Your availability is the foundation of every booking

If clients can't find an open slot, they can't book — and every missed booking is a missed opportunity. Step 1 — Open your availability settings

From your Coachful dashboard, navigate to Bookings → Availability. You'll see a weekly schedule grid — Monday through Sunday — with each day toggled off by default if you haven't configured anything yet.

  1. Click the toggle next to each day you want to accept bookings. A green toggle means that day is active.
  2. Click the + Add hours button under a day to define your working window. For example, set 9:00 AM – 5:00 PM for a standard workday.
  3. Add multiple time blocks within a single day if you take a midday break. Click + Add hours again on the same day and set a second window, such as 6:00 PM – 8:00 PM for evening slots.
  4. Repeat for each active day.
  5. Click Save availability when you're done.

Coachful will now expose only these windows when clients open your booking page. Any time outside these blocks is simply invisible to them — no awkward "unavailable" messages, just clean, bookable slots.

Step 2 — Set session types and durations

Your availability windows define when you can be booked. Session types define what clients are booking. Head to Bookings → Session types to create or edit the kinds of calls you offer.

Common session types coaches set up in Coachful include:

  • 1:1 coaching session — the standard recurring slot, typically 45–60 minutes.
  • Intake / discovery call — a free or low-cost 20–30-minute intro call to qualify new prospects.
  • Group call — a cohort session tied to a specific program or squad, with a maximum attendee count.
  • Instant call — an on-demand video session a client can start right now if you're available.

For each session type you can configure a unique duration, price, booking page description, and which availability schedule it draws from. This means your intake calls can be available Monday through Wednesday only, while your full coaching sessions are available all five weekdays — all managed from a single dashboard.

Step 3 — Connect your external calendar

The single biggest cause of double-bookings is a gap between your scheduling tool and your personal calendar. Coachful's two-way calendar sync eliminates that gap entirely.

  1. Go to Settings → Integrations → Calendar.
  2. Click Connect Google Calendar (or Connect Outlook for Microsoft 365 users).
  3. Authorize the connection in the pop-up. Coachful requests read/write access so it can both check for conflicts and write confirmed bookings back to your calendar.
  4. Choose which calendar to check for conflicts. If you have multiple Google calendars (personal, work, family), select all of them so nothing slips through.
  5. Choose which calendar receives new Coachful bookings — typically your main work calendar.
  6. Click Save.

From this point forward, if you have a dentist appointment at 2 PM on Thursday, Coachful automatically sees that block and hides 2 PM from clients browsing your booking page. No manual blocking required.

Pro tip: Calendar sync works best when your personal calendar events have a title and are marked as "Busy." All-day events marked as "Free" — like reminders or multi-day notes — won't block your coaching slots, which is usually the correct behavior.

Step 4 — Configure buffer time and daily limits

Raw availability windows tell Coachful when you could theoretically work. Buffer time and daily limits tell it how sustainably you want to work. Coaches who skip this step often find themselves in back-to-back sessions for six hours straight — great for revenue, terrible for performance.

Buffer time

Under Bookings → Availability → Advanced settings, set a buffer before and/or after each session. A 10-minute buffer after every call gives you time to write notes, reset, and grab water before the next client joins. A buffer before your first session of the day is useful if you use that time for your own morning routine or prep.

Buffers are invisible to clients. They just see that the slot immediately after a booking is unavailable.

Daily session cap

In the same Advanced settings panel, set a Maximum sessions per day. If you've decided four coaching sessions per day is your sustainable maximum, enter 4 here. Once four sessions are booked on a given day, that day closes to new bookings automatically — even if your availability window technically extends further.

Minimum notice period

Set a minimum booking notice — for example, 24 hours — so clients can't book a session starting in 30 minutes. This protects your prep time and prevents last-minute scrambles.

Booking window

The booking window controls how far in advance clients can schedule. Set it to 60 days if you plan in quarterly sprints, or to 14 days if you prefer to keep your schedule more fluid. Clients won't be able to book beyond whatever horizon you set.

