Why recurring subscriptions beat one-off payments for coaches
Chasing individual payments every month is one of the fastest ways to burn out as a coach. A recurring coaching subscription solves that: clients pay automatically on a fixed cycle, your revenue becomes predictable, and you spend zero time sending invoice reminders. If you're ready to move from sporadic one-off sales to a stable monthly or annual income, this guide walks you through every step inside Coachful.
Recurring billing also signals professionalism. Clients who commit to a subscription are psychologically more invested in the process — they show up, do the work, and get better results. That improves your testimonials, your referrals, and your retention rate all at once.
TL;DR
- Go to Coach → Offers → Create offer and choose Recurring as the billing type.
- Set your price, billing interval (weekly / monthly / annual), and any free-trial period.
- Attach the offer to a Program or Squad so clients get instant access on purchase.
- Coachful handles billing through Stripe Connect — funds land directly in your bank account.
- Clients manage their own subscription from the client portal; you can cancel or pause from your dashboard.
Before you start: connect Stripe
Coachful uses Stripe Connect to process all payments. Before you create a recurring offer, you need a connected Stripe account so that subscription revenue lands directly in your bank — Coachful never holds your funds.
- Go to Coach → Settings → Billing.
- Click Connect Stripe account.
- Complete the Stripe onboarding flow (takes about 5 minutes — have your bank details and ID ready).
- Return to Coachful. You'll see a green Stripe connected badge when the link is active.
If you already have a Stripe account for another business, you can connect that same account — Stripe Connect supports multiple platforms sharing one account. For detailed guidance on Stripe's onboarding requirements, visit the Stripe Connect documentation.
Pro tip: Enable Instant Payouts in your Stripe dashboard if you want same-day access to subscription revenue rather than the standard 2-day payout cycle.
Creating a recurring coaching subscription offer
Every paid experience in Coachful — whether it's a program, a community, or a bundle — is sold through an Offer. Here's how to build a recurring offer from scratch.
- In your coach dashboard, navigate to Coach → Offers.
- Click Create offer (top-right corner).
- Give your offer a clear name — something your clients will recognise on their bank statement, like "Monthly Momentum Coaching" or "12-Week Transformation — Monthly Plan".
- Under Billing type, select Recurring.
- Enter your price and choose a billing interval: Weekly, Monthly, or Annual.
- (Optional) Toggle Free trial and set the trial length in days. Common choices are 7 or 14 days.
- (Optional) Add a Setup fee — a one-time charge billed at signup in addition to the recurring amount. Useful if you have an onboarding session or welcome kit.
- Click Save offer.
Your offer is now saved but not yet attached to any product. The next step is connecting it to something clients actually get access to.
Attaching the subscription to a Program or Squad
A recurring offer on its own is just a payment rule. To deliver real value, you attach it to a Program — your structured coaching curriculum — or a Community Squad for ongoing group access.
Attaching to a Program
- Go to Coach → Programs and open the program you want to sell as a subscription.
- Click the Offers tab inside the program.
- Click Add offer and select the recurring offer you just created.
- Save. When a client purchases this offer, they're enrolled in the program immediately and a cohort Squad is auto-created for that enrollment group.
Attaching to a Community Squad
If you run an always-on group coaching community — live calls, group chat, shared resources — a Community Squad is the right container. Clients pay monthly and stay in the Squad for as long as their subscription is active.
- Go to Coach → Squads and open your Community Squad.
- Click Settings → Access & Billing.
- Under Paid access, select your recurring offer from the dropdown.
- Save. Coachful will automatically remove clients from the Squad when their subscription lapses.
Coaches using Coachful often bundle a 12-week program with a monthly community subscription — the program drives structured transformation while the community keeps clients engaged (and paying) after graduation. It's one of the most effective ways to increase lifetime client value without adding admin work.
If you're not yet on Coachful, start your free trial and set up your first recurring offer in under 10 minutes.
Setting pricing tiers and payment plans
Not every client can afford your top-tier subscription, and not every coach should charge the same rate for group versus 1:1 access. Coachful lets you create multiple offers for the same program or squad, giving you a natural pricing ladder.
A common structure looks like this:
- Self-paced tier — Monthly recurring, program access only, no live calls. Lower price point.
- Group coaching tier — Monthly recurring, program + Community Squad + group calls.
- VIP / 1:1 tier — Monthly recurring, all of the above + priority 1:1 booking slots.
Create a separate Offer for each tier and attach all of them to the same program. When a client lands on your checkout page, they choose the tier that fits their budget and goals.
