Why your first impression determines everything
A new lead lands on your coaching page, fills out your opt-in form, and… hears nothing for 48 hours. By then, they've moved on. An automated welcome sequence fixes this by delivering the right message at exactly the right moment — without you lifting a finger after the initial setup. Whether you're nurturing cold leads, onboarding new clients, or warming up prospects before a discovery call, a well-built welcome sequence turns fleeting interest into booked sessions.
On Coachful, your funnels, landing pages, and booking flows are already connected under one roof, which means you can build a complete automated welcome sequence — from opt-in to first call — without stitching together a dozen disconnected tools.
TL;DR — What a welcome sequence does
- Captures the lead via a landing page, lead-magnet page, or link-in-bio on your Coachful website.
- Triggers automatically the moment someone submits a form or enrolls in a program.
- Delivers a series of messages (email and/or in-app) spaced over days or weeks to build trust and prompt action.
- Ends with a clear call-to-action — booking a call, purchasing an offer, or joining a cohort squad.
Planning your welcome sequence before you build it
Skipping the planning phase is the single biggest reason welcome sequences underperform. Before you touch any settings in Coachful, map out the following on paper (or a doc):
Define the trigger event
Every sequence starts with a trigger. Common triggers on Coachful include: a visitor submitting an opt-in form on your lead-magnet page, a client enrolling in a program, or a prospect booking an intake call. Your trigger determines the tone of every message that follows. An opt-in subscriber is colder than someone who just paid for a program — treat them accordingly.
Choose your sequence length and cadence
Industry research consistently shows that a 5–7 email welcome sequence outperforms both shorter and longer runs for coaching offers. A proven structure looks like this:
- Day 0 — Instant delivery: Deliver the promised lead magnet or confirm enrollment. Set expectations for what's coming next.
- Day 1 — Your story: Share why you coach, who you help, and what transformation you've achieved for others.
- Day 3 — The problem: Articulate the core pain your ideal client feels. Good writing here feels like mind-reading.
- Day 5 — Social proof: A short client story or result. Specific beats vague every time ("Sarah dropped 18 lbs in 8 weeks" beats "clients see results").
- Day 7 — Your offer: Make the ask. Link to your booking page, your paid program, or a limited-time coupon.
- Day 10 — Objection handling: Address the top 2-3 reasons someone wouldn't buy. Price, time, skepticism.
- Day 14 — Final nudge: Urgency without gimmicks. Remind them of the cost of staying stuck.
Write the copy first
Build every email in a Google Doc before touching the platform. Subject lines matter enormously — aim for curiosity or specificity, never both at once. Keep each email under 300 words. One idea, one call-to-action, per email. Once your copy is approved (by yourself or a collaborator), setup inside Coachful takes under 30 minutes.
Setting up your lead capture in Coachful
Your sequence needs an entry point. Coachful's website builder lets you create a standalone lead-magnet page or embed an opt-in form directly on any page of your coach website.
- Go to Coach → Website → Pages and click New page.
- Choose the Lead magnet or Funnel template from the layout picker.
- Use the drag-and-drop editor to add your headline, subheadline, and an opt-in form block.
- In the form block settings, set the Submit action to Trigger welcome sequence (or redirect to a thank-you page while the sequence fires in the background).
- Connect the form to your email sequence by selecting the sequence name from the dropdown — more on creating that sequence below.
- Publish the page. Your subdomain (
yourname.coachful.co) or custom domain is live instantly.
If you're using a link-in-bio page instead, navigate to Coach → Website → Link in Bio, add a button linking to your lead-magnet page, and the same sequence trigger applies the moment someone submits the form.
Pro tip: Always redirect new subscribers to a thank-you page that sets expectations ("Check your inbox — your free guide is on its way, and over the next two weeks I'll share…"). This primes them to open your emails and reduces spam complaints dramatically.
Building the automated email sequence
With your lead-capture page live, it's time to build the sequence itself. In Coachful, email sequences live inside your Funnels & Marketing section.
- Navigate to Coach → Marketing → Sequences and click Create sequence.
- Name your sequence (e.g., "Lead Magnet Welcome — Mindset Coaching") and set the trigger to match the form or enrollment event you configured earlier.
- Click Add step to create your first email. Paste in your Day 0 subject line and body copy. Use the merge tags panel on the right to insert
{{first_name}},{{coach_name}}, and any other personalization tokens. - Set the delay to Send immediately for Day 0.
- Click Add step again for Day 1. Set the delay to 1 day after previous step. Paste in your story email.
- Repeat for each remaining email in your sequence, setting delays of 2 days, 2 days, 2 days, 3 days, and 4 days respectively to hit your Day 3, 5, 7, 10, and 14 targets.
- On emails that link to a booking page, use Coachful's smart booking link which pre-fills the subscriber's name and email — fewer clicks, higher conversion.
