Switching platforms is one of the most stressful things a coach can do. You have existing clients, active programs, payment schedules, and years of content — and the fear of losing any of it can keep you stuck on a tool that's quietly holding your business back. The good news: migrating your coaching business to Coachful is far more straightforward than it sounds, and most coaches complete their move in a single focused weekend.
This guide walks you through every stage of the migration — from exporting your old data to welcoming your first client inside your new Coachful workspace — so nothing falls through the cracks.
TL;DR — What you need to migrate
- Client list: names, emails, and program assignments
- Program content: curriculum, tasks, goals, and resources
- Payments: existing subscriptions or one-time offers to recreate in Stripe Connect
- Scheduling: availability windows, session types, and calendar connections
- Brand assets: logo, colors, copy, and any lead-magnet pages
Step 1 — Audit your current coaching stack
Before you touch Coachful, spend 30 minutes cataloguing exactly what you have. Open a spreadsheet and capture three columns: what it is, where it lives, and how many clients it affects. Common items to document include:
- Active 1:1 and group coaching programs (duration, week/day structure, number of clients)
- Standalone courses or workshops stored in another platform
- Recurring payment plans and their billing dates
- Booking links shared publicly (Instagram bio, website, email signature)
- Intake forms, lead magnets, or opt-in pages
- Community or group-chat channels (Slack, Facebook Groups, Circle, etc.)
This audit is your migration checklist. Check off each item as you rebuild it in Coachful. Having the full picture upfront prevents the classic "oh, I forgot about that mini-course" moment three weeks after you've already told clients you moved.
Step 2 — Set up your Coachful workspace
Your Coachful workspace is the foundation everything else is built on. Get this right before you migrate a single client.
Claim your subdomain or connect a custom domain
Every coach gets a subdomain at {slug}.coachful.co automatically. If you want your own branded URL (e.g., coaching.yourbrand.com), you can connect a custom domain with auto-SSL directly in your workspace settings. This matters for migration because any booking links, program invite links, or website pages you rebuild will carry your brand — not Coachful's — by default.
Connect Stripe and configure your offers
Coachful uses Stripe Connect, meaning payments go directly to your Stripe account — no waiting for monthly payouts. Head to Coach → Settings → Payments and connect your existing Stripe account (or create one). Then rebuild each of your offers:
- Go to Coach → Offers → Create offer.
- Set the offer type: one-time, recurring subscription, or multi-tier.
- Add a payment plan if your clients pay in installments.
- Apply a coupon code if you want to grandfather existing clients at a legacy rate.
If clients are mid-subscription on another platform, coordinate the cutover date so they're not double-billed. A simple email explaining "your billing will move to the new system on [date]" is usually enough.
Sync your calendar
Go to Coach → Settings → Availability and connect Google Calendar or Outlook. Set your working hours, buffer times, and session lengths. This powers the built-in booking system so clients can self-schedule 1:1 sessions, group calls, and intake calls without back-and-forth emails.
Pro tip: Set up at least one intake call session type before you invite new leads. Prospects who discover you through the Coachful marketplace can book directly, giving you a warm pipeline from day one.
Step 3 — Rebuild your programs
Programs are the heart of Coachful. A program is a structured coaching curriculum organized into weeks and days, with tasks, goals, and habits assigned along the way. If you're migrating a 12-week 1:1 coaching engagement, for example, you'd create a program with 12 weeks, add daily or weekly tasks, and attach resources (videos, PDFs, worksheets) to each day.
How to create a program
- Navigate to Coach → Programs → Create new program.
- Give the program a name, description, and cover image.
- Choose the program length (number of weeks).
- Open each week and add days. Inside each day, create tasks — these can be text prompts, habit trackers, goal check-ins, video lessons, or file uploads.
- Set whether each task is required or optional.
- Save and preview the client-facing experience before inviting anyone.
If you're migrating a group program, the same structure applies. When clients enroll, Coachful automatically creates a cohort squad — a dedicated group chat for that cohort — so everyone in the program can connect without you needing to set up a separate Slack or Facebook Group.
Migrating content from another platform
Most platforms let you export course content as a ZIP file or PDF. Use those exports as your reference document while you manually re-enter the curriculum inside Coachful. Yes, this takes a few hours for a dense program — but it's also a natural opportunity to trim outdated content, tighten the learning journey, and upgrade resources you've been meaning to improve.
For video content, upload directly to each program task or embed from YouTube/Vimeo. Coachful doesn't cap your storage per task, so you can attach full-length workshop recordings without compression worries.
