
- A warm, approachable expression outperforms a formal, arms-crossed pose every time.
- If your niche is fitness or wellness, action shots can work well as the cover image while keeping the headshot professional.
Step 3 — Write your coaching headline
The headline is the first line of text under your name. It should answer two questions in 10 words or fewer: What do you do? and Who do you help? A strong formula is: [Outcome] for [Ideal Client].
Examples that work:
- Executive performance coaching for first-time VPs
- Weight loss coaching for busy parents over 40
- Business launch coaching for service-based solopreneurs
Avoid vague titles like "Life Coach" or "Holistic Wellness Expert" as a standalone headline. They say nothing about outcomes. Add specificity, even if it feels narrow — the coaches who niche down get more clicks in the Marketplace, not fewer.
Step 4 — Craft your bio
Your bio lives in the About field and renders on your public profile and Marketplace listing. Aim for 150–300 words. Longer than 300 words and most visitors stop reading. Shorter than 150 and you lose the trust signals that convert a curious browser into a booked call.
Structure your bio in three paragraphs:
- The hook: Open with your client's problem, not your credentials. "If you've spent years grinding toward a promotion only to feel emptier once you got there, you're not broken — you're missing a system." This creates an immediate "that's me" moment.
- Your approach: Explain briefly how you coach differently. Mention your methodology, framework, or philosophy — one concrete sentence is enough.
- Credibility + CTA: One or two credentials (certified coach, 10 years in corporate HR, former Olympic athlete) and an invitation — "Book a free discovery call" or "Explore my 12-week program below."
Pro tip: Write your bio in the second person initially, then read it aloud from your ideal client's perspective. If it sounds like it was written for someone else, rewrite it for them.
Step 5 — Set your niche tags and specialties
Coachful's Marketplace uses your niche tags to match you with the right clients. Navigate to Settings → Profile → Specialties and select all relevant tags — you can choose up to 8. Categories include Life Coaching, Business & Entrepreneurship, Health & Fitness, Career & Leadership, Relationships, Mindset & Spirituality, Finance, and more.
Be honest and specific. If you only work with female founders on sales confidence, don't select every business tag hoping for more traffic. Mismatched clients churn faster, leave worse reviews, and cost you more in refunds and re-enrollment conversations than they're worth.
Step 6 — Configure your subdomain or custom domain
Every Coachful coach gets a branded subdomain at {your-slug}.coachful.co. Choose a slug that matches your brand — your first name, your business name, or a recognizable handle. You can change it once, so choose thoughtfully. Your slug also appears in every program link, booking page URL, and email you send to clients.
If you already have a domain (e.g., sarahsmithcoaching.com), you can connect it under Settings → Domains. Coachful provisions SSL automatically — no manual certificate setup required. Your custom domain will point to the same workspace, programs, and booking pages. Clients who visit your branded domain get a seamless white-label experience with no "coachful.co" branding visible unless you choose to display it.
Already have a website on another platform? You can run Coachful's booking and program pages on a subdomain (e.g., coaching.yourdomain.com) and keep your existing marketing site intact. See our guide on connecting a custom domain for the DNS records you'll need.
Step 7 — Add your social links and contact info
Under Settings → Profile → Links, add your Instagram, LinkedIn, YouTube, podcast, or any other channel where clients can validate you before booking. Social proof is a key conversion lever — coaches who include at least two social links see measurably higher booking conversion on their public pages.
You can also set a public contact email here. This is separate from your Coachful login email and appears on your public page for prospective clients who aren't ready to book but want to ask a question first.
Step 8 — Preview and publish your profile
Before you share your profile link anywhere, click Preview profile in the top-right of the profile settings page. This opens your public-facing page in a new tab exactly as a visitor would see it. Check:
- Does the hero section (photo, headline, bio) load cleanly on mobile? (Coachful is a progressive web app — mobile experience matters.)
- Are your offered programs and booking types visible below the bio?
- Do social links open to the correct profiles?
- Is your subdomain or custom domain resolving correctly?
When you're satisfied, toggle the Profile visibility switch to Public. Your profile is now live, indexed in the Coachful Marketplace, and ready to be shared.
Once your profile is public, the Coachful Marketplace surfaces you to clients actively searching for coaches in your niche. Coaches with complete profiles — photo, bio, specialty tags, and at least one published offer — appear significantly higher in search results than incomplete listings.
Pro tips for a high-converting coaching profile
Use outcome language, not process language
"I use a proprietary 5-step framework" is process language. "My clients double their close rate in 90 days" is outcome language. Clients buy outcomes. Process details belong in your program descriptions, not your bio headline.
Refresh your profile every quarter
Your niche, offers, and positioning evolve. A bio you wrote 18 months ago may no longer reflect who you serve or the results you deliver. Block 30 minutes every quarter to re-read your profile from a fresh-eyes perspective and update anything that feels stale or misaligned.
Leverage Michelle, your AI co-pilot
Not sure how to word your headline or bio? Inside the Coachful dashboard, open Michelle (the AI assistant in the bottom-right corner) and ask her to draft a coaching bio based on your niche, ideal client, and top result. She can generate, refine, and even A/B test variations — saving you the blank-page paralysis that kills most coaches' setup momentum.
Common mistakes and troubleshooting
My profile photo isn't displaying correctly
This usually means the source image is too small or in an unsupported format. Coachful supports JPG, PNG, and WebP. Upload at least 400×400 px. If the image appears cropped in an unexpected place, use the crop tool that appears immediately after upload to reposition the focal point.
My custom domain is showing a security warning
SSL provisioning can take up to 15 minutes after you add your CNAME record. If it's been more than an hour, double-check that your CNAME is pointing to cname.coachful.co and that no conflicting A records exist on the same subdomain. See our custom domain setup guide for full DNS instructions.
I can't find my profile in the Marketplace
Three things to check: (1) Profile visibility is toggled to Public. (2) You've selected at least one specialty tag. (3) You have at least one published offer or booking type. Profiles with no active offers are deprioritized in Marketplace search rankings because they offer no conversion path for the prospective client.
My bio is truncated on the Marketplace card
The Marketplace card shows the first 160 characters of your bio as the preview snippet. Front-load your strongest hook in that first sentence — don't bury the lede with background context or credentials.
Teammates can't see my profile edits
Profile changes are saved automatically but may take up to 60 seconds to propagate across cached pages. Hard-refresh (Ctrl+Shift+R / Cmd+Shift+R) on the preview tab, or open it in a private/incognito window to bypass your browser cache.
