Canceling a client subscription doesn't have to mean cutting them off immediately. Whether a client has decided to pause their coaching journey, you're offboarding them gracefully, or they simply want to stop recurring charges without losing access mid-cycle, Coachful gives you full control over how and when a subscription ends. This guide walks you through canceling a client subscription while granting access until the end of their paid period — no awkward conversations, no support tickets, no lost goodwill.

TL;DR: Quick Answer

  • Go to Coach → Clients → [Client Name] → Billing to manage their subscription.
  • Choose "Cancel at period end" — not "Cancel immediately" — to let the client retain access until their billing cycle closes.
  • The subscription status changes to Canceling; the client is not charged again and loses access automatically on the renewal date.
  • You can reverse the cancellation at any time before the period ends by clicking Reactivate.

Why "Cancel at Period End" Matters

When a client pays for a monthly or annual coaching subscription, they've already bought access through a specific date. Canceling them immediately — before that date — effectively takes back something they've paid for. That's a refund scenario, a trust problem, or both. Canceling at period end is the professional standard: the subscription stops renewing, the client keeps what they paid for, and the relationship ends cleanly.

On the back end, Coachful handles this through Stripe's subscription cancellation flow, which sets cancel_at_period_end: true on the subscription object. No proration, no immediate loss of access — the subscription simply doesn't renew. This means you never have to process a manual refund for an accidental mid-cycle cut-off.

From a retention perspective, this approach also matters. Coaches using Coachful report that clients who receive a graceful, full-cycle offboarding are far more likely to return for a future program or refer others. A clean exit is part of the coaching experience.

Before You Cancel: What to Check

Take 60 seconds to review these details before pulling the trigger. Catching them early prevents confusion later.

  • Current period end date — Confirm the exact date the client's paid access expires. You'll find this on the client's Billing tab next to "Next renewal." This is the date access will automatically end after you cancel.
  • Active program or squad enrollments — If the client is mid-way through a structured program, decide whether they should complete the current week's content before access closes. You can message them through Stream-powered chat to set expectations.
  • Pending sessions — Check the Bookings tab for any upcoming 1:1 sessions or group calls within the remaining period. Sessions booked but not yet completed are still valid until period end, so no action is needed unless you want to reschedule.
  • Unpaid invoices — Canceling at period end does not waive any outstanding balance. Collect any unpaid amounts before or independently of the cancellation.
  • Coupon or payment plan — If the client is on a multi-installment payment plan, canceling the subscription may not cancel the remaining installment charges automatically. Review the plan terms in Coach → Billing → Payment Plans.

Step-by-Step: Canceling a Subscription at Period End

  1. Open the client's profile. From your Coachful dashboard, navigate to Coach → Clients and search for the client by name or email.
  2. Go to the Billing tab. Inside the client profile, click the Billing tab. You'll see their active subscription, the offer name, the billing interval (monthly/annual), and the current period end date.
  3. Click "Manage Subscription." This opens the subscription management panel. You'll see two cancellation options: Cancel immediately and Cancel at period end.
  4. Select "Cancel at period end." Choose this option. A confirmation modal will appear showing you the exact date the subscription will end and confirming that the client will not be charged again.
  5. Confirm the cancellation. Click Confirm. The subscription status updates to Canceling in both your dashboard and the client's billing view. Stripe is notified instantly.
  6. Notify the client (optional but recommended). Coachful can send an automatic cancellation notification, but a personal message via the Messages tab goes a long way. Let them know their access continues through [date] and thank them for their time working with you.
  7. Verify the status. Return to the client's Billing tab and confirm the status reads Canceling and that the period end date is correct. If you see Canceled immediately, the wrong option may have been selected — contact support to reverse.
Coachful tip: You can also ask Michelle, the AI assistant built into your coach dashboard, to walk you through the cancellation process or answer billing questions in plain language — just open Michelle from the dashboard sidebar and type "cancel a client subscription."

What Happens After You Cancel at Period End

Once you've set the subscription to cancel at period end, here's exactly what the client experiences:

  • Immediate: No change. The client retains full access to their programs, squad chats, video sessions, and any content unlocked by their subscription.
  • On the period end date: Access is automatically revoked. The client's enrollment is deactivated, squad membership is paused, and they can no longer book new sessions under the subscription.
  • After the period end date: The client can still log in to Coachful but will see a limited view — no active program content, no booking access. If they want to re-engage, you (or they) can purchase a new offer.
  • No further charges: Stripe will not attempt another charge. The subscription is marked Canceled in your Stripe dashboard automatically.

From your side, the client remains in your Clients list with a status of Inactive after the period ends. Their conversation history, notes, and session records are preserved — nothing is deleted. This is intentional: past client data is yours to keep for reference, reporting, or future re-engagement.

How to Reactivate Before the Period Ends

Changed your mind? Maybe the client decided to continue, or you made the change by accident. As long as the period end date hasn't passed, you can reverse the cancellation in seconds.

  1. Navigate back to Coach → Clients → [Client Name] → Billing.
  2. The subscription status will show Canceling with the scheduled end date.
  3. Click Reactivate Subscription. This removes the cancel_at_period_end flag on the Stripe subscription and restores normal renewal behavior.
  4. The subscription status returns to Active and the client will be charged again on the next renewal date as usual.

You cannot reactivate after the period end date has passed. At that point, the subscription is fully canceled and a new purchase is required. If the client wants to return, send them a new offer link or re-enroll them manually from Coach → Clients → [Client Name] → Enroll in Offer.