Step 5 — Share your booking link

Ways to share your booking link:

  • Your Coachful website — add a "Book a call" button block in the drag-and-drop website builder that links directly to your booking page.
  • Email signature — paste the URL next to your name so every email you send is a passive booking opportunity.
  • Link-in-bio page — Coachful's built-in link-in-bio lets you stack your booking link alongside your programs, lead magnets, and social profiles in one mobile-optimized page.
  • Client onboarding flow — when a new client enrolls in a program, trigger a welcome message via your Coachful squad that includes the booking link for their first session.
If you haven't set up your Coachful website yet, the booking link still works as a standalone page. You don't need a full website to start accepting bookings. Sign in to your Coachful workspace and grab your link from Bookings → Booking page.

Step 6 — Set availability for group calls and program sessions

Group calls — sessions tied to a cohort squad or community squad inside a program — have their own scheduling workflow. Rather than clients self-booking individual slots, you publish a scheduled group call and enrolled clients register (or are automatically added).

  1. Go to Programs → [Your program] → Schedule or Bookings → Group calls → New group call.
  2. Set the date, start time, duration, and maximum attendees.
  3. Choose the associated squad (cohort or community) so enrolled members are notified automatically.
  4. Add the call to a specific week/day inside your program curriculum if it's curriculum-linked.
  5. Click Publish. Members receive an in-app notification and a calendar invite.

Group calls don't draw from your standard availability schedule — you set their time manually. This keeps your 1:1 booking slots separate from your group session calendar, so clients browsing your booking page don't accidentally try to grab a slot you've reserved for a group cohort.

Best practices for coaching availability

Setting availability isn't just a technical task — it's a strategic decision about how you want your coaching business to run. Here are the practices that consistently work for coaches managing full client rosters.

Theme your days

Reserve two or three "deep work" days where you accept no bookings — use them for curriculum building, content, or rest. Make only Tuesday, Wednesday, and Thursday bookable for 1:1s. Clients adapt quickly, and your focused days become dramatically more productive.

Use a separate schedule for discovery calls

Assign your intake/discovery call session type to a different, more restricted availability schedule — for example, Monday and Friday mornings only. This keeps sales conversations from bleeding into your prime coaching hours mid-week.

Review and update seasonally

Revisit your availability settings at the start of each quarter. Holiday periods, program launch months, and off-seasons all call for different schedules. Updating takes two minutes and prevents you from fielding awkward "can we reschedule?" conversations.

Communicate lead times clearly

If your booking window is 14 days, mention that in your onboarding emails so clients know to plan ahead. Setting expectations reduces frustration when a client tries to book tomorrow and finds no availability.

Troubleshooting common availability issues

Clients say they can't find any open slots

First, check that at least one day is toggled active in Bookings → Availability. Second, confirm your minimum notice period isn't set so high that it wipes out near-term slots. Third, verify your calendar sync isn't blocking everything — if your external calendar has a repeating all-day "Busy" event, it may be hiding all your slots. Check Settings → Integrations → Calendar and review which calendar events are being treated as conflicts.

Double-bookings are still happening

This almost always means calendar sync is connected to one calendar but the conflicting event lives in a different calendar. Go back to Settings → Integrations → Calendar and ensure all relevant calendars are selected under "Check for conflicts." Coachful only blocks slots that appear in calendars you've explicitly authorized.

Bookings aren't appearing in my Google Calendar

Check which calendar you selected as the destination under "Write bookings to." If you accidentally selected a read-only or shared calendar, the write will fail silently. Re-select a calendar you own and have write access to, then save the integration again.

Buffer time isn't working as expected

Buffer time applies after a booked session, not after your availability window ends. If a client books your last slot of the day, the buffer extends into after-hours — but since no more slots exist after it, there's no visible effect. If you're finding back-to-back bookings, confirm the buffer is set on the correct session type, not just globally. Each session type can have its own buffer override.

My availability looks correct but the booking page shows "No times available"

The most common cause is a mismatch between your timezone in Coachful and your browser's system timezone. Check Settings → Profile → Timezone and make sure it matches your actual location. All availability windows are stored in the timezone you set on your profile.

Group call times conflict with 1:1 availability

Group calls don't automatically block 1:1 slots. You need to manually block the group call time by adding it as a busy event in your connected external calendar, or by setting a date-specific override in Bookings → Availability → Date overrides. Add the group call window as an unavailable block on the relevant day.