Coaches using Coachful often tell us that the migration process itself sharpened their programs. When you re-examine every task through fresh eyes, you naturally cut the fluff and strengthen the transformational arc.
Step 4 — Import your clients
Once your workspace, offers, and at least one program are ready, it's time to bring your clients over.
Invite existing clients manually
- Go to Coach → Clients → Invite client.
- Enter the client's name and email address.
- Assign them to the relevant program and set their start date.
- Toggle Skip payment if they've already paid elsewhere and you're honoring the existing arrangement.
- Send the invite — the client receives a branded welcome email with a link to set up their password.
For large rosters (20+ clients), reach out to Coachful support about bulk-import options. For most coaches migrating from a smaller operation, the manual invite flow takes less than an hour and gives you a chance to personally notify each client about the move — which clients actually appreciate.
Communicate the change to your clients
Don't just send an invite link without context. A short email or voice note covering three things goes a long way:
- Why you moved: "I wanted a single home for our sessions, programs, and messaging."
- What they need to do: "Accept the invite, download the app, and you're in."
- What stays the same: their progress, their goals, your commitment to them.
Clients on a native iOS or Android device can access your workspace through the Coachful mobile app — they'll find it at app.coachful.co/mobile or by searching for Coachful in the App Store or Google Play. The progressive web app works equally well on any device.
Step 5 — Recreate your community spaces
If you ran a community in Facebook Groups, Circle, or Slack, Coachful's community squads replace them entirely. A community squad is an always-on group chat powered by Stream's real-time messaging, available inside the same app your clients already use for their programs.
- Go to Coach → Squads → Create squad.
- Select Community squad (always-on).
- Name it, add a description, and upload a cover image.
- Invite existing members by adding them individually or via a shareable join link.
The benefit of consolidating community here is retention: clients who engage with your community inside Coachful are also one tap away from their program tasks, upcoming sessions, and direct messages with you. No more context-switching between five different apps.
Step 6 — Rebuild your public-facing presence
If you had a coaching website, a Linktree-style link-in-bio, or landing pages on another platform, now's the time to rebuild (and often improve) them inside Coachful.
- Website builder: Use the drag-and-drop editor under Coach → Website to create your homepage, about page, and services page.
- Lead-magnet pages: Build an opt-in page tied to a free guide or mini-course to grow your email list.
- Link-in-bio: Generate a single Coachful link-in-bio page that surfaces your booking link, programs, and social proof.
- Blog: Publish SEO-driven articles under your domain to attract organic coaching leads.
All pages are hosted on your custom domain (once connected), so there's no visual handoff between your "marketing site" and your "coaching platform" — it's one seamless experience for prospective clients.
Step 7 — Test everything before going live
Before announcing the move, run through the full client journey yourself:
- Accept a test invite as a client (use a personal email address).
- Complete a task inside the program.
- Book a session using your public booking link.
- Send a message in the community squad.
- Make a test purchase through your offer checkout page.
Fix anything that feels confusing before your real clients experience it. A five-minute test run now saves a flood of "how do I…?" messages later.
Common migration mistakes — and how to avoid them
Migrating clients before the program is ready
Inviting clients to an empty workspace creates confusion and erodes trust. Always finish building at least the first four weeks of a program before sending invites. Clients don't need to see week 12 on day one.
Forgetting to cancel old subscriptions
If clients are on recurring billing on your old platform, you must cancel those subscriptions manually — Coachful cannot reach into another payment processor. Set a calendar reminder for each client's next billing date and cancel before it hits.
Not updating public booking links
Your old booking link (Calendly, Acuity, etc.) is probably in your email signature, website footer, Instagram bio, and dozens of past emails. Audit every public touchpoint and swap in your new Coachful booking URL. Missing even one can cause ghost appointments on the old system.
Skipping the client communication step
Sending an invite link with no explanation is the number one cause of low adoption. Clients who don't understand why they're being asked to create a new account often ignore the email entirely. A 90-second Loom video or a warm personal email dramatically increases activation rates.
Trying to do everything in one day
Migration fatigue is real. Spread the process across a week: workspace setup on day one, program rebuild on days two and three, client invites on day four, and public-facing pages on day five. You'll make fewer errors and feel less overwhelmed.
Ignoring Michelle, Coachful's AI assistant
The Michelle AI co-pilot inside your coach dashboard can answer setup questions and help you execute actions across the platform in plain English. If you're unsure how to configure something, ask Michelle before spending 20 minutes hunting through settings menus.