Canceling Immediately vs. At Period End: When to Use Each

Both options exist for good reason. Here's when each makes sense:

Cancel at Period End (most common)

  • The client has requested to stop their subscription but is still within their paid cycle.
  • You're offboarding a client professionally at the natural end of a program.
  • The client is on a monthly plan and their next charge is coming up — they want to stop renewals, not lose today's access.

Cancel Immediately

  • The client has requested a full refund and you've agreed — you'll cancel immediately and issue a refund separately via Coach → Billing → Invoices.
  • There's been a payment dispute or chargeback and you need to revoke access while it's resolved.
  • A client violated community guidelines and their access needs to end now.
Best practice: Default to "cancel at period end" in almost every routine offboarding scenario. It protects the client's trust, avoids refund complexity, and aligns with how professional subscription businesses operate. Reserve "cancel immediately" for dispute or policy situations only.

Managing Subscriptions in Bulk or via Stripe

If you're managing a large cohort and need to cancel multiple subscriptions at once, Coachful doesn't currently offer a bulk-cancel UI — handle these one at a time through each client's Billing tab, or contact Coachful support for assisted bulk operations.

You can also view and manage subscriptions directly in your Stripe dashboard under Billing → Subscriptions. Because Coachful uses Stripe Connect, your clients' subscriptions appear under your connected account. Any changes made in Stripe will sync back to Coachful within a few minutes via webhook — but it's always safer to make changes from the Coachful dashboard to ensure program access and enrollment status update correctly.

For coaches on the Scale plan, you can also use Michelle to query subscription statuses across your client list — for example, asking "Which clients have subscriptions ending this month?" — saving you the manual audit time.

Troubleshooting: Common Mistakes and Fixes

I accidentally clicked "Cancel immediately" — can I undo it?

Once a subscription is canceled immediately, it cannot be un-canceled from the dashboard. You'll need to create a new subscription for the client. If the cancellation just happened and no refund has been issued, contact Coachful support quickly — in some cases a same-day reversal is possible through Stripe. Going forward, always double-check which option is highlighted before confirming.

The subscription status still shows "Active" after I canceled

This is usually a page refresh issue. Hard-refresh the client's Billing tab (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac). If the status still doesn't update after a minute or two, check your Stripe dashboard to confirm the cancellation was registered. If it shows cancel_at_period_end: true in Stripe but not in Coachful, there may be a webhook delay — wait 5 minutes and refresh again. Persistent discrepancies should be reported to support.

The client still has access after the period end date

Coachful revokes access automatically via a Stripe webhook when the subscription period closes. If a client reports continued access more than an hour past the end date, this is likely a caching or session issue on their device. Ask them to log out and log back in. If the issue persists, manually set their enrollment to Inactive from Coach → Clients → [Client Name] → Programs.

Client says they were still charged after cancellation

First, verify the cancellation in your Stripe dashboard. If the subscription shows cancel_at_period_end: true and the charge happened before that date, the charge is legitimate — it was for the period already in progress, not a new renewal. If a charge occurred after the period end date, this is a billing error; contact Stripe support with the subscription ID and Coachful support simultaneously.

I can't find the "Manage Subscription" button

This button only appears for clients who have an active Stripe-billed subscription. If a client was enrolled manually (free, gifted, or via a one-time purchase), there's no recurring subscription to cancel — simply deactivate their enrollment from the Programs tab instead. See one-time vs. recurring offers for more detail.

Client is on a payment plan — will canceling the subscription also stop installments?

Not automatically. Payment plans in Coachful are structured as separate scheduled charges. You must cancel the payment plan independently under Coach → Billing → Payment Plans → [Client Plan] → Cancel. Review whether any installments are still owed before canceling, and document your agreement with the client in writing.

Frequently asked questions

Will my client lose access immediately when I cancel their subscription?
No — if you choose 'Cancel at period end,' the client retains full access until their current billing cycle closes. Access is only revoked automatically on the period end date. Choosing 'Cancel immediately' will remove access right away, so always confirm which option you're selecting.
Can I undo a subscription cancellation in Coachful?
Yes, as long as the period end date hasn't passed. Go to Coach → Clients → [Client Name] → Billing and click 'Reactivate Subscription.' This restores normal renewal behavior and the client will be charged again on their next billing date. Once the period has ended, the subscription is fully closed and a new purchase is required.
Does canceling a subscription at period end issue a refund?
No. Canceling at period end stops future charges but does not refund the current period — the client has already paid for that access. If you need to issue a refund, you must do so separately via Coach → Billing → Invoices after canceling the subscription.
What happens to a client's program content and chat history after their subscription ends?
After the period end date, the client loses access to active program content, bookings, and squad chats. However, their data — including session notes, conversation history, and profile — is retained in your Coachful dashboard indefinitely. Nothing is permanently deleted, so you can reference past client records or re-enroll them in the future.
If a client is on a payment plan, does canceling their subscription also cancel the installments?
No — payment plans and subscriptions are managed separately in Coachful. You must cancel any outstanding payment plan installments manually under Coach → Billing → Payment Plans. Always review what installments remain before canceling and document any agreements with the client.
Can clients cancel their own subscriptions, or does the coach have to do it?
Currently, subscription cancellations are managed by the coach from the client's Billing tab in the Coachful dashboard. Clients cannot self-cancel directly from their portal, so they should contact you to request a cancellation. You can then process it at period end to preserve their remaining access.
How do I cancel subscriptions for multiple clients at the same time?
Coachful doesn't currently offer a bulk-cancel UI, so subscriptions need to be canceled one at a time via each client's Billing tab. For large cohort offboarding, you can also view all subscriptions in your Stripe dashboard under Billing → Subscriptions and set cancel_at_period_end on multiple records, though changes should be verified back in Coachful afterward.