You can also add coupons (percentage or fixed-amount discounts) to any offer — ideal for launch pricing, alumni discounts, or affiliate promotions. Find this under Coach → Offers → Coupons.
Adding a free trial to reduce purchase friction
Free trials consistently increase subscription conversion rates. When a prospective client can experience your program for 7 or 14 days before their card is charged, the perceived risk drops dramatically.
When you enable a free trial on a recurring offer in Coachful:
- The client's card is collected at signup but not charged until the trial ends.
- They get full access to the attached program or squad immediately.
- Stripe sends an automatic reminder email 3 days before the trial converts to a paid subscription.
- If they cancel before the trial ends, no charge is processed.
For a deeper look at Stripe's trial billing mechanics, see the Stripe subscription trials documentation.
Managing active subscriptions
Once clients are subscribed, you have full visibility and control from your dashboard.
Viewing subscriber status
Go to Coach → Clients and filter by Active subscriptions. You'll see each client's plan, billing date, and subscription status (active, trialing, past due, cancelled). Click any client row to see their full billing history.
Cancelling or pausing a subscription
- Open the client's profile from Coach → Clients.
- Click the Billing tab.
- Select Cancel subscription or Pause subscription (pause is available for monthly plans).
- Choose whether the cancellation takes effect immediately or at the end of the current billing period.
Clients can also manage their own subscription — upgrade, downgrade, or cancel — directly from their Client Portal → Billing without contacting you. This self-service option reduces support requests significantly.
Handling failed payments
Stripe automatically retries failed subscription charges on day 3, day 5, and day 7 after the initial failure (you can configure this in your Stripe dashboard). Coachful reflects the past due status in the client's profile. You can choose to restrict platform access for past-due clients under Coach → Settings → Billing → Access on failed payment.
Pro tips for maximising subscription revenue
Setting up the billing is the easy part. Here's how experienced coaches on Coachful structure their subscriptions for maximum retention and revenue.
Offer annual plans at a discount
Create a second offer with Annual billing at roughly 15–20% off the monthly equivalent. Annual subscribers churn far less often — they've committed for the year — and the upfront cash flow is excellent. Promote the annual plan as the "best value" option at checkout.
Use the setup fee as a value anchor
A one-time setup fee (e.g., $97 for a "strategy session" or "welcome kit") makes the monthly recurring price feel smaller by comparison. It also pre-qualifies clients — people who pay a setup fee are more committed and less likely to churn in month one.
Tie subscription milestones to your program structure
If your program is 12 weeks with 3 tasks per week, structure the subscription so week 1 content is available immediately, week 2 unlocks after 7 days, and so on. Drip-releasing content increases perceived value and dramatically reduces early cancellations — clients won't leave when they know week 8's material is about to unlock.
Configure this in Coach → Programs → [Your Program] → Schedule using the day-based content unlock settings.
"Price is what they pay, value is what they get." Make sure every month of your subscription delivers a visible win — a completed goal, a habit streak, a group call — so renewal feels like the obvious choice.
Troubleshooting common subscription setup issues
Offer not appearing on my program's checkout page
Make sure you've attached the offer to the program (see the Offers tab inside the program settings). Simply creating an offer in Coach → Offers doesn't automatically link it to a product — the attachment step is required.
Stripe says my account isn't enabled for recurring billing
Newly created Stripe accounts occasionally have recurring billing disabled pending identity verification. Log in to your Stripe dashboard, complete any pending verification steps, and then return to Coachful. The error should clear within a few minutes once Stripe confirms your account status.
Client was charged but didn't get program access
This usually means the offer wasn't attached to the program before the client purchased, or the program was in draft status. Check Coach → Programs → [Program] → Offers and ensure the correct offer is listed. Also verify the program is published, not in draft. If the issue persists, contact support@coachful.co with the client's email and transaction ID.
Free trial isn't showing on checkout
Confirm the free trial toggle is enabled on the specific offer (not just globally). Also check that the offer is the default offer displayed on the checkout page — if a non-trial offer is set as default, the trial won't appear. You can reorder offers under Coach → Programs → [Program] → Offers.
Subscription cancelled but client still has access
By default, access is revoked at the end of the billing period, not immediately on cancellation. If you need to revoke access immediately, go to Coach → Clients → [Client] → Billing → Revoke access now. You can change the default behaviour under Coach → Settings → Billing → Cancellation policy.
Coupon code not working at checkout
Coupons are offer-specific — double-check that the coupon is linked to the correct offer, not a different one. Also confirm the coupon hasn't expired or exceeded its redemption limit. Both settings are editable under Coach → Offers → Coupons → [Coupon name].
