A client's card gets declined. Their subscription pauses. They message you in a panic. Sound familiar? Knowing how to update a client's payment method quickly — whether they do it themselves or you help them — keeps revenue flowing and protects the coaching relationship. This guide covers every scenario you'll encounter inside Coachful.
Payment method updates in Coachful are handled through Stripe Connect, the same infrastructure used by some of the world's largest platforms. That means your clients' card data is never stored on Coachful's servers — it lives in Stripe's PCI-compliant vault. Updates are fast, secure, and reflected immediately across all active subscriptions.
TL;DR — Quick Answer
- Clients can update their own payment method from the Billing section of their client portal at any time.
- Coaches can send a secure payment-update link directly to a client from the coach dashboard.
- Admins can also manage billing records from Coach → Clients → [Client Name] → Billing.
- Changes take effect immediately and apply to all future charges on that client's account.
Why Payment Methods Fall Out of Date
Expired cards are the single most common reason subscription revenue drops unexpectedly. Banks issue new cards with new expiry dates every 2–4 years. Virtual cards, prepaid cards, and cards tied to closed bank accounts fail even sooner. When a charge fails inside Stripe, Coachful immediately flags the subscription as past due and triggers a dunning sequence — but the fastest fix is always a manual payment method update before the retry cycle runs out.
Other scenarios that require a payment method update include:
- A client switches banks or cancels a credit card.
- A client wants to split payments between a corporate card and a personal card.
- A client's card is flagged for fraud and reissued.
- You're migrating a client from a legacy offer to a new one and they want to pay with a different card.
How Clients Update Their Own Payment Method
The simplest path: direct your client to their self-service billing portal. No coach involvement needed. Here's exactly what they do:
- Sign in at app.coachful.co/sign-in (or your custom subdomain, e.g.,
yourname.coachful.co). - Click their profile avatar in the top-right corner and select Settings.
- Navigate to the Billing tab.
- Under Payment Methods, click Add payment method.
- Enter the new card details in the secure Stripe-hosted form and click Save.
- Once saved, click the three-dot menu next to the new card and select Set as default.
- Optionally remove the old card by selecting Remove from the same menu.
Setting the card as default is the step clients most often skip — make sure you include this in any email or message you send them. Without a default card, Stripe doesn't know which card to charge on the next billing cycle.
Pro tip: Add a short "update your payment method" guide to your onboarding program inside Coachful so clients know where to go before a problem ever arises. A 12-week program with a Week 1 task like "Confirm your billing details" dramatically reduces failed payments later.
How Coaches Send a Payment Update Link
Sometimes a client can't find the billing tab, or they're not tech-savvy, or the situation is urgent. In those cases, you can send them a secure, one-time payment update link directly from the coach dashboard. This link opens a Stripe-hosted page where the client adds their new card — no login required on their end.
- Go to Coach → Clients in your Coachful dashboard.
- Search for and click the client's name to open their profile.
- Select the Billing tab on the client profile page.
- Click Send payment update link.
- Choose to send via email or copy the link and send it through the Coachful chat (or any other channel).
- The client clicks the link, enters their new card details, and saves.
- You'll see the updated card reflected in the client's billing profile within seconds.
The link is single-use and expires after 24 hours for security. If a client tells you it isn't working, simply generate a new one.
Running a busy practice? Coaches on Coachful's Scale plan can ask Michelle, the built-in AI assistant, to pull up a client's billing status or send a payment update link by typing a natural-language prompt directly in the dashboard — no clicking through menus required.
How Admins and Editors Handle Payment Method Updates
If you run a larger coaching organization with staff managing client relationships, your admin or editor roles can also handle payment method updates on behalf of clients. This is especially useful when a coach is unavailable and a payment is failing.
Admins follow the same flow as coaches: Coach → Clients → [Client Name] → Billing → Send payment update link. The key difference is that admins have org-wide visibility, so they can action this for any client across any coach's roster, not just their own.
Editors have access to client billing records but cannot process refunds or cancel subscriptions — those actions are reserved for admins and super admins (the account owner). For a full breakdown of what each role can do, see Roles and permissions in Coachful.
