Where to Find the Revenue Dashboard

The dashboard refreshes data from Stripe Connect automatically. There is typically a lag of a few minutes between a client completing checkout and the numbers updating, so if you just made a sale, give it 2–3 minutes before checking.
Understanding the Headline Metrics
The summary cards at the top of the dashboard are the first thing you should learn to read. Each one answers a different question about your business health.
Gross Revenue
Gross Revenue is the total amount charged to your clients before any deductions — including Stripe processing fees, Coachful platform fees, and any refunds. Think of this as the top-line number: the sum of every successful charge across all your offers in the selected period. It's useful for benchmarking total demand, but it overstates what actually lands in your bank account.
Net Revenue
Net Revenue is Gross Revenue minus refunds and minus Stripe's payment processing fees (typically 2.9% + $0.30 per transaction for US cards). This is the number closest to what you actually earn. Platform fees, if applicable to your Coachful plan, are also factored in here. Use Net Revenue when reporting earnings to your accountant or setting income targets.
Monthly Recurring Revenue (MRR)
MRR is calculated from all active recurring subscriptions — monthly coaching retainers, membership programs, or any offer billed on a recurring cycle. Coachful normalizes annual plans to a monthly figure so you can track momentum consistently. The chart plots daily or monthly totals depending on your selected range — daily for ranges under 90 days, monthly for longer windows. Hovering over any data point shows a tooltip with the exact gross and net figures for that day or month.
Interpreting Spikes and Dips
A spike usually corresponds to a launch, a promotional campaign, or a client upgrading their plan. A dip might mean fewer new enrollments, a pause between cohorts, or a scheduled payout cycle. Dips in net revenue that coincide with flat gross revenue usually mean a higher-than-normal refund or fee event — drill into the Transactions table below the chart to confirm.
Comparing Periods
Use the Compare toggle to overlay the previous equivalent period. If you're looking at the last 30 days, enabling Compare will overlay the 30 days before that. This is the fastest way to answer "Am I growing month-over-month?" without building a spreadsheet.
Filtering by Offer and Product
One of the most powerful features of the revenue dashboard is the ability to isolate performance by individual offer. Use the Filter by Offer dropdown to select a specific program, membership, or standalone booking product. This answers questions like:
- "Is my 12-week transformation program outperforming my monthly retainer?"
- "How much did my Black Friday coupon code actually generate?"
- "Which offer has the highest refund rate?"

The Transactions Table
Scroll below the chart to reach the Transactions table. This is a line-by-line record of every charge, refund, and payout event. Each row shows:

- Offer / Product — what they paid for.
- Gross amount — the full charge amount.
- Fees — Stripe processing fees broken out.
- Net amount — what you keep after fees.
- Status — Succeeded, Refunded, Disputed, or Pending.
You can export this table to CSV by clicking Export in the top-right corner of the table. The export respects your current filters, so if you've filtered to a specific offer and date range, the CSV will reflect exactly that slice.
Payout Schedule and Bank Transfers
Coachful uses Stripe Connect for all payouts, which means money goes directly from your clients to your connected bank account — Coachful never holds your funds. Your payout schedule is set inside your Stripe Express dashboard, which you can access from Coach → Settings → Payments → Manage Stripe Account.
Most coaches are on a daily or weekly rolling payout schedule. If you're unsure of yours, check the Stripe Express dashboard — it will show your next payout date and the exact amount. The Pending Payouts card in Coachful reflects the same figure Stripe reports, so the two should always match.
If you see a discrepancy between Coachful's Pending Payouts and what Stripe shows, the most common cause is a webhook delay. Wait 5–10 minutes and refresh — if it persists, contact support via the chat icon in your dashboard.
Note on payment plans: When a client enrolls using a payment plan (e.g., 3 monthly installments of $500), each installment appears as a separate transaction on the date it's charged. The dashboard will show each charge individually rather than the full contract value upfront. This is accurate to your actual cash flow, not a bug.
MRR Breakdown and Churn
If you have active subscriptions, the MRR Breakdown section (visible when you select "Recurring" in the payment type filter) shows:
- New MRR — revenue from brand-new subscribers this period.
- Expansion MRR — additional revenue from existing clients who upgraded.
- Churned MRR — revenue lost from cancellations or downgrades.
- Net New MRR — New MRR + Expansion MRR − Churned MRR. The number that actually matters for growth.

Set a monthly revenue review cadence

Use coupon tracking to measure promotions
When you run a promotion with a Coachful coupon code, filter the Transactions table by that offer and cross-reference the date range of the campaign. Export quarterly for your accountant
At the end of each quarter, export the full Transactions table for that period and share it with your bookkeeper or accountant. Common Mistakes and Troubleshooting
Gross and Net Revenue look the same
This usually means Stripe fees aren't being broken out correctly, which can happen if your Stripe Connect account was set up with a non-standard fee structure (e.g., you're on Stripe's Interchange Plus pricing). The dashboard reads fee data directly from Stripe's charge objects — if fees look wrong, open a specific transaction in the Transactions table and click View in Stripe to compare the raw data.
MRR is $0 but I have active subscriptions
Check that your subscription offers are created as Recurring (not one-time) in Coach → Offers. One-time offers, even if they're paid monthly by arrangement, don't count toward MRR. Also confirm your Stripe webhook is active — go to Coach → Settings → Payments and check webhook status.
A transaction is missing from the dashboard
If a client completed payment but you don't see a transaction, first check Stripe directly for the charge. If Stripe shows the charge as "Succeeded" but Coachful doesn't reflect it, there's likely a webhook delivery failure. Go to your Stripe Webhooks dashboard and check for failed events — resending the event will sync the transaction to Coachful.
Pending Payouts doesn't match my Stripe balance
Stripe's payout timing can create a temporary mismatch if a payout was just initiated. Refresh after 10 minutes. If it still doesn't match, check whether you have multiple Stripe accounts connected (e.g., a test mode vs. live mode mismatch). Coachful's production environment always reads from your live Stripe account.
The revenue chart shows different numbers than the summary cards
The chart and the summary cards respect the same date filter, but the chart may display in a different currency if you've recently changed your Stripe account's default currency. Both should be in your primary currency — if they aren't, reach out to support with a screenshot.
Export CSV is empty
A blank CSV almost always means your current filter combination returned no results. Clear all filters (offer, payment type, date range) and try exporting again to confirm data exists.
