Why calendar sync matters for coaches

Double-booked sessions. Clients showing up when you're unavailable. Manual back-and-forth just to lock in a time. If any of that sounds familiar, connecting your calendar to Coachful will be one of the highest-leverage things you do in your first week on the platform.

Coachful's calendar sync keeps your real-time availability accurate across every booking type — 1:1 sessions, group calls, and intake calls — so clients can self-book without you lifting a finger. When a session is confirmed, it lands on your external calendar automatically. When something is already blocked on your calendar, Coachful hides that slot from clients. No overlap, no admin overhead.

Supported calendar providers

Coachful currently supports two-way sync with the most widely used calendar platforms:

  • Google Calendar — personal Gmail accounts and Google Workspace (G Suite) accounts both work.
  • Microsoft Outlook / Microsoft 365 — includes both personal Outlook.com accounts and corporate Microsoft 365 accounts.

Both integrations use official OAuth 2.0 flows, meaning Coachful never sees or stores your calendar password. You grant scoped access, and you can revoke it at any time from within Google's or Microsoft's own account settings.

How to connect Google Calendar

  1. Sign in to your Coachful coach dashboard at app.coachful.co/sign-in.
  2. Click your profile avatar in the top-right corner, then select Settings.
  3. Navigate to the Scheduling tab, then click Calendar in the left sub-menu.
  4. Under Calendar Integrations, click Connect Google Calendar.
  5. A Google OAuth popup appears. Choose the Google account you want to connect. If you manage multiple Google accounts, make sure you select the right one here.
  6. Review the permissions Coachful requests — read and write access to your calendar events — then click Allow.
  7. You'll be returned to the Calendar settings page. You should now see your Google account listed as Connected with a green indicator.
  8. In the Conflict calendar dropdown, select which of your Google calendars Coachful should check for existing events (e.g., "My Calendar", "Work", "Personal"). You can select multiple calendars.
  9. In the Write bookings to dropdown, select the single calendar where confirmed Coachful sessions will be added as events.
  10. Click Save changes.
Pro tip: If you have a dedicated coaching calendar in Google (e.g., "Coaching Sessions"), point both the conflict check and the write target at the same calendar. This keeps your coaching schedule visually clean and easy to audit.

How to connect Microsoft Outlook / Microsoft 365

  1. From your Coachful dashboard, go to Settings → Scheduling → Calendar.
  2. Click Connect Outlook Calendar.
  3. A Microsoft login popup appears. Enter your Microsoft account credentials and approve the requested permissions.
  4. Once redirected back, select your conflict calendar (typically your main Calendar in Outlook) and your write calendar.
  5. Click Save changes. Coachful will run an initial sync within a few seconds.

Microsoft 365 users on enterprise tenants may need their IT administrator to approve the Coachful app in their Azure Active Directory tenant before the OAuth flow completes. If you see an "approval required" screen, ask your admin to allowlist Coachful in the Microsoft Entra admin center.

Understanding conflict checking vs. write calendars

These two settings are independent, and understanding the difference will save you from headaches later.

Conflict calendar (read)

Coachful checks this calendar — or multiple calendars — to determine when you are not available. If an event exists on any of these calendars during a time slot, that slot is hidden from your booking pages. This is how Coachful avoids double-bookings when you already have a dentist appointment or a personal obligation on your calendar.

Write calendar (write)

When a client books a session through Coachful, the platform creates a calendar event in this specific calendar. The event includes the session title, client name, session type, and a video link if a video call is scheduled. This is a one-way push from Coachful to your calendar — it does not sync changes back if you edit the event directly in Google or Outlook.

Managing multiple calendars — personal, business, family? You can select all of them as conflict calendars so none of those commitments leak into your coaching availability. But choose only one write calendar to keep new bookings organized in a single place.

What syncs automatically after setup

Once your calendar is connected, here is what happens behind the scenes:

  • New bookings: Any session booked through your Coachful booking page, program enrollment flow, or intake funnel is immediately added as an event to your write calendar. Your client also receives a calendar invite.
  • Cancellations: If a client or you cancel a session inside Coachful, the corresponding calendar event is deleted from your write calendar automatically.
  • Reschedules: When a session is rescheduled, the original event is updated in place — the same calendar event changes time rather than creating a duplicate.
  • Availability blocking: New events added to your connected conflict calendars are picked up within a few minutes, keeping your live booking page accurate in near real-time.

Client-facing calendar invites are sent via Coachful's email system and include an .ics attachment, so clients can add the session to whichever calendar app they prefer, regardless of what you use.

Setting your availability windows

Calendar sync handles conflicts, but you still need to define your base availability — the hours you're open to bookings in the first place. These settings live in Settings → Scheduling → Availability.

Here you can:

  • Set recurring weekly hours (e.g., Monday–Thursday, 9 am–5 pm in your local timezone).
  • Add date-specific overrides for vacations, conferences, or personal days.
  • Configure minimum notice periods (e.g., clients must book at least 24 hours in advance) and buffer times between sessions.
  • Set a maximum number of sessions per day to protect your energy.