- Click Activate sequence. The sequence will now fire automatically for every new subscriber from this point forward.
Adding conditional branches (advanced)
If a subscriber books a call or purchases a program during the sequence, you don't want them to keep receiving nurture emails — that looks disorganized and annoys new clients. Use conditional steps inside the sequence builder to add a branch: "If contact has tag booked-call, skip remaining steps." Coachful applies this tag automatically when someone books via your intake call page, so the branching is hands-off once set up.
Already on Coachful? You can build your entire welcome sequence — landing page, opt-in form, email sequence, and booking flow — inside a single platform without any third-party integrations. Connecting your sequence to a Coachful program
For coaches selling structured programs, the welcome sequence isn't just for cold leads — it's one of the most powerful onboarding tools you have. When a client purchases a 12-week coaching program through your Coachful offer page, you can trigger a dedicated client onboarding sequence automatically.
Set the trigger to Program enrollment and select your program name. Your Day 0 email might welcome them warmly, explain how to access the program in the app, and link directly to their first week's tasks. Day 1 might walk them through setting their first habit goal inside the program. Day 3 might remind them to book their first 1:1 session with you using your smart booking link. This kind of structured onboarding dramatically reduces the "I bought this but never started it" drop-off that plagues online coaching programs.
Clients who receive a structured onboarding sequence are far more likely to complete their first week of tasks — and completion in week one is the strongest predictor of program completion overall. See also: Creating a coaching program and Habit and goal tracking for clients.
Optimizing your sequence for opens, clicks, and conversions
Subject lines that earn opens
The average coaching email open rate sits around 25–35%. The subject line is responsible for nearly all of it. Avoid subject lines that start with "Welcome to…" — they're expected and bland. Instead, use pattern interrupts: a question, a bold claim, or a one-word opener. Examples: "You made it." / "Here's what I didn't expect." / "The mistake 90% of my clients make in week one."
Preview text is a second subject line
Coachful's email editor lets you set custom preview text for every email in your sequence. Use it. A subject of "You made it." paired with preview text "Here's your free guide + what happens next →" gives readers two reasons to open before they've read a single word of the body.
Send time and day of week
Sequence emails are triggered relative to the subscriber's opt-in time, not a fixed send time. If someone opts in at 11 PM on a Friday, your Day 1 email sends at 11 PM on Saturday — not ideal. Configure a send-time window in your sequence settings (e.g., deliver between 8 AM – 11 AM in the subscriber's local timezone) so emails arrive during high-attention hours regardless of when the opt-in happened.
Troubleshooting common welcome sequence problems
Emails are going to spam
This almost always means your sending domain isn't authenticated. In Coachful, go to Settings → Email → Custom sending domain and verify your SPF, DKIM, and DMARC records. Sending from hello@yourdomain.com instead of a generic address improves deliverability significantly. If you haven't connected a custom domain yet, see Custom domain setup.
Subscribers opt in but the sequence never fires
Check that the form's Submit action is linked to the correct sequence — not just a redirect URL. Go to Website → Pages → [Your page] → Form settings and confirm the sequence is selected in the Post-submit automation dropdown. Also verify the sequence status is Active, not Draft.
The sequence fires but stops after one or two emails
Look for a conditional branch that's incorrectly tagging subscribers as converted. Navigate to Marketing → Sequences → [Your sequence] → Logs and inspect the contact's step history. If they're being exited early, review your branching conditions and make sure the tag trigger is working as intended.
Merge tags show as raw code (e.g., {{first_name}})
This means the subscriber's record doesn't have a first name stored. Add a First name field to your opt-in form (mark it as required, or use a fallback like "there" so the email reads "Hey there," instead of "Hey ,"). You can set a merge-tag fallback directly in the email editor by writing {{first_name | fallback: "there"}}.
Low click-through rates on the offer email
A single, visually prominent button beats three hyperlinked sentences every time. In the Coachful email editor, add a Button block for your primary CTA, and make the button text outcome-focused: "Book my free strategy call" outperforms "Click here" by a wide margin in A/B tests across coaching niches.
Clients are receiving the cold-lead welcome sequence after purchasing
This is a tagging overlap issue. Ensure that purchasing your offer applies a tag like client or purchased and that your cold-lead sequence has a Stop if tagged: client condition on every step. Coachful's Stripe Connect integration can apply tags automatically on successful payment — verify this is toggled on under Settings → Integrations → Stripe → Post-purchase tags.
Ready to turn your next opt-in into a paying client?
A well-built automated welcome sequence is one of the highest-leverage assets in your coaching business. You set it up once, and it works while you're coaching, sleeping, or taking a weekend off. The coaches who consistently fill their programs aren't necessarily doing more marketing — they've just built better systems that convert the traffic they already have.
Coachful gives you every piece of the puzzle in one place: landing pages, opt-in forms, email sequences, booking flows, and program enrollment — all connected, all automated.