What Happens to Active Subscriptions After a Card Update
Once a client saves a new default payment method, here's what Stripe and Coachful do automatically:
- Upcoming renewals charge the new card on the next billing date. No action needed from you or the client.
- Past-due subscriptions can be retried immediately. Go to Coach → Clients → [Client] → Billing → Subscriptions and click Retry charge next to any past-due invoice.
- Payment plans (installment schedules) also switch to the new card automatically for all future installments.
- One-time purchases that already processed are not affected — they're settled, regardless of the card update.
If Stripe has already sent the subscription into a canceled state (which happens after multiple failed retries), a card update alone won't revive it. You'll need to re-enroll the client in the offer. See Reactivating a canceled subscription for the full process.
Handling Failed Payments Before They Escalate
Coachful's dunning (automatic retry) logic follows Stripe's Smart Retries — Stripe's machine-learning model picks optimal retry times based on card network signals, typically over a 7–14 day window. During this window:
- The client receives automated Stripe emails prompting them to update their card.
- You see the subscription flagged as Past due in your dashboard.
- The client retains access to their program and content by default (you can restrict this — see Managing access on failed payment).
The best practice is to reach out personally as soon as you see a past-due flag. A quick message in the Coachful stream chat ("Hey, it looks like your card on file isn't going through — here's a link to update it") converts far better than an automated email and shows clients you're paying attention.
Pro Tips for Reducing Payment Failures
1. Ask for a backup card at enrollment
During your intake process, encourage clients to add a second payment method to their billing profile. If the primary card fails, Stripe automatically attempts the backup card. This alone can cut your failed-payment rate by 30–40%.
2. Use Coachful's intake forms to collect billing preferences
Add a custom field to your intake call booking flow asking clients to confirm their billing email address. Many declines happen because the card's billing address doesn't match — catching this upfront saves a lot of back-and-forth later.
3. Remind clients before card expiry
Stripe sends expiry notifications automatically, but you can also set a recurring task or habit inside a Coachful program (e.g., a quarterly "Check your billing details" reminder) to prompt clients proactively. High-touch coaching relationships are built on this kind of attention to detail.
Coaches using Coachful report spending up to 80% less time on billing admin compared to juggling separate tools, because Stripe Connect, client profiles, and communication all live in one place.
Troubleshooting Common Issues
The client saved a new card but the subscription is still showing "Past due"
Saving a card doesn't automatically trigger a retry. Go to Coach → Clients → [Client] → Billing → Subscriptions and click Retry charge on the failed invoice. Stripe will attempt the charge within a few seconds and update the subscription status.
The payment update link expired or isn't working
Payment update links are valid for 24 hours. If the client's link has expired, generate a new one from Coach → Clients → [Client] → Billing → Send payment update link. Always use a fresh link — don't resend the original email.
The client added a new card but didn't set it as default
This is the most common source of confusion. In the client portal under Settings → Billing → Payment Methods, clients need to explicitly set the new card as default using the three-dot menu. If they skipped this step, the old (failing) card is still the default and future charges will fail again.
The subscription was canceled before the card was updated
If Stripe canceled the subscription after exhausting retries, updating the card will not restore access automatically. You'll need to re-enroll the client from the Offers section. The client will go through the checkout flow again, but you can apply a coupon or zero-out the first payment if the gap in service was on your end. See Reactivating a canceled subscription.
The client doesn't see a Billing tab in their portal
This typically means the client's account was created without a paid enrollment — they may have been added manually or given a 100%-off coupon code. If there's no Stripe customer record associated with their account, the Billing tab won't appear. Contact Coachful support to manually link or create a Stripe customer record for the client.
The charge retried successfully but the client was double-charged
Stripe deduplicates retries using idempotency keys, so true double-charges are rare. If a client believes they were charged twice, navigate to Coach → Clients → [Client] → Billing → Invoices, verify the invoice list, and issue a refund directly from the dashboard if needed. Refunds are processed back to the original card within 5–10 business days.
