Before you start: what you'll need

  • A Coachful account on the Growth or Scale plan (calendar sync is not available on the free trial's read-only mode).
  • A Microsoft account — personal (outlook.com, hotmail.com, live.com) or work/school (Microsoft 365 / Exchange Online).
  • Admin consent may be required if your Microsoft 365 organization restricts third-party OAuth app connections. Check with your IT admin if the authorization screen shows a "Need admin approval" message.
  • Pop-ups must be allowed in your browser for the OAuth window to open cleanly.

If your organization uses an on-premises Exchange Server (not Exchange Online), the OAuth-based integration described here is not available. You'll need to use Coachful's iCal feed export as a workaround, which provides one-way busy-time blocking.

How to connect Microsoft Outlook calendar to Coachful

  1. Sign in to your Coachful dashboard at app.coachful.co/sign-in.
  2. Click your profile avatar in the top-right corner, then select Settings.
  3. In the left sidebar, navigate to Integrations, then click Calendar.
  4. Under Connect a calendar, select the Microsoft Outlook tile.
  5. A Microsoft OAuth pop-up will appear. Sign in with the Microsoft account you want to link — this can be a personal outlook.com address or a Microsoft 365 work account.
  6. Review the permissions Coachful requests:
    • Read your calendars — so Coachful can detect existing busy times.
    • Read and write to your calendars — so Coachful can add new booking events.
    • Maintain access to data you have given it access to — for the persistent sync token.
  7. Click Accept to grant access. The pop-up will close and you'll return to Coachful.
  8. Back in the Calendar integration panel, you'll see your connected Outlook account listed with a green Connected badge.
  9. Use the Which calendars should block your availability? checklist to select one or more Outlook calendars whose events should mark you as busy. By default, your primary calendar is checked.
  10. Choose the target calendar where Coachful should write new bookings. This is typically your primary Outlook calendar, but you can create a dedicated Coachful Sessions calendar in Outlook first and point the integration there to keep things tidy.
  11. Click Save. The sync activates immediately — no page refresh needed.

Understanding how the bidirectional sync works

Once connected, Coachful polls Microsoft's Graph API at regular intervals (roughly every 5–10 minutes) to detect new or changed events in your Outlook calendar. If a new meeting appears — say, a last-minute team standup — that time slot is automatically blocked in your Coachful booking page within the next polling cycle.

When a client books through your Coachful page, the session is written to Outlook almost instantly via a webhook. The calendar event includes:

  • Session title (e.g., "Strategy Session with Jordan M.")
  • Start and end time in your local timezone
  • Client's name and email in the event description
  • The Coachful video room link or custom meeting URL, added as the event's location and body
  • A link back to the booking record inside your Coachful dashboard

Cancellations and reschedules are also synced. If a client cancels a session via their Coachful client portal, the corresponding Outlook event is deleted. If they reschedule, the event is updated in place — same event ID, new time.

Timezone handling

Coachful stores all session times in UTC and converts to the relevant timezone on display. Your Outlook events are read in whatever timezone Microsoft reports for your account. As long as your Microsoft account timezone (set at Outlook Calendar Settings → View → Current timezone) matches your Coachful timezone setting (Settings → General → Timezone), everything lines up correctly. Mismatched timezones are the number-one cause of sync confusion — double-check both before your first client session.

Setting your availability around synced calendar blocks

Calendar sync works on top of your availability schedule — it doesn't replace it. Think of your Coachful availability windows (Bookings → Availability) as the outer boundary of when you can be booked, and your Outlook events as the inner exclusions within those windows.

For example, if your availability is set to Monday–Friday, 9 AM–5 PM, and Outlook shows a 2 PM–3 PM team meeting on Tuesday, Coachful will show all Monday–Friday slots as bookable except Tuesday 2–3 PM. Clients never see why a slot is blocked — just that it's unavailable.

Pro tip: Use Outlook's "Out of Office" event type for vacation blocks. Coachful reads all event types — meetings, appointments, and out-of-office blocks alike — as busy time. You don't need to manually block dates in Coachful every time you take a holiday.

Managing multiple coaches and calendar connections

If you run a coaching business with a team — perhaps using Coachful's editor or coach roles — each team member connects their own Outlook calendar under their individual profile settings. Bookings routed to a specific coach block only that coach's calendar, not the whole organization's.

As a super_coach (account owner), you can see which team members have calendar sync active from Settings → Team → Members. You can't connect a calendar on behalf of another coach — each person must authorize their own Microsoft account for privacy and security reasons.

Disconnecting or switching your Outlook account

To disconnect the integration, go to Settings → Integrations → Calendar and click Disconnect next to your Outlook account. Future Coachful bookings will no longer be written to Outlook, and your Outlook events will no longer block availability. Existing calendar events created by Coachful are not deleted from Outlook — you'll need to remove those manually if desired.

To switch to a different Microsoft account (for example, moving from a personal to a work Microsoft 365 account), disconnect the existing connection first, then reconnect using the new account credentials.

Troubleshooting common Outlook calendar sync issues

The OAuth pop-up says "Need admin approval"

This is a Microsoft 365 tenant policy, not a Coachful restriction. Your organization's IT administrator has enabled "Admin consent required" for third-party OAuth apps. Ask your IT admin to approve Coachful in the Microsoft Entra admin center (formerly Azure AD), or have them grant tenant-wide consent for the Coachful app. Alternatively, if you have a personal Microsoft account (outlook.com), you can connect that instead without needing IT approval.

Outlook events aren't blocking my availability

First, check that the correct calendar is selected in the Which calendars should block your availability? checklist — it's easy to accidentally leave a secondary calendar unchecked. Second, confirm your Coachful timezone and Outlook account timezone match exactly (see the Timezone handling section above). Third, remember that the polling interval is up to 10 minutes — wait a short while and refresh your booking page before concluding there's a problem.

Coachful bookings aren't appearing in Outlook

Check that you selected a target calendar during setup. If no target was chosen, the integration defaults to your primary Outlook calendar — verify that "Primary Calendar" is indeed the target, and that it's the calendar you're looking at in Outlook. Also confirm you granted write permissions during OAuth; if you only granted read access, reconnect and accept all requested permissions.

Sessions appear at the wrong time in Outlook

Almost always a timezone mismatch. Go to Settings → General → Timezone in Coachful and confirm it matches the timezone set in your Outlook account. Also check that your device's local timezone hasn't drifted — Outlook on Windows sometimes inherits the system clock timezone, which can differ from your Outlook account timezone setting.

I disconnected the integration but old events are still in Outlook

Disconnecting the integration stops future syncing but doesn't retroactively remove events Coachful already created. Open Outlook, filter by the category or calendar you assigned to Coachful events, and delete them in bulk. Going forward, you can use a dedicated Coachful Sessions Outlook calendar (created directly in Outlook) as your target — then disconnecting and deleting that calendar removes all Coachful events in one action.

The "Connected" badge shows but the sync seems broken

Microsoft OAuth tokens expire or can be revoked (for example, if you changed your Microsoft password or an IT admin revoked app access). Go to Settings → Integrations → Calendar, disconnect, and reconnect. Re-authorizing refreshes the access token and typically resolves persistent sync failures immediately.

Using Outlook sync alongside Coachful's booking features

Calendar sync doesn't operate in isolation — it works hand-in-glove with Coachful's full scheduling suite. Your session types (1:1 coaching, group calls, intake sessions), buffer times, minimum notice periods, and maximum daily booking caps all layer on top of the Outlook integration.