Coachful combines your availability windows with your live calendar conflicts to produce the final list of bookable slots. Both layers must be clear for a slot to appear.

Timezone handling

Timezone mismatches are the silent killer of coaching calls. Coachful handles this automatically: your availability is stored in your profile timezone, and when a client in a different timezone views your booking page, Coachful converts the slots to their local time in real-time. You set your timezone in Settings → General → Timezone. Make sure this matches your actual working timezone — especially important if you travel frequently.

Clients set their own timezone during onboarding, and their session confirmation emails always display the time in their local timezone as well as yours, eliminating any ambiguity.

Pro tips for power users

Use a dedicated coaching calendar

Create a separate calendar in Google or Outlook specifically for your coaching work — call it "Coachful Sessions" or similar. Point Coachful's write target at this calendar. You'll get a clean visual layer in your calendar app that's easy to toggle on or off, share with a virtual assistant, or export for invoicing purposes.

Block focus time proactively

Use your external calendar to block off deep-work time, lunch breaks, or content creation blocks. Since Coachful reads those as conflicts, clients won't see those slots — you don't need to configure anything special inside Coachful. Your existing calendar habits protect your time automatically.

Audit your sync status monthly

OAuth tokens can occasionally expire, especially for Microsoft 365 accounts with strict security policies. Make it a habit to visit Settings → Scheduling → Calendar once a month and confirm the connection still shows Connected. A disconnected calendar means your availability may be stale and clients could book into blocked times.

Troubleshooting common calendar sync issues

My calendar shows "Disconnected" or "Needs reconnection"

OAuth tokens expire or get revoked. Click Reconnect next to the calendar and complete the OAuth flow again. This is common if you recently changed your Google or Microsoft account password, enabled two-factor authentication, or revoked app permissions in your account's security settings.

Clients can still book times I've blocked on my external calendar

First, confirm the blocked calendar is selected as a conflict calendar in Coachful — not just connected. Second, check that the blocking events are on the correct calendar (e.g., if the block is on "Family" but you've only selected "Work" as the conflict calendar, Coachful won't see it). Add all relevant calendars to your conflict list.

New bookings aren't appearing on my Google/Outlook calendar

Check that you have a write calendar selected and that it's not a read-only or shared calendar (Coachful needs write permission). Also verify your OAuth token is still active. If the issue persists, disconnect and reconnect the integration, then test with a manual booking.

The wrong timezone is showing on my booking page

Go to Settings → General → Timezone and confirm your timezone is set correctly. This is the most common cause. Also ask the client to confirm their own timezone in their Coachful profile, since their booking page view is rendered in their timezone.

Microsoft 365 connection fails with an admin approval screen

Your organization's IT policy requires admin consent before third-party apps can access Microsoft 365 data. You'll need to ask your IT admin to approve the Coachful application in Microsoft Entra (formerly Azure Active Directory). I connected the wrong Google account

Go to Settings → Scheduling → Calendar and click Disconnect next to the current connection. Then click Connect Google Calendar again. The OAuth popup will let you choose a different account. If Google auto-selects the wrong account, click "Use another account" on the Google login screen.

Frequently asked questions

Does Coachful support two-way calendar sync?
Yes. Coachful both reads your external calendar to check for conflicts and writes new bookings back as calendar events. Cancellations and reschedules are also reflected automatically. The sync works with Google Calendar and Microsoft Outlook/Microsoft 365.
Can I connect multiple calendars to check for conflicts?
Yes. In Settings → Scheduling → Calendar, you can select multiple calendars as conflict calendars — for example, both your personal and work Google calendars. Coachful will hide any time slot that has an existing event on any of the selected calendars. You can only write new bookings to one calendar at a time.
What happens to my calendar events when a client cancels a session?
When a session is cancelled inside Coachful — by either you or the client — the corresponding event is automatically deleted from your connected write calendar. Your client's calendar invite is also updated with a cancellation notice.
Does Coachful handle timezones automatically for international clients?
Yes. Your availability is stored in your profile timezone, and Coachful automatically converts available slots into each client's local timezone when they view your booking page. Confirmation emails show the session time in both your timezone and the client's timezone to prevent confusion.
My Microsoft 365 calendar connection failed — what should I do?
Enterprise Microsoft 365 tenants often require admin consent before third-party apps can access calendar data. Share Microsoft's admin consent documentation with your IT team and ask them to approve Coachful in Microsoft Entra. Once approved, the OAuth connection will complete normally.
Is Apple Calendar (iCloud) supported?

Will connecting my calendar expose my personal events to clients?
No. Clients only ever see whether a time slot is available or unavailable — they never see the details, titles, or descriptions of your personal calendar events. Coachful reads event times to determine conflicts but does not display any event information to clients.
